Editing a pay element
Ensure that you are in the “Select Payroll to Edit” page and selected a pay element whose details are to be modified.
The “Edit Pay Element” page appears.
The system displays the following.
Pay Element Definition Unit |
The pay element definition unit selected in the previous page. |
Date Format |
The date format of the previous page. Tell me more |
Pay Element Code |
The unique code identifying the selected pay element record. |
The system displays the details entered earlier. You can modify any or all of the following fields.
Language |
The language you selected in the previous page is displayed. |

From the “Language” drop-down list box, you can select any other language, to retrieve the record in the selected language. |
Pay Element Description |
The description of the pay element record selected. |
Alias |
A unique alias of the pay element. By means of the alias, you can enter an identifier just like the pay element code. However, you can compose the alias name to be more user-friendly than the pay element code, because the alias allows for more characters. |
Classification |
Indicate the type under which the pay element can be classified, by selecting any one type from the drop-down list box. |

The drop-down list box contains ten values, which are as follows: “Earnings“, “Reimbursement Elements“, “Loan Deductions“, “Fund Deductions“, “Tax Deductions“, “Statutory Deductions“, “Benefit Deductions“ “Arrears Earnings“, “Arrears Deductions“ and “Other Deductions“. By default, the field is blank. |
Cash Flow Postings |
From the drop-down list box select one of the three: |

Recurring |
“Yes” indicates that the pay element is of recurring in nature. “No” indicates that the pay element is of non- recurring in nature. |
Taxable |
Select “Yes” if the pay element is subject to tax under law and “No” if the pay element is non-taxable. |
Separate Round off |
Select “Yes” if the pay element requires rounding off, to increase or reduce it to the nearest whole number. “Separate Round Off” of a pay element indicates that the difference between the value to its nearest whole number will be posted under a separate account number in General Ledger. |

Otherwise, select “No”. |
Attribute Modifiable at Pay set Mapping |
“Yes”, implies that the attributes can be changed at the time of pay set mapping. “No” implies that the attributes of the pay element are constant and cannot be changed. |
Applicable To |
Choose the organizational units to which the modified pay element details will be made available. The options in the drop-down list box are described below |

Save in Language |
By default the record is saved in the language selected in the beginning. Select the language in which you wish to save the modifications, from the drop-down list box. |
Select the “Save” pushbutton to record the changes to the pay element record.
To translate the details to another language, example, French
Ensure that you had selected French in the “Language” drop-down list box in the previous page. Assume that the record was added in German
By default, the language selected in the previous page is displayed in the “Language” drop-down list box in the current page.
If this record is being viewed for the first time, the description is still in German, the language in which the record was added.
Translate the description into French, if required.
The drop-down values in the other fields, such as “Applicable to” are displayed in French. You can modify the values in all the fields except the code of the record.
Select the “Save” pushbutton.
Note: While translating the details of a pay element, you may choose to deactivate the pay element. All other languages in which the pay element, is maintained are automatically deactivated as well
Similarly, if you mark the record for deletion while translating the details, the pay element will be automatically marked for deletion in all the other languages in which it is maintained.
To save in a different language
You can save the record in other languages without having to go to the previous page. After saving the record in French for example, you can translate to Italian as follows:
Select “Italian” from the “Language” drop-down list box
Note: This step can be omitted and you can directly edit the description in Italian. Now select “Italian” from the “Save in Language” drop-down list box. Select the “Save Payroll” pushbutton.
Edit the description in Italian.
Modify the other values, if required,
Select “Italian” in the “Save in Language” drop-down list box.
Select the “Save” pushbutton to save the details.
Select the “Delete” pushbutton to delete the record from the database.
