Automatic process period generation

Ensure that you are in the “Create Process Period” page.
Select the “Automatic Process Period Generation” link at the bottom of the page.
The “Automatic Process Period Generation” page appears.
The system displays the following.
Payroll Definition Unit |
The payroll definition unit for which the process period is to be defined. The code of the payroll definition unit selected in the previous page. |
Date Format |
The date format applicable to the login user. Tell me more |
Payroll Calendar Description |
The payroll calendar for which process periods must be created. The payroll calendar is selected in the previous page. |
To generate process periods for a date range
Enter the following.
From Date |
The date from which the process period begins. The default date will be the end date of the most recent process period + 1. |
No. of Days in Process Period |
The number of days a process period must contain. |
No. of Process Period |
The number of process periods that must be generated by the system. |
To generate process periods on a monthly basis
Select the “Monthly Process Period” checkbox to indicate that the process period must be monthly in nature.
Enter the date on which the process period must begin, in the “From Date” field. Note that the “From Date” must be the first day of the month, otherwise the system displays an error message.
Ensure that the “No of Days in Process Period” field is empty.
Enter the number of process periods that must be generated by the system, in the “No. of Process Period” field.
To specify a standard description to a process period
Ensure that you have specified the process periods to be generated, using one of the two methods described above.
Enter the standard description, in the “Standard Description” field.
Enter the following in the “Standard Description Parameter” group box.
You can also specify a suffix or prefix or both to the standard description, as described below.
To specify a prefix to the standard description
You can specify a prefix to the process period description in either of the two ways.
Select the “Prefix Process Period Code” check box, to include the process period code as prefix to the standard description, or
Enter the following.
Base Prefix |
The prefix that must be added to the standard alias. This must be a numeric value. |
Increment By |
The value by which the prefix must be incremented, for each successive process period. For instance, the process period description could be Admin. If the base prefix is 2, and you specified the increment to be 2, the prefix for the process periods will be as follows |

To specify a suffix to the standard description of the process period
Ensure that you have specified the process periods to be generated, using one of the two methods described above.
You can specify a suffix to the process period description in either of the two ways below.
In the “Standard Description Parameter” group box, select the “Suffix Process Period Code” check box to include the process period code as suffix to the standard description.
Alternatively, enter the following in the “Standard Description Parameter” group box.
Base Suffix |
The prefix that must be added to the standard description. This must be a numeric value |
Increment By |
The value by which the suffix must be incremented, for each successive process period. For instance, the process period description could be Admin. If the base suffix is 3, and you specified the increment to be 2, the suffix for the process periods will be as follows: |

To specify a standard alias to a process period
Ensure that you have specified the process periods to be generated, using one of the two methods described above
Enter the alias that the standard alias must contain, in the “Standard Alias” field.
To specify a prefix and suffix to the standard alias
You can specify a Prefix and Suffix to the standard alias, in either of the two ways specified for the standard description of the process period.
To generate the process periods you specified
Ensure that you have specified the process periods to be generated.
Select the “Generate Process Period” pushbutton.
The multiline will display the following details of the generated process periods.
Process Period Code |
The unique code that identifies the process period is generated by the system. |
Process Period Alias |
A unique alias for easier identification of the process period. Note that the values in this column will be displayed only if you specified standard alias in the “Standard Alias Parameter” group box. |
Process Period Description |
The description to identify the process period. |
Process Period From Date |
The starting date of the process period. |
Process Period To Date |
The date until which the process period it is effective. |
Financial Year Code |
The financial year code to which the process period is mapped. |
Financial Period Code |
The code of the financial period that contains the financial year. |
Note that except “Process Period Code” all the fields editable. You can make necessary changes and save the details.
Select the “Save” pushbutton to save the details entered.

To generate the process periods you specified
Multiple Process Periods: You can request the system to generate process periods automatically, in bulk. Opt for one of the following methods:
Specify the data range for which process periods must be generated, example March 1 to August 31. Alongside, you are to specify the number of days that a process period will contain. The date range you specify must fall within the payroll calendar attached to the organization unit. The date must immediately follow the end date of the most recent process period in the payroll calendar.
Request that process periods be generated monthly. You are to specify the starting month, and the number of months for which the process period must be generated. The number of days that a process period will contain must not be specified, because the number will vary from one month to another.
Prefix and Suffix: You can provide a prefix and a suffix for the process period description. Every time the process period is generated, the process period description appears with the prefix and suffix.
Alias: You can request the system to use an alias, instead of the process period description, for reasons of security.
Prefix and Suffix for Alias: When you request the system to use an alias, you can provide a prefix and suffix for the alias, as well.
