How to use the web page

Using Online Help

       Select the “Billing Consolidation” link from the left pane.

The “Billing Consolidation” page appears.

Note: The “Billing Consolidation” page is launched only if the system parameter of “Timesheet Type” is set as “Basic”.

       Enter the following.

Project

From the drop-down list box, select the project for which you require to do the billing consolidation.

       Click on the “Get” pushbutton.

The system displays the following in the multiline.

PO

The unique identifier of the purchase order.

From Date

The date from which the purchase order is applicable.

To Date

The date until which the purchase order is applicable.

Planned Effort (in Man Months)

The number of estimated months required to complete the specific project.

Currency

The currency used for computing the billing amount.

Billing Unit

The system displays any one of the following basis for billing

          “Hourly” indicates that the billing is done on an hourly basis for the project.

          “Monthly” indicates that the billing is done on a monthly basis for the project.

Actual Billed Amount (Cumulative)

The actual billed amount is obtained from the purchase order.

Actual Billed Effort (Cumulative)

The actual billed effort is obtained from the purchase order.

To define/generate Billing Blocks

       Enter the following.

PO

From the drop-down list box, select the purchase order. The system loads all the purchase orders associated with the selected project.

Billing Block

This field must be left blank, if you create the billing block for the first time by clicking on the “Generate” pushbutton.

Block From Date

The date from which the billing block is applicable.

Block To Date

The date until which the billing block is applicable.

       Click on the “Generate Billing Block” pushbutton.

The system generates the Billing Block Number and loads the value in the “Billing Block” drop-down list box.

To edit/delete billing blocks

       Select the purchase order from the “PO” drop- down list box.

       Select the billing block to be edited from the “Billing Block” drop-down list box.

The system displays the “Block From Date” and “Block To Date”.

       Edit the details, if required.

       Click on the “Edit Billing Block” pushbutton to save the edited details, OR

       Click on the “Delete Billing Block” pushbutton to delete the billing block details.

The system edits/deletes the billing block accordingly and refreshes the “Billing Block” drop-down list box.

To retrieve time sheet entries

 Select the purchase order from the “PO” drop- down list box.

 Select the billing block to be edited from the “Billing Block” drop-down list box.

The system displays the “Block From Date” and “Block To Date”.

Click on the “Get Time Sheet Entry” pushbutton, or you can refine the search by entering the following search criteria to retrieve the details of the specific employees.

Employee Code

To view all the employee codes containing specific characters, type in the starting character or characters of the employee code in any combination with wild card “*”.

Employee Name

To view all the employee names containing specific characters, type in the starting character or characters of the employee names in any combination with wild card

 “*”.

Note : The system retrieves the following from the time entry booked by the employees in the Timesheet.

The system displays the following in the multiline.

Employee

The unique code of the employee.

Employee Name

The name of the employee.

From

The start date of the time sheet entries entered by the employee, which matches with the “Block From Date” of the billing block.

To

The end date of the time sheet entries entered by the employee, which matches with the “Block To Date” of the billing block.

Authorized Hours

The total number of authorized hours is retrieved from the “Authorize Timesheet” for the specified period.

Billed Hours ( As Authorized by Project Manager)

The number of authorized billed hours retrieved from the “Authorize Time sheet” for the specified period. 

       Enter the following in the multiline.

Billable Hours

The actual number of hours that is billable.

The system displays the following in the multiline.

Rate

The rate or amount billed against the employee for the project. The rate may be applicable on an hourly basis or monthly basis depending on the basis of billing defined in the Purchase Order.

Billable Amount

The system computes and displays the billable amount by multiplying the rate and the actual number of hours that is billable.

Billed Amount

The system computes and displays the billed amount by multiplying the rate and the actual number of hours that is billed.

       Click on the “Save” pushbutton.

The system updates the following in the multiline.

Actual Billed Amount (Cumulative)

The actual billed amount is the sum of the billed amounts of all the billing blocks in the purchase order.

Actual Billed Effort (Cumulative)

The actual billed effort is the sum of the billed hours of all the billing blocks in the purchase order.

The system displays the following below the multiline.

Billed Effort

The total number of billed hours of the employees in the multiline.  

Total Billable Amount

The total amount that is billable for all the employees in the multiline. The unit of currency will be retrieved from the associated purchase order.

The system displays the following in the “Variance” group box.

Billed Effort(Billed Vs Billable)

The variance of the billed effort is obtained by subtracting the billable hours from the billed hours.

Total Billed Amount(Billed Hrs)

The variance billed amount is obtained by subtracting the billable amount from the billed amount.

       Click on the “Submit” pushbutton.

The system submits the consolidated billing. You cannot make any modifications after submitting the consolidated billing. Editing of the consolidated billing can be done only before submitting the details.
