Recording Employee OT Planning/View Attendance

       Select the “Employee OT Planning/View Attendance” hyperlink from the left pane.

The “Employee OT Planning/View Attendance” page appears.

The system displays the following in the header.

Date Format

The date format that is applicable to the login user.

Tell me More

       Enter the following in the header.

Employment Unit

From the drop-down list, select the required employment unit.

Tell me More

Year

The year for which you must record the employee overtime planning details or view attendance details.

Month

From the drop-down list box, select the month for which you must record the employee overtime planning details or view attendance details.

From Date

The start date from which you must retrieve the overtime planning details or attendance details.

To Date

The date until which you must retrieve the overtime planning details/attendance details.

Employee Code From

The starting employee code from which you must retrieve the employee overtime planning details or view attendance details.

 

Help available

Employee Code To

The ending employee code until which you must retrieve the employee overtime planning details or view attendance details.

 

Help available

Department

The department for which you must retrieve the employee overtime planning details or view attendance details.

Status

From the drop-down list box, select the status for which you must retrieve the employee overtime planning details or view attendance details.

       Click on the “Get” pushbutton.

The system will retrieve the details in the multiline.

To record overtime/view attendance details

       Enter the following in the multiline.

Employee Code

A unique code of the employee for which you must record the employee overtime planning details or view attendance details.

 

Help available

The system displays the following in the multiline.

Employee Name

The name of the employee for whom you must record the employee overtime planning details or view attendance details.

Sch Hours

The scheduled number of hours for which the employee must work on the date specified. 

Swipe In Date

The swipe in date of the employee.

Swipe In Time

The swipe in time of the employee.

Swipe Out Date

The swipe out date of the employee.

Swipe Out Time

The swipe out time of the employee

       Enter the following in the multiline.

Date

The date for which you must record the employee overtime planning details.

From Date

The date from which the overtime has been planned for the employee.

From Time

The time from which the employee has planned to work overtime on the date specified.

To Date

The date until which the overtime has been planned for the employee.

To Time

The time until which the employee has planned to work overtime on the date specified.

Remarks

From the drop-down list box, select any one of the following options for recording overtime details.

  • “Normal”  indicates that the employee entered the overtime details.

  •  “Call back” indicates that the overtime for the employee on the specified date is the time for which the company has called him back for the work after the employee has worked for the Scheduled or Planned Over time timings.

Rejection Remarks

The rejection remarks must be entered, if the authorizer rejects the overtime details for the employees’.

Approved From Date

The approved date from which the employee can work overtime.

Approved From Time

The approved time from which the employee is expected to work overtime on the date specified.

Approved To Date

The approved date until which the employee can work overtime.

Approved To Time

The approved time until which the employee is expected to work overtime on the date specified.

To save the Overtime Planning Details as draft

       Select the “Save “pushbutton.

   The system displays the status as “Draft” in the multiline.

    The system displays the following in the multiline.

Shift

The shift applicable to the employee.

Schedule

The schedule applicable to the employee.

Day

The day of the date.

Day Type

The day type may be “Working Day” or “Non-Working Day”.

Status

The status of the Overtime Planning/attendance details may be  “Draft”, Pending Authorization”,“Approved”, “Rejected” or Revoked”.

Planned Hours

The planned hours will be the number of overtime hours, the employee has planned to work in the organization. This will be computed based on the “From Date” and “To Date” entered by the employee.

To submit the Overtime Details

       Select the “Submit “ pushbutton to submit the overtime details.

   The system displays the status as “Pending Authorization” in the multiline.

  To approve Overtime Details

       Select the “Approve“ pushbutton to approve the overtime details.

   The system displays the status as “Approved” in the multiline.

  To reject Overtime Details

       Ensure that you have entered the Rejection Remarks in the multiline.

       Select the “Reject“ pushbutton to reject the overtime details.

   The system displays the status as “Rejected” in the multiline.

  To revoke Overtime Details

       Select the “Revoke” pushbutton.
