4     Ensure that you are in the “Security Definitions” page.

4     Select  “Modify Employee List” hyperlink at the bottom of the page.

4     The “Modify Employee List” page appears.

4     The system displays the following field at the top of the page.

Date Format

The date format applicable to the login user. More Details

User Name

The name of the user.

To map the user to a particular role

4     Specify the following details.

Login Role

Select the role that you want to map to the user, from the drop-down list box. All the roles that are mapped to a particular user in the deployment workbench are listed as options in the drop-down list box.

Business Process Chain

The description of the business process for which you want to set access permissions to the new employee for the specified user-role combination.

Permissions To

The type of access permissions to be given to the specified user-role-business process chain combination, for example, read-only, full permissions etc. From the drop-down list box, select the required value.

4     Use the “Search Criteria” fields to specify search parameters for the employee details and select the required employee.

4     To specify search criteria, enter some or all of the following fields.

Employee Code

To view all the employee codes containing specific characters, type in the starting character or characters of these employee codes.

 

Alternatively, type in these characters in any combination with wild cards. Example. ECC1*, will search for those employee codes that start with ECC1. Other examples are *ECC1, EC*C1, ECC1* and ECC1*.

Employee Name

To view all the employee names containing specific characters, type in the starting character or characters of these employee names.

 

Alternatively, type in these characters in any combination with wild cards. Example. To get Jonathan, type in JO*, to search for those employee names that start with JO. Other examples are *NATHAN, JO*AN, and JONATH*.

Assignment No

To view all the assignment numbers containing specific characters, type in the starting character or characters of these assignment numbers.

 

Alternatively, type in these characters in any combination with wild cards. Example: 1*, 2*. Other examples are *1A12, 01*2 and 01A*

4     Select the “Search” pushbutton to view the list of employee assignment records satisfying these search criteria.

Note: To perform an effective search, enter maximum number of fields in the search criteria.

4     The system displays the employee code, employee name and assignment number details in the multiline. The following field is also displayed in the multiline:

Basis

One of the following options is displayed in the field: ”Regular”, “Exception”, “Access on behalf of subordinates” and “Access on behalf of all employees”. If it is

 

  • “Regular”, it denotes that this employee assignment record has been included in the restricted list to which the the user has access permissions, as a result of the specified  organization unit, location, function, position, level, category, grade, job and employment role combination.

 

  • “Exception”, it denotes that this employee assignment record has been added exceptionally to the restricted list to which the user has access permissions, as a result of the specified  organization unit, location, function, position, level, category, grade, job and employment role combination.

 

  • “Access on behalf of subordinates”, it denotes that this employee assignment record has been included in the restricted list to which the user has access permissions, as a result of the user-role combination having access permissions on behalf of his subrodinates.

 

  • "Access on behalf of all employees”, it denotes that this employee assignment record has been included in the restricted list to which the user has access permissions, as a result of the user-role combination having access permissions on behalf of all the employees in the organization units, that interact with the ‘Security Definitions’ component.

To set the date till which user-role has access permissions

4     Enter the following field

Permissions Till Date

Specify the date until which the user-role has access permissions for the particular employee assignment record. Specify the date in the format applicable to the user.

 

Incase of promotion, transfer or termination, the date until which the user-role has access permissions for the particular employee record, is displayed in this field.

To inactivate the permissions record

Inactive

Select “Active” or “Inactive” from the drop-down list box to accordingly indicate if the permissions are to be active or inactive.
