The “Authorize Individual Leave Request" page appears.

 The system displays the following.

Date format

The date format applicable to the login user.

Tell me more

Employment Unit

The organization unit to which the selected employee belongs.

Tell me more.

Employee Code

The unique code pertaining to the employee whose leave application is to be authorized.

Supervisor Code

The code that identifies the supervisor who authorizes the leave application of the selected employee.

Department

The name of the department to which the employee belongs.

Work Location

The work location of the employee.

Position

The name of the position being held by the employee.

Job

The job title of the employee.

Grade Set

The gradeset to which the employee belongs.

Grade

The grade to which the employee belongs.

Application No.

The application number that is generated automatically by the system on the submission of leave application. It will display the selected employees leave application number.

Application Status

The status of leave application.  If the supervisor has already authorized the leave application, the system displays authorized.  If the leave application is pending for authorization, the system displays pending authorization and if the leave application has been rejected, the system displays rejected. 

Pending With

The name of the person with whom the authorization is pending.

Leave Type

The type of leave that has been selected in the search criteria.

Balance Units

The balance units of the leave selected.  

 The system displays the Request Details.

Request Date

The date on which the request for leave has been made.  The request date must be in the date format displayed, which is defined by the user.

Leave From

The date from which the employee has applied for leave.  For example, if the employee has applied for leave from 5th of August 2002, enter the leave date as 5th August 2002.  

Leave To

The date till which the employee has applied for leave.  For example, if the employee has applied for leave till 10th of August 2002, enter the leave date as 10th August 2002.  

 The system displays the details of If Time.

From Time

The time from which the employee has applied for leave.  For example, if the employee wants to take leave on 8th August 2002, from 11 a.m. then mention 11 a.m. in the from time field. 

To Time

The time till which the employee has applied for leave.  For example, if the employee wants to take leave on 8th August 2002, till 2 p.m. then mention the 2 p.m. in the to time field. 

 The system displays the details of If Session.

From Session

The session from which the employee is going on leave.  For example, the session can be morning, evening or night that is applicable to the organization. The session can depend on the shifts that have been scheduled for the employee who is going on leave.

To Session

The session till which the employee will be on leave.

Date of Holiday Worked

The holiday date on which the employee has worked.

 The system displays the following.

Requested Leave Units

The total units that have been requested for leave.

Expected Date of Return

 

The date on which the employee is expected to be back from the leave.  If expected date of return has not been specified, the system automatically generates the expected date of return from the leave from and to date that has been specified. For example, if the employee has requested leave from 5th August 2002 to 10th August 2002, then the system will automatically generate 11th August 2002 as the expected date of return. 

Leave Reason

The reason for requesting leave.

Additional Reason

Any other reason for requesting leave.

Covering Employee

The unique code of the employee who will take up the responsibilities of the employee who has applied for leave. 

Date of Holiday Worked

The holiday day date on which the employee has worked.

Supporting Documents Provided

  • "Yes" indicates that the supporting documents are provided for the leave request.

  • "No" indicates that the supporting documents are not provided for the leave request.

Supporting Documents

Any supporting documents associated to the leave.

Comments

The comments pertaining to the leave request.

  Enter the following authorized details.

Leave From

The date from which the employee has applied for leave.  For example, if the employee has applied for leave from 5th of August 2002, enter the leave date as 5th August 2002.  

Leave To

The date till which the employee has applied for leave.  For example, if the employee has applied for leave till 10th of August 2002, enter the leave date as 10th August 2002.

Authorized Units

The total number of leave units that are authorized by the supervisor.

Expected Date of Return

The date on which the employee is expected to be back from the leave.  If expected date of return has not been specified, the system automatically generates the expected date of return from the leave from and to date that has been specified. For example, if the employee has requested leave from 5th August 2002 to 10th August 2002, then the system will automatically generate 11th August 2002 as the expected date of return. 

Covering Employee

The unique code of the employee who will take up the responsibilities of the employee who has applied for leave. 

Supporting Documents Provided

Select the check box provided along with the field, if the supporting documents have been provided.  Uncheck the box, if the supporting documents are not provided.  The supporting documents are those documents that are provided by the employee along with the reason for leave.  For example, if an employee is going on a medical leave, then supporting documents can be medical certificate from the doctor, and prescription.

To attach the associated documents of leave

Supporting Document1

Any supporting documents associated to the leave. Select the Browse pushbutton to attach the supporting document to the leave application. You can view the supporting document by selecting the View Supporting Document 1 link. Click the icon to browse and select the file you want to attach.

Supporting Document2

The comments pertaining to the leave request. Click the icon to browse and select the file you want to attach.

Rejection Reason

The reason to be specified by an authorizer when he/she rejects a leave to be carried over for employee(s).

Exception to Posting Rule

When the authorizer wants to violate the posting rule as per the employees request then, this checkbox needs to be checked. If the minimum units of posting for a leave is 0.5 days and maximum is 3 days and, if the employee wants to apply for 4 days of CL, the authorizer can decide to grant the same by checking this checkbox.

Reason for Exception

If exceptions to posting checkbox is checked, then the reason for exception needs to be entered.

 Select the Authorize pushbutton to authorize the leave application.

  Select the Reject pushbutton to reject the leave application.
