The system displays the following.
Date Format

The date format applicable to the login user. |
Employee |
The employee code and name of the self-service employee |
Enter or select the following.
Leave Type |
From the drop-down list box, select the type of leave that the employee requires For example, leave type can be casual leave, privilege leave or sick leave. |
Leave From |
The date from which the employee has applied for leave. For example, if the employee has applied for leave from 5th of August 2004, enter the leave date as 5th August 2004. |
Leave To |
The date until which the employee has applied for leave. For example, if the employee has applied for leave until 10th of August 2004, enter the leave date as 10th August 2004. |
First Day of Leave |
The date of the first day on which the employee will be physically absent from the place of work. Tell me more. If the leave type you selected is ‘Maternity Leave’ or ‘Paternity Leave’, this field changes to ‘Expected date of childbirth’ |
Last Day of Leave |
The date of the last day on which the employee will be physically absent from the place of work. If the leave type you selected is ‘Maternity Leave’ or ‘Paternity Leave’, this field changes to ‘Actual date of childbirth’ |
Automatic Weekly Off |
Check this box, if you request the system to consider weekly offs, within the leave period of the employee. |
Leave Reason |
From the drop-down list box, select the reason for which the leave has been applied. |
Other Reason |
Enter any other reason, if applicable. |
Covering Employee |
The employee code of the employee who will take up the responsibilities of the employee who has applied for leave. Help available. |
Supporting Documents Provided |
Check this box, if the employee has provided documents to support the leave. Uncheck the box, if the supporting documents are not provided. Supporting documents are those documents that the employee provides, along with the reason for leave. In the “Create Leave Type” activity, each leave type is defined as either needing supporting documents or not needing them. If the need for supporting documents was specified, they must be provided at this stage, and this box checked. |
Supporting Documents |
Any details about the supporting documents. You can also view these details, if they were entered previously, by selecting the book icon. The pop up dialog box displays the existing content. Tell me more. |

Select the “Save” pushbutton to save the details entered.
The system displays the following.
Application No. |
A unique number generated by the system, when the leave application of the employee is submitted. |
Application Status |
The status of leave application, which has been applied previously. The system displays the status as “Pending Authorization – Create”. |
Requested Leave Units |
The number of units for which the employee has applied leave. The system determines this number, based on the Leave From” and “Leave To” dates already entered. The role of “Automatic weekly off” |
Balance Units in Days |
The balance units that the employee can avail, of the selected leave type. This balance does not take into account the leave units applied for, which have not been authorized. This field is displayed if the leave type is maintained in “days”. |
Leave Pending for Approval in Days |
The number of leave units for which the employee has applied for leave, but which have not been authorized until date. These refer to pending leave units of the selected leave type only. |

A HR user can use this page to apply for leave on behalf of an employee.
“First Day of Leave“ and “Last Day of Leave“
This refers to the date range for which the employee will be physically absent from the work place; it does not necessarily refer to the number of leave units availed by the employee. For example, an employee may be physically absent for 4 days, from Friday, April 1 2005 until Monday April 4 2005; however he may have availed leave for only 2 days, which are April 1 and April 4.
The “First Day of Leave” and “Last Day of Leave” may also applicable in situations where the employee may negotiate his weekly offs. For example, an employee’s weekly offs may be Saturday and Sunday. However, he may be away from Tuesday March 15 2005 to Thursday March 17 2005, after an agreement with his supervisor that he can avail Wednesday and Thursday in lieu of his weekly offs. This means that the employee will agree to work during his next weekly off, and will avail leave only on Tuesday March 15. The “First Day of Leave” and “Last Day of Leave” will be March 15 to March 17 2005, while “Leave From” and Leave To” will both be March 15 2005..
Note that if the employee requires to avail a weekly-off day in-between the leave period other than his regular weekly off day, he will need to create two separate leave applications. For example, he may be away from Tuesday March 15 2005 to Thursday March 17 2005, after an agreement with his supervisor that he can consider Wednesday as his weekly off. In other words, Wednesday will be treated as weekly off, instead of his actual weekly off, Sunday. This will require him to create a separate leave application each for Tuesday and Thursday.
If an employee applies for leave for a data range that spans his weekly off, the system will not consider these weekly off days as leave, provided the “Automatic Weekly Off” box is checked in the “Apply for Leave” activity.
For example, an employee’s contract days per week is 5, his weekly-offs are Saturday and Sunday; this is defined in the “Additional Masters” page. He applies for leave from Thursday March 10 2005 to Tuesday March 15 2005.. Although the “Leave From” is March 10 and Leave To” is March 15, the intervening weekly offs will not be treated as leave, and the “Requested leave units” will be computed as 4
If he does not check the “Automatic Weekly Off” box, all 6 days will be considered leave.
Note that the Automatic Weekly Off is applicable only for leave types that are “holiday exclusive”, such as “Holiday”, “Lieu Day” and “Lieu Bank Holiday”. See Holiday Inclusive
