Date Format

The date format that is applicable to the login user.

Language

The language you selected in the previous page is displayed.

From the “Language” drop-down list box, you can select any other language, to retrieve the record in the selected language.

Grade Set Code

The unique code of the grade set to which the grade is be attached. Employees in the organization are classified into different grade sets. For example, all managers can be attached to the grade set ‘Managers’.

Grade Code

The unique code of  the grade.

Viewing Effective Dates

You can use the “Access Data History” group box to view the effective dates of the previous versions of the record.

Effective From

The date from which the corresponding version of the grade record is effective.

Effective To

The date till which the corresponding version of the grade record is effective.

To edit the grade

Note: By default, the system displays the values specified previously for the details.

Grade Short Description

A brief description of the grade. For example, if the grade M1 is attached to the grade set ‘Managers’, you can enter the description of the grade as ‘Senior Managers’ or Snr Mngrs’ etc.

Grade Long Description

A more elaborate description to make the description of the grade clearer. For example, if you specified the short description for the grade M1  as ‘Senior Managers’, you can specify the long description as ‘All managers with more than five years experience'

Inactive

Select the check box only if you want to make the grade inactive. This means that the grade will not be applicable for use in other activities.

Comments

The comments you want to enter pertaining to the details entered.

To indicate whether a modification history must be maintained

Modification Option

Select “Correct” or “Update” from the drop-down list box. If you select,

 

  • “Correct”, the grade is modified without any change in the effective date.

 

  • “Update”, the grade is modified and you must specify the new date from which it takes effect

New Effective From

If the modification option you chose is “Update”, you must specify the date from which the current modification of the grade will take effect.

Save in Language

The language you selected in the previous page is displayed.

From the “Language” drop-down list box, you can select any other language, to translate the record to this language.

 

Note:  While translating the details of a grade, you may choose to deactivate the grade. All other languages in which the grade is maintained are automatically deactivated l.

Applicable to

Choose the organization unit to which the department details will be made available. The options in the drop-down list box are described below.

 

  • “All Org. Units” refers to all the applicable organization units for the setup unit.

 

  • “Login (Operative/Current/Working/Chosen) Org. Unit” refers to the organization unit you selected in the “Unit Structure Setup” unit, if applicable.

 

  • “Selective Org. Units” refers to a distinct set of applicable organization units to be specified in the “Org. Unit Mapping” page.

 

  • “Existing Mapped Org. Units” refers to maintaining the most recent mapping of the applicable organization units.
