Maintaining probation notice details
Select the “Maintain Probation Notice Details” hyperlink from the left pane.
The “Maintain Probation Notice Details” page appears.
The system displays the following
Date Format |
The date format that is applicable to the login user. |
Enter the following.
Organization Unit |
From the drop-down list box, select the organization unit for which you require to maintain probation notice details. |
To record probation notice details
Enter the following details in the multiline.
Department |
The department of the organization for which you require to record the notice period details. |
Work Location |
The code that identifies the work location for which you require to record the notice period details. |
Division Status |
From the drop-down list box, select the division status if the notice period has to be retrieved based on branch. Division status is the branch of the organization. |
Grade Set |
The grade set of the grade for which you require to record the notice period details. |
Grade |
The grade for which you require to record the notice period details. |
Column 1 |
Any additional information about the probation notice details. |
Column 2 |
Any additional information about the probation notice details. |
Probation Period |
The period that the employee requires to get confirmation in the organization. For example, the probation period could be 1 year for the specific combination of department , grade set, work location, grade and division status, enter “1” in this field. |
Units |
From the drop-down list box, select the unit of the probation period. For example, the probation period could be 1 year for the specific combination of department, grade set, work location, grade and division status, select ” year” as the unit from the drop-down list box. |
Probation Notice |
The integer value of the probation notice for an employee. For example, if the probation notice for the employee is 1 month, enter 1 in this column. |
Units |
From the drop-down list box, select the unit for the probation notice that you specified. The drop-down list displays the values “Days”, “Hours”, “Months”, “Weeks”, and “Years”. For example, if the probation notice for the employee is 1 month, select months from the drop-down list. |
Service Type |
From the drop-down list box, select the unit for the service that you specified. The drop-down list displays the values “Days”, “Hours”, “Months”, “Weeks”, and “Years”. |
Service From |
The starting number of units of service from which you want to specify the details of confirmation notice. For example, if you want to specify confirmation notice details for all confirmed employees whose years of experience in the organization are within the range 1 to 3 years, enter 1 in this column. |
Service To |
The ending number of units of service until which you want to specify the details of confirmation notice. For example, if you want to specify confirmation notice details for all confirmed employees whose years of experience in the organization are within the range 1 to 3 years, enter 3 in this column |
Confirmation Notice |
The integer value of the confirmation notice for an employee. For example, if the probation notice for the employee is 3 months, enter 3 in this column. |
Units |
From the drop-down list box, select the unit for the confirmation notice that you specified. The drop-down list displays the values “Days”, “Hours”, “Months”, “Weeks”, and “Years”. For example, if the confirmation notice for the employee is 3 months, select months from the drop-down list. |
Select the “Save” pushbutton to save the probation notice details.

The description of the work location for which you require to record the notice period details. |
Department Description |
The description of the department for which you require to record the notice period details. |
Grade Set Description |
The description of the grade set for which you require to record the notice period details. |
Grade Description |
The description of the grade for which you require to record the notice period details. |
To indicate whether a history of the modifications must be maintained
Enter the following
Modification Option |
Select “Correct” or “Update” from the drop-down list box. § If you select “Correct”, the history of modifications is not stored by the system. The record is merely corrected, and the system treats the modification date of the record to be the same as “Effective Date“ you specified when you created the record. § “Update”, the system stores the history of modifications, by inserting a new record to track each change to the record. The previous record is internally closed. When you select “Update”, you must also enter the date from which the changes must become effective. |
New Effective From |
If the edit option you chose is “Update”, specify the date from which the current modification will be in effect. The system maintains the “Effective To Date” of the previous record to be one day less than the “New Effective From” date. |
Select the “Previous” pushbutton beside the “Data Access History” field, to view the previous changes, if any, made to the selected probation notice details.
If no previous record exists, the system will display the current record.
Note: When you click “Previous”, the system will display the previous record in the database, provided you had chosen “Update” in the “Edit Option” drop-down list box.
Select the “Next” pushbutton in the “Access Data History” field, to view the next change of the probation notice details.
To delete the probation notice details
From the drop-down list box, select the organization unit.
Select the “Previous” pushbutton beside the “Data Access History” field, to view the previous record.
If no previous record exists, the system will display the current record.
Select the “Next” pushbutton in the “Access Data History” field, to view the next record.
Select the “Delete” pushbutton to delete the specific probation notice details record.
