The “Attendance Data Entry” page appears.
The page displays the following field.

To enter the attendance details for an individual employee
From the “Payroll Attendance Unit” drop-down list box, select the payroll attendance unit for which attendance details must be specified.
All the employment units mapped to the selected the payroll attendance unit will get listed in the “Employment Unit” drop-down list box. Select the employment unit to which the employees whose attendance details are to be recorded.
All the payrolls mapped to the selected employment unit are now available in the “Payroll” drop-down list box. From the drop down list box, select the payroll for which attendance details must be specified.
As you select the payroll, the system will list all the paysets mapped to the payroll. Select the payset to which the employee is mapped.
Enter the following.
Process Period |
The number of the process period for which attendance details must be entered. Ensure that the process period is within the effective date predefined for the attendance type in the “Add Attendance Type” activity. |
Pertaining to process period |
The process period for which you have to record the attendance details. |
Attendance Type |
Select the code of the attendance for which you require to enter employee-assignment attendance, from the “Attendance Type drop-down list box. The drop-down list box contains all the attendance types that have been mapped to the selected payroll. |
The attendance entry mode defined already for the attendance type code, in the “Define Attendance” page, must be either “Direct entry“ or “Formula based“. If the attendance entry mode for the selected attendance code is “Formula-based“, ensure that it is not date-wise attendance entry. |
The “Period Unit” field will display the period unit that was defined for this attendance type, in the “Create Attendance Type” activity.
Enter the following fields in the multiline.
Employee Code |
The code of the employee whose attendance is being entered for a specific assignment. Ensure that the employee has been mapped already to the payset, in the “Map Payset - Employee” activity. |
The system displays the employee description after validating the employee code. | |
Assignment Number |
The assignment number of the employee, for which the attendance units are to be entered. Ensure that employee-payset mapping was carried out for this specific assignment, in the “Map Payset - Employee” activity. |
Attendance Units |
The number of period units attended by the employee, for the assignment, for the selected process period. |
Ensure that the number you enter is applicable for the period unit specified in the “Period Unit” field. For instance, if you enter 5 in this field and the “Period Unit” field displays “Days”, it implies that the employee has worked for 5 days on this assignment |
If the employee is holding multiple assignments during the selected process period, re-enter the employee code and details in the multiline for every consecutive assignment.
To enter the attendance details for a selected pay set
Select the payroll attendance unit, the employment unit, the payroll and payset for which attendance details are to be specified. (For more field details, refer to an earlier section “To enter the attendance details for an individual employee”)
Enter the process period for which the attendance details of the employees must be specified.
From the “Attendance Type” drop-down list box, select the attendance type.
In the multiline, enter the employee code of each employee mapped to the specified payset, for whom attendance details are to be specified.
Enter the assignment number and the number of attendance units that the employee worked, for the assignment.
Select the “Save” pushbutton to save the details entered.
To enter the attendance details of a selected payroll
Carry out the same steps as for entering attendance details for a payset, except that the “Payset” field must be left blank. (For more field details, refer to an earlier section “To enter the attendance details for an individual employee “)
In the multiline, you can enter the following for all employees mapped to the specified payroll, across paysets: Employee Code, Assignment Number and Attendance Units.
Select the “Save” pushbutton.
To modify employee attendance details for an individual employee
Select the payroll attendance unit, payroll, payset, attendance type, and the process period for which attendance details are to be modified.
From the “Employee” field, select the code of the employee for whom attendance details must be modified.
Select the “Show Attendance” pushbutton.
The multiline will display the attendance details of the selected employee. There could be multiple records if attendance details had been recorded for more than one assignment of the employee.
Modify the “Assignment No.” and “Attendance Units” field.
Select the “Save” pushbutton.
To modify attendance details for an entire payroll or payset
Carry out the same steps as above, except that you must leave the “Employee” field blank.
The multiline will display the employee details of all the employees mapped to the payroll or payset. You can modify the “Employee Code”, their “Assignment number” and the “Attendance Units” fields
Select the “Save” pushbutton.
To delete employee attendance details
Select the employee record in the multiline by checking the record in the “Select” column.
Select the delete icon in the tool bar above the multiline, to delete employee attendance details record.
Select the “Save” pushbutton to save the changes made.
