The “Authorize Employee and Regular Time Sheet" page appears.

The system displays the following field.

Date Format

The format in which the date is displayed. Tell me more.

Employment Unit

From the drop-down list box select the employment unit of the employee. Tell me more.

Year

The year for which the time sheet has to be recorded.

Month

From the drop-down list box, select the month of the year for which the time sheet has to be recorded.

From Date

The start date in the range of dates, starting from which the timesheet details are to be recorded.

To Date

The end date in the range of dates, until which the details are to be recorded.

Employee Code From

The code of employee starting from which the time sheet record is to be authorized.

Employee Code To

The code of the employee until which the time sheet record is to be authorized.

Help available.

Department Code

The code identifying the department to which the employee belongs.

Help available.

Exception Status

From the drop-down list box, select the exception status of the record. The system displays a list of predefined options.

Status

From the drop-down list box, select the status of the record. The system lists the options “Pending For Authorization”, “Authorized”, “Draft”, “Rejected” and “Revoked”.

Employee Code

The code identifying the employee.

Employee Name

The name of the employee.

Date

The date for which the record is to be authorized.

Day Type

The day type of the date.

Clock In Date

The clock in date of the employee.

Clock In Time

The clock in time of the employee.

Clock Out Date

The clock out date of the employee.

Clock Out Time

The clock out time of the employee.

From Date

The starting date in the range of dates, for which the time sheet has to be entered.

From Time

The time from which the employee started working.

To Date

The ending date in the range of dates, until which the time sheet has to be entered.

To Time

The time till which the employee had worked for the day.

Pre OT From Date

The starting date in the range of dates, for which the employee had worked overtime earlier.

Pre OT From Time

The time starting from which the employee had worked extra hours earlier.

Pre OT TO Date

The ending date in the range of dates, till which the employee had worked extra hours earlier.

Pre OT Time

The time till which the employee has worked extra hours earlier.

OT From Date

The starting date in the range of dates, for which the employee had worked overtime.

OT From Time

The time starting from which the employee had worked extra hours.

OT To Date

The ending date in the range of dates, till which the employee had worked extra hours.

OT To Time

The time till which the employee has worked extra hours.

Break Duration

The total duration of break.

Type of Duty

From the drop-down list box, select the type of the duty. For example, call back duty.

Entry Type

From the drop-down list box, select the type of the entry.

Regular Units

The number of hours booked.

OT Hours

The total duration of overtime.

OT 1.0 x

The number of hours of over time worked for the specific date. “OT 1.0 x” implies that the pay for the over time will be equivalent to the pay given for an hour.

OT 1.5 x

The number of hours of over time worked for the specific date. “OT 1.5 x” implies that the pay for the over time will be 1.5 times the pay given for an hour.

OT 2.0 x

The number of hours of over time worked for the specific date. “OT 2.0 x” implies that the pay for the over time will be 2.0 times the pay given for an hour.

OT 2.5 x

The number of hours of over time worked for the specific date. “OT 2.5 x” implies that the pay for the over time will be 2.5 times the pay given for an hour.

OT 3.0 x

The number of hours of over time worked for the specific date. “OT 3.0 x” implies that the pay for the over time will be 3.0 times the pay given for an hour.

Cost Center

The code identifying the cost center to which the employee is mapped.

Authorizer Remarks

The remarks pertaining to the authorizer.

Absent Hours

The total absent hours of the employee.

Shift

The shift of the employee.

Status

The status of the employee time sheet record.

Leave Type

The type of the leave applicable to the employee.

Leave Hours

The total leave hours.

Late [Mins]

The late time specified in minutes.

Early [Mins]

The early time specified in minutes.

Exception status

The exception status of the employee.

Status

The status of the employee time sheet record.

To submit time sheet record

To approve a record

Note: The approved records cannot be modified or deleted.

The system sets the status of the record as "Approved".

To reject a record

The system sets the status of the record as “Rejected”.

To revoke a record

Note: You can revoke only those records that are in “Authorized” status.

The system sets the status of the record as “Revoked”.

To delete a record

You can delete only those records that are not in the "Authorized" status.
