Specifying a exchange rate for a process period
To be carried out in the previous page
Ensure that you are in the “Set Date of Currency Exchange Rate ” page.
Select the “Payroll Processing Unit” for which the setting of exchange rate is applicable.
Select the payroll for which the date of exchange rate must be determined, from the “Payroll Description” field.
To carry out in the current page

In the “Process Period” field, enter the code of the process period for which you need to set the date of currency exchange rate.
Or
Select the process period description from the “Help” provided. The description of the process period is displayed in the “Process Period Description” field.
To specify the date of exchange rate for individual paysets for a process period
After you enter the process period in the “Specify Exchange Rate for Process Period ” page, select the “Get Exchange Rate” pushbutton.
The system displays the following in the multiline.
Payset Code |
The code of each payset mapped to the payroll, whose validity is within the process period you specified |
Currency Code |
The code of the currency in which the payset is defined. |
Conversion Currency Code |
The code of the currency in which the basic is defined. |
Currency Rate Type |
The exchange type you chose in the “Set Currency Exchange Type” activity, to enable the system to apply this exchange rate in the conversion of the base salary currency into the payset currency. |
The exchange type you chose must have been one of the following: “Buying”, “Selling”, “Spot Rate” or “Market Rate”. | |
Exchange Rate |
A number or factor to indicate the proportion of the base salary currency that is equivalent to the payset currency. Example: If the number is 50 and the base salary currency is Rupee, it means that 50 units of the Rupee are equal to 1 unit of the payset currency. |
Note that the rate of the exchange type that is applicable will be the prevailing rate for the date you selected in the “Date” field. | |
Payset Description |
The description of the payset. |
Payset Currency |
The currency chosen at the time of defining a payset. |
Base Salary Currency |
The currency in which the base salary is defined. |
Enter the following in the multiline.
Date |
The date on which the currency exchange rate must be taken into account, for the payset in the multiline row. |
Example: You specified the exchange type as “Selling” in the Set Exchange Rate Type” activity and specified the date as 5 August 2002. The base salary currency is Pound and the payset currency is Dollar. | |
The system converts the base salary to Dollar, based on the Selling rate of the Pound applicable on 5 August 2002 |
Note: If values had been entered earlier in the “Currency Rate Type” and “Exchange Rate” fields, these values are displayed by default. Otherwise, these fields are blank.
Select the “Save” pushbutton to save the details entered.
To modify the date of exchange rate for individual paysets
Select the “Get Exchange Rate” pushbutton.
The multiline displays all the paysets mapped to the payroll, whose validity is within the process period you specified.
Each payset displays the exchange rate that had been specified for the process period. Note that if either the exchange type or the exchange date had been specified individually for the payset in the “Set Exchange Rate Type” or “Set Date of Currency Exchange Rate” activities, the “Exchange Rate’ field displays this rate. The rate specified for an individual payset overrides the rate set at the process period level.
Edit the “Date” field in the multiline, to modify the date on which the system must take into account the currency exchange rate for a specific payset.
After modifying all the required payset dates in the multiline, select the “Save” pushbutton.
