Authorizing Employee replacement
Select the “Authorize Employee Replacement” option from the left pane.
The “Authorize Employee Replacement” page appears.
The system displays the following.
Date Format |
The date format applicable to the login user. |
Specify the following.
Training Administration Unit |
Select the organization unit in which you must enroll the trainees. |
Training Calendar Unit |
Select the required training calendar unit from the drop down list box. |
Training Calendar |
Select the training calendar from the drop-down list box. |
Specify the following fields in the “Search Criteria” group box.
Program |
To view all the program descriptions containing specific characters, type in a starting range of these characters along with the wild card character *. For example, if you type in PRG*, the system will display all the records having the prefix PRG. |
Module |
To view all the module codes and descriptions containing specific characters, type in a starting range of these characters along with the wild card character *. For example, if you type in TRG*, the system will display all the records having the prefix TRG. |
Course |
To view all the course codes and names containing specific characters, type in a starting range of these characters along with the wild card character *. For example, if you type in C*, the system will display all the records having the prefix C. |
Training No. |
To view the training numbers associated with the selected course type in the training number. |
From Date |
To view all the courses that started on a particular date, type in a starting range of these dates. |
To Date |
To view all the courses that ended on a particular date, type in a starting range of these dates. |
Employee Code |
To view employee codes containing specific characters, type in these characters interspersed with the wild card character * at the right places. For example, if you type in PRG*, the system will display all the records having the prefix PRG |
Replacement Status |
From the drop-down list box, select the status of the replacement request. The status can be one of the following: § Pending Replacement § Replacement Authorized § Replacement Rejected |
Select “Search” pushbutton.
The system displays the training programs for which the supervisor has nominated you in the “Search Results” multiline.
Program |
The description of the program. |
Module |
The description of the module. |
Course |
The description of the course. |
Training No. |
The training number of the course. |
Month / Quarter |
The month or quarter in which the course is scheduled to take place. |
Start Date |
The start date of the course. |
End Date |
The end date of the course. |
Employee Code |
The identification code of the login employee. |
Employee Name |
The name of the login employee. |
Assign. No. |
The assignment to which the training course is linked. |
Replacement Option |
The object of replacement. For example, employee and course. |
Replacing Employee Code |
The identification number of the employee who will attend the training in place of the originally nominated employee. |
Replacing Employee Name |
The name of the employee replacing the originally nominated employee. |
Assign. No. |
The assignment of the replacing employee associated with the course. |
Training Status |
The stage at which the originally nominated employee is replaced in the training course. For example, Sponsored, Enrolled and Registered. |
Replacement Status |
The status of the replacement request. The status can be one of the following: § Pending Replacement § Replacement Authorized § Replacement Rejected |
Enter your comments in the “Remarks” field.
Select the check box for the replacement record that you want to authorize/reject in the multiline.
Select the “Authorize” pushbutton to accept the replacement.
Select the “Reject” pushbutton to cancel the replacement.
Note: To authorize a replacement request, it is mandatory to record bond details for the replacing employee of the request.
