4      Select the “Apply for Private Transport Claim” link from the left pane.

4      The  “Select Employee to Apply for Private Transport Claim” page appears.

4      The system displays the following:

Date Format

The date format applicable to the login user.

4      From the “Reimbursement Claim Unit” drop-down list, choose the organization unit from which the employee must be selected.

4      Select the employee either through direct entry or through search criteria.

To select through Direct Entry

4      Enter the following:

Employee Code

The code of the employee for whom private transport claim must be applied.

4      Select the “Apply for Private Transport Claim” hyperlink beside the “Employee Code” field.

4      The “Apply for Private Transport Claim” page appears.

To select through Search Criteria

4      Enter any or all of the following in the “Search Criteria” group box.

Employee Code

The unique code that identifies the employee.

Help Available

Employee Name

To view the records of all employees whose names contain specific characters, type in the starting character or characters of these employee names.  Alternatively, type in these characters in any combination with wild cards.

Example: Michael*, will search for those employee names that start with Michael, examples, Michael Anderson, Michael Smith and Michaels.

Department

To view the records for all employees whose departments contain specific characters, enter one or more characters of the department. Alternatively, type in these characters in any combination with wild cards.

Example: *Resource, will search for the department that ends with Resource.

Position Title

To view the records for all employees whose position titles contain specific characters, enter one or more characters of the position title. Alternatively, type in these characters in any combination with wild cards.

Example: Manager*, will search for those employees whose position titles start with Manager.

Grade Set

To view the records for all employees whose grade sets contain specific characters, type in the starting character or characters of the grade.

Example: GS1*, *1, will search for employees whose grade sets contain the specified characters.

Grade

To view the records for all employees whose grades contain certain characters, type in the starting character or characters of the grade.

Example: An organization may have employees under the grades G1, G2, etc.  If you enter G1, the system will display all the employees whose grade is G1. If you enter G*, the system will display all the employees whose grades are G1 and G2.

Job Title

To view the records for all employees whose job title contains specific characters, enter one or more characters of the job title. Alternatively, type in these characters in any combination with wild cards.

Example: Manager*, will search for those employees whose job titles start with “Manager“.

Employment Unit

From the drop-down list, select the organization unit to which the employee belongs.

4      Select the “Search” pushbutton to view the records of all employees satisfying the search criteria you specified.

4      The records of the employees satisfying the search criteria will be displayed in the multiline.

Employment Unit

The employment unit of the employee.

Employee Code

The code of the employee.

Employee Name

The name of the employee.

Department

The department of the employee.

Job Title

The title of the job of the employee.

Position Title

The position title of the employee.

Grade

The grade of the employee.

Grade Set

The grade set of the employee.

Note: If only one search criteria value is entered, the system will fetch the records that satisfy this value.
If more than one search criteria value is entered, the system will fetch the records satisfying all the specified values.
If you do not enter any value in the search criteria group box and select the “Search” pushbutton, the system will fetch all the records that are applicable to the selected reimbursement claim unit.

4      Select an employee name that is hyperlinked from the multiline in the Employee Name column.

4      The “Apply for Private Transport Claim” page appears.
