The Employee File: Through this activity you can create an employee file. The employee file is a repository for recording information pertaining to the various personal aspects of the employee. A separate file is created for each employee. A unique identity is created for the employee file by recording the basic personal and identification details of the employee. These details can be edited or viewed at a later point of time.
The employee-specific information can facilitate users in selecting a required employee for other personal information activities. For example, a user could look for all employees whose date of joining is greater than February 2002, before he selects an employee.

You must first specify the organization unit in which the employee codes will be generated. Next, you are to specify a unique employee code to identify the employee. The method of defining an employee code is either automatic or manual; this depends upon how the generation method is set in the employee code setup unit you have selected. If it is automatic, a set of prefixes are provided by the system, from which you need to simply select the required prefix. The system then assigns the numeric value of the employee code. If the employee code generation method is manual, you are required to select the prefix and enter the numeric value of the employee code.
Following this, you are to specify the employment identity details. These details summarize the employee’s induction into the organization. The type of the employee’s job such as., Regular, Contract, Trainee, Volunteer or Consultant must be first indicated. From this information, you can determine whether the employee is a regular employee of the organization or otherwise. . Further, you need to specify the name of the company for which the employee has been recruited. The date and time at which the employee joined the organization are other items of information to provide. The reference number of the employee’s application is yet another detail of the employee that must be entered in this file.
The employee’s personal identity details follow next. This comprises the full name of the employee and the name by which the employee is usually known. For example, an employee by name Emmanuel may generally be known as Manny. If you do not specify the name by which the employee is usually known as, the system displays the first name you specified for this details also.
