Select the “Request for Leave” link from the “Edit Leave Request” or select the “Request for Leave” activity from the left pane.
The “Leave Request” page appears.
The system displays the following.
Date Format |
The date format applicable to the login user. |
Enter the following.
Employee |
The employee code of the employee who wants to apply for the leave. Help available. |
Leave Type |
From the drop-down list box, select the type of leave that the employee requires. |
Request Date |
The date on which the leave has been requested. |
Leave From |
The date from which the employee has applied for leave. For example, if the employee has applied for leave from 5th of August 2004, enter the leave date as 5th August 2004. Note that based on the status set for the “Allow Leave on Non Working Days” parameter in the “Leave Definition “ component, you can enter the “Leave From” date as a holiday date. |
Leave To |
The date until which the employee has applied for leave. For example, if the employee has applied for leave until 10th of August 2004, enter the leave date as 10th August 2004. Note that based on the status set for the “Allow Leave on Non Working Days” parameter in the “Leave Definition “ component, you can enter the “Leave To” date as a holiday date. |
Enter the following in the “If Time” group box.
From Time |
The time period from which the employee will be on leave if the unit of leave type is hours. |
To Time |
The time period until which the employee will be on leave if the unit of leave type is hours. |
Enter the following in the “If Session” group box.
From Session |
The session from which the employee will be on leave if the unit of leave type is days. For example, “Morning Session”. |
To Session |
The session until which the employee will be on leave if the unit of leave type is days. For example, “Noon Session” |
Date Of Holiday Worked |
The holiday date on which the employee has worked. |
The system displays the following.
Rejection Remarks |
The system displays the reason for rejecting the leave request if the leave request was rejected. |
Enter the following.
Leave Reason |
From the drop-down list box, select the reason for which the leave has been applied. Note that it is mandatory to enter a value in this field if you have checked the “Leave Reasons Mandatory” field in the “Create Leave Type” activity in “Leave Definition” component. |
Additional Reason |
Enter any other reason, if applicable. Note that it is mandatory to enter a value in this field, if you selected the option “Others” from the “Leave Reason” drop-dow n list box. |
Covering Employee |
The employee code of the employee who will take up the responsibilities of the employee who has applied for leave. Note that it is mandatory to enter covering employee for the following instances (i) If the “Leave From” date is backdated and the “Is Covering Officer Mandatory for Back Dated Application” field value is set to “Yes” in the “Set Leave Parameters” activity in the “Leave Definition” component. (ii) If the “Leave From” date is current or future date and the “Is Covering Officer Mandatory for Leave Application” field value is set to “Yes” in the “Set Leave Parameters” activity in the “Leave Definition” component. Reason for Alteration/Cancellation |
The reason for altering the details of the leave application. |
Supporting Documents Provided |
Select the check box “Supporting Documents Provided” if supporting documents are provided for the leave otherwise deselect it. |
Supporting Document |
Any details about the supporting documents. You can also view these details, if they were entered previously, by selecting the book icon. The pop up dialog box displays the existing content. |
To attach the associated documents of leave
Enter the following.
Supporting Document1 |
Any supporting documents associated to the leave. Select the “Browse” pushbutton to attach the supporting document to the leave application. You can view the supporting document by selecting the “View Supporting Document 1” link. |
Supporting Document2 |
Any supporting documents associated to the leave. Select the “Browse” pushbutton to attach the supporting document to the leave application. You can view the supporting document by selecting the “View Supporting Document 2” link. |
Exception to Posting Rule |
Select the checkbox to ensure that the posting rule is not applied. |
Exception Reason |
If the “Exception to Posting Rule“ is checked, enter the reason for exception. |
Comments |
The comments pertaining to the leave request. |
Select the “Save” pushbutton
The system displays the following
Application No. |
A unique number generated by the system, when the leave application of the employee is submitted. |
Application Status |
The status of leave application, which has been applied previously. The system displays the status as “Draft”. |
Balance Units |
The balance units that the employee can avail, of the selected leave type. This balance does not take into account the leave units applied for, which have not been authorized. The pending units will be taken into account if the “Consider Pending Application for Leave Balance” is set as “Yes” in the "Set Leave Parameters" activity in the "Leave Definition" component. |
Requested Leave Units |
The number of units of leave requested by the employee. |
Expected Date of Return |
The date on which the employee is expected to return after the leave. |
Note: The "Save" and "Submit" pushbutton are enabled when you apply for leave, whereas the "Alter", "Cancel", "Delete" and "Withdraw" pushbutton are enabled only when you edit leave application.
Select the “Submit” pushbutton to submit the leave request.
The system submits the leave request for authorization.
The system displays the following.
Pending With |
The employee codes of the employees who can authorize this leave application. |
Application Status |
The status of the application changes to "Pending for Authorization - Create". |
Select the “Alter” pushbutton to edit the leave application.
You can only edit those leave requests that have been authorized.
Select the "Save" pushbutton.
Select the "Submit" pushbutton to submit the altered leave request for authorization.
Select the “Delete” pushbutton to delete the leave application.
You can only delete those leave requests that have not been authorized.
Select the “Cancel” pushbutton is to cancel the authorized leave application.
Select the “Withdraw” pushbutton to to cancel the changes done in the leave application and bring back to the original state.
Select the “View Leave Application Status” link, or
Select the “View Leave Summary” link.
