Getting help on selecting an employee
Select the help icon beside the “Employee” field.
The “Help on Employee” page appears.
The system displays the following.
Date format |
The date format applicable to the login user. |
Payroll |
The description of the payroll selected in the previous page. |
Process Period Description |
The description of the process period selected in the previous page. |
Process Period |
The number of the process period |
Enter the following search criteria values, in some or all of the following fields.
Use this method, if you know just a few characters of the employee code or the employee name. In the search criteria group box, specify the search criteria based on which the system will fetch the records.
To specify the search criteria, you must enter one or more characters that employee code or name contains.
You are to specify the payset and the employee type to which the employee(s) are mapped. To narrow the search, you can also specify the department, position and job title to which the employees are mapped. To narrow the search further, you can also specify the status of the payroll processing.
Enter the following search criteria values, in any or all of the following fields.
Payset |
To view the list of employees mapped to a specific payset, select the required from the drop-down list box. |
Employee Type |
To view the list of employees of a certain type, select an employee from the drop-down list box. Employee types are "Regular", "Contract", "Trainee", "Consultant" or "Volunteer". By default the system displays with "All". |
Employee Code |
The unique employee code of the employee. To view all the employee codes containing specific characters, type in the starting character or characters of these employee codes |

Alternatively, type in these characters in any combination with wild cards. Example: ECC1*, will search for those employee codes that start with ECC1. Other examples are *ECC1 and EC*C1. |
Employee Name |
The name of the employee. To view all the employee names containing specific characters type in the starting character or characters of these employee names. |

Alternatively, type in these characters in any combination with wild cards. Example: To get Jonathan, type in JO*, to search for those employee names that start with JO. Other examples are *NATHAN, JO*AN, and JONATH*. |
Department |
The department to which the employee belongs. To view all the descriptions of the current departments containing specific characters, type in the starting character or characters of these department descriptions. |

Alternatively, type in these characters in any combination with wild cards. Examples: *Finance, HR*, Mar*g. |
Position Title |
The position currently held by the employee. To view all the descriptions of the current position titles containing specific characters, type in the starting character or characters of these position title descriptions |

Alternatively, type in these characters in any combination with wild cards. Examples: *MANAGER, TRAINEE*, MAN*R. |
Job Title |
The title of the employee current job. To view all the descriptions of the current job titles containing specific characters, type in the starting character or characters of these job title descriptions. |

Alternatively, type in these characters in any combination with wild cards. Examples: *MANAGER, TRAINEE*, MAN*R. |
Payroll Processing Status |
The status of payroll. To view all the employees having same payroll processing status, select a status from the drop-down list box. By default it displays with "All" value. |
Select the “ Search” pushbutton.
Note: If only one search criteria value is entered,
the system will fetch the records that satisfy this value.
If more than one search criteria value is entered, the system will fetch
the records satisfying all the specified values.
If you do not enter any value in the search criteria group box and select
the “Search” pushbutton, the system will fetch all the records that are
applicable to the selected employment unit.
You can define the permission on employee only when the data level security parameter is set. The system retrieves and displays the employees based on the data level security permissions enabled for the login user.
The multiline displays the following details of the employees that satisfy your search criteria.
Payset Code |
The unique code that identifies the payset and to which the employee is mapped. |
Employee Code |
The employee code of the employee |
Employee Name |
The name of the employee |
Assign. |
The assignment number of the employee. |
Department |
The department in which the employee is currently employed, for example, Finance, HR etc. |
Position Title |
The position currently held by the employee, for example, Senior Manager, Vice President etc. |
Job Title |
The title of the employee’s current job, for example, Senior Marketing Manager, HR Coordinator etc. |
Pay Date |
The date on which the payments are made. |
Process Status |
The payroll processing status for the employee. |
Payset Description |
The description of the payset. |
Employee Type |
The system displays one of the following values is displayed namely "Regular", "Contract", "Trainee", "Consultant" or "Volunteer". |
From the multiline, select an employee record by checking the “Select” box contained in the record.
Select the “OK” pushbutton at the bottom of the page
The employee you selected appears in the “Employee Code” field of the previous page
