Generating the contract of employment report
Select the “Contract of Employment” link under the “Basic Conditions of Employment” business component.
The “Contract of Employment” page appears.
The system displays the following field.
Date Format |
The date format applicable to the login user. |
Enter the following:
Reporting Unit |
From the drop-down list box, select the reporting unit for which the report has to be generated. |
Application Id |
The code identifying the job application. |
Employee Code |
The employee code, which is assigned to the applicant. Help available. |
Applicant Name |
The name of the applicant. |
Gender |
From the drop-down list box, select the gender of the applicant. |
Date of Joining |
The date on which the applicant is expected to join the organization. |
Work Location |
From the drop-down list box, select the work location of the employee. |
Notice Period |
The notice period that the employee must give before separating from the organization. For example you can specify the notice period as 3 days or 1 week. |
Job |
The nature of the job that the applicant will be assigned. |
Job Duties |
The duties pertaining to the job that will be assigned to the employee. |
To indicate wage details for the employee
Enter the following in the “Wage Details” multiline:
Pay Element Code |
The code identifying the pay element. Help available. |
The system displays the following.
Pay Element Description |
The description of the pay element. |
Enter the following:
Rated Frequency |
From the drop-down list box, select the frequency at which the amount is rated. |
Amount |
The amount given against each pay element. |
The system displays the following:
Total Remuneration per Year |
The total amount of annual remuneration that will be paid to the employee. This is computed by the system according to the pay element classification. The system computes the total remuneration, by subtracting the annual deduction from the annual income of the employee. The annual income and annual deduction are determined as follows: Annual Income = Sum of the earnings of all the pay elements in a month. Annual Deduction = Sum of the deductions of all the pay elements in a month. |
To indicate employee work details
Enter the following in the “Hours of Work” multiline.
Day Type |
From the drop-down list box, select the day type for the applicant, such as Monday, Tuesday. |
From Time |
The start time of the working hours for the specific day type. |
To Time |
The end time of the working hours for the specific day type. |
To indicate leave entitlement of the employee
Enter the following in the “Leave Entitlement” multiline.
Leave Type |
From the drop-down list box, select the leave type applicable to the applicant. |
Entitlement |
The number of days of leave entitled for the employee. For example, you can specify the entitlement value as ‘3’, to indicate that the employee is entitled to three days leave. |
Unit |
From the drop-down list box, select the unit of leave entitlement. For example you can select the units as “Days”, to indicate that the employee is entitled to three days of leave. |
Percentage of Remuneration |
The percentage of remuneration given to the employee for the specific leave type. For example if the selected leave type is maternity, you can specify the percentage of remuneration as 50% to indicate that only half of the remuneration will be paid for the leave taken. |
To indicate other benefits applicable to the employee
Enter the following in the “Other Benefits” multiline.
No of Uniforms provided |
The number of uniforms provided to the applicant. |
Other conditions of Employment |
Any other employment conditions applicable to the applicant. |
To record the contract of employment details
Select the “Save” pushbutton to save the contract of employment.
To edit the contract of employment details
Enter the Applicant id or select the Applicant id using the Help icon.
Select the “Get” pushbutton”.
Edit the required details. You can edit all the details of the contract of employment other than the applicant id and the employee code.
Select the “Save” pushbutton.
To delete employee’s contract details
Enter the Applicant id or select the Applicant id, using the help icon.
Select the “Get” pushbutton”.
The system fetches the employee contract details.
Select the “Delete” pushbutton.
To indicate the display format for the date in the report
Enter the following in the “Display Criteria” group box:
Date Display Format |
From the drop-down list box, select the display format for the date. |
To generate the contract of employment
Select the “Show Report” link to generate the contract of employment report.
