Authorizing succession plan for employee
Select the hyperlinked employee name in the “Select Succession Plan for Employee to Authorize” page.
The “Authorize Succession Plan for Employee” page appears.
The system displays the following from the previous page
Succession Planning Unit |
The organization unit in which the Succession Planning Setup component is deployed |
Date Format |
The date format that is applicable to the login user. |
Employment Unit |
The employment unit of the employee |
Employee |
The employee code and name of the employee for whom the selected succession plan was created |
Assignment No. |
The number of the employee’s primary assignment, for which the succession plan was created |
Department |
The department of the employee, specific to the primary assignment. |
Position |
The position of the employee, specific to the primary assignment. |
Job level |
The job level of the employee, specific to the primary assignment |
Job |
The job of the employee, specific to the primary assignment |
Grade Set |
The grade set of the employee |
Grade |
The grade of the employee |
Plan No. |
The unique plan number for the succession plan. |
Plan Date |
The date on which the succession plan was created. |
Plan Status |
The plan status can be any one of the following.

Rejection Reason |
The reason for rejection is displayed, if the plan status is “Rejected”. |
Note: You can either authorize the plan directly, or edit the details and authorize the succession plan.
To nominate successors, based on existing succession planning criteria
From the “Planning Criteria” drop-down list under the “Default” group box, select the any existing succession planning criteria. The drop-down list box displays the user-defined names of all the succession planning criteria that have been already created and saved.
Select the “Default” pushbutton.
All the fields under the “Succession Criteria” group box are filled with the search criteria saved under the user-defined succession planning criteria name.
Edit any of the fields under the “Succession Criteria” group box if required, to change the search criteria based on which you want to nominate successors.
Select the “Search” pushbutton.
The “Employee Details” multiline will display the details of all the employees who satisfy your search criteria.
Enter the details of each employee nominated as a successor, in the “Employee Details” multiline. Refer to “To enter the details of planned successors”
To nominate successors, based on entering new succession criteria
Enter some or all of the following, in the "Succession Criteria" group box
Employment Unit |
From the drop-down list, select the employment unit of the employee. This refers to the organization unit that holds the Employment Information component. |

Service in Organization(in Months) |
To retrieve the details of employees working in the organization for a specific period, select the required relational operator from the drop-down list and enter the number of months of service in the organization. Enter the values of the lower limit/upper limit/both, in the adjacent fields. For example, to retrieve the details of employee with 12 months of service, select the relational operator “=” and enter “12“ in the box adjacent to it. |
Employee Code From |
To retrieve the details of all employees whose employee codes are between a specific range, enter the upper range. |
Employee Code To |
To retrieve the details of all employees whose employee codes are between a specific range, enter the lower range. |
Employee Name |
To retrieve the details of all employees whose employee names contain specific characters, type in the character(s) of these employee names in any combination with wild cards. Example, Rob*, will search for those employee names that start with Rob. Other examples are *Rob and R*b*. |
Qualification Description |
To view the records of all employees possessing a specific qualification, type in the starting character or characters of the qualification. Example: M*, will search for employees with qualifications starting with the letter ‘M’, such as MBA, MCA and ME. |
Service in Current Job(in Months) |
To view the records of all the employees whose service in the current job, in months, falls within a specific range, select the required relational operator from the drop-down list and enter the upper and the lower range in the adjacent fields. For example, to retrieve the details of employee with service in current job between 6 months and 12 months, select the relational operator “Between” from the drop-down list and enter 6 in the first box and 12 in the box adjacent to it. |
Mobility |
To view the records of all employees who are willing to travel or relocate, select “Yes”. To view the details of all employees who are not willing to relocate, select “No”. |
Succession Planning Rule |
To view the records of all employees who satisfy a specific stored procedure rule, enter the rule name. You can also define a new stored procedure rule and retrieve employees based on this rule, apart from the existing rules. For example, you can define a rule to retrieve the records of all employees who have served in the Human Resources department for 5 years and are now located in California, in Industrial Relations department. Job Title |
To retrieve the records of all the employees holding a specific job title, type in the character(s) of this job title in any combination with wild cards. |
Department Short Description |
To retrieve the records of all the employees belonging to a specific department, type in the character(s) of this department in any combination with wild cards. |
Position Title |
To retrieve the records of all the employees holding a specific position title, type in the character(s) of this position title in any combination with wild cards. |
Grade Set Short Description |
To retrieve the records of all the employees belonging to a particular grade set, type in the character(s) of the grade set in any combination with wild cards. |

To retrieve the records of all the employees belonging to a particular grade, type in the character(s) of the grade in any combination with wild cards. |
Work location |
To retrieve the details of employees in a specific work location, enter the work location of the employee. |
Age(in Yrs) |
To retrieve the details of employees working in the organization of a particular age, select the required relational operator from the drop-down list and enter the upper and lower range of age in the adjacent boxes. For example, to retrieve the details of employee with age greater than or equal to 30 yrs, select the relational operator “ >=” and enter 30 in the adjacent box. |
Show Top |
To retrieve only a specific number of employees for the selected criteria, enter the number of employees. For example, if you enter “10”, the system will retrieve only the first 10 employees who match the search. |
Select the “Save Criteria” pushbutton, to save and retrieve these search criteria for future use.
Select the “Search” pushbutton, to retrieve the records of all the employees who satisfy these search criteria.
To specify additional criteria
Check the “Career Planning” box, to indicate that the system must retrieve only the records of those employees who satisfy the succession criteria above, and whose career plan matches the succession plan. The employee’s career plan is created in the Employee Career Planning component.
Check the “Competency Match” box, to indicate that the system must retrieve only the records of employees who satisfy the succession criteria above, and whose possessed competencies match the assignment for which succession is being planned. Tell me more.
Select the “Search” pushbutton
The “Employee Details” multiline will display the details of all the employees who satisfy your search criteria.
To enter the details of planned successors
Enter the following in the “Employee Details” multiline

A number to indicate the preferred ranking for the employee, as the successor. |

Note: The system allows you to enter succession details for also those employees whose records were not retrieved through succession planning criteria.

The date on which the succession for the employee is planned. |

The ratio of possessed competencies versus the required competencies. If the employee’s possessed competencies equal the required competencies for the assignment, the system will display 1. Otherwise, a decimal number is displayed. For example, if the required competencies for the assignment are 6, and the competencies possessed by the employee are 3, the system will display 0.5. |
Work Experience(in months) |
The total number of months of work experience of the employee, in the organization |

Whether this succession plan is based on (a) career planning (b) competency match (c) both |
To authorize the succession plan
Select the “Authorize” pushbutton to authorize the succession plan for the employee.
The system displays the following

Enter the reason for rejection, in the “Rejection Reason” field.
Select the “Reject” pushbutton to reject the succession plan for the employee.

To view employee's past appraisal
Select the check the box contained in the employee record for which you require to view past appraisal details.
Select the “View Past Employee Appraisal” link at the bottom of the “Authorize Succession Plan for Employee” page.
The "Select Appraisal Type" page appears.
Select the hyperlinked appraisal type from the “Appraisal Type” multiline in the “Select Appraisal Type” page.
The “View Past Appraisal” page appears.
To view qualification information
Select the checkbox corresponding to a record in the "Employee Details" multiline.
Select the hyperlink " View Employee Qualification Details" at the bottom of the "Authorize Succession Plan for Employee" page.
The "View Qualification Information" page appears.
To view competency information
Select the checkbox corresponding to a record in the "Employee Details" multiline.
Select the “View Employee Competency Details" hyperlink at the bottom of the "Authorize Succession Plan for Employee" page.
