Requesting for leave - multiple dates
Select “Request for Leave – Multiple Dates” option from the left pane.
The “Request for Leave - Multiple Dates” page appears.
The system displays the following.
Date format |
The date format applicable to the login user. |
Employee |
The code and the name of the login employee who is applying for leave. |
From the “Leave Type”, drop-down list box, select the type of leave that you require to apply. For example, the leave type can be casual leave.
Enter the following.
Request Date |
The date on which the current request is made. This will be the system date |
The system displays the following leave details of the login employee, for the selected leave type
Balance Units in Days |
The total remaining balance units of leave, in days. |
Request Date |
The date on which the current request is made. This will be the system date |
To apply for leave, for multiple leave periods
Enter the following in multiline
From Date |
The date from which the employee will avail leave. |
From Time |
The time from which the employee will avail leave. |
From Session |
From the drop-down list box, select the session for which the employee will avail leave. For example, the session can be “Morning“, “Evening“ or “Night“. |
To Date |
The date until which the employee will avail leave. |
To Time |
The time until which the employee will avail leave. |
To Session |
From the drop-down list box, select the session until which the employee will avail leave. |
Requested Leave Units |
Enter the total number of units for which the employee will avail leave. You are to specify the number of units in “days“ or “hours“. If the requested leave units entered is above the difference between leave from date and to date, then the system defaults it with the original difference. |
Units |
From the drop-down list box, indicate whether the units will be “Hours“ or “Days“. |
Select the “Save” pushbutton. The system displays the following
Application No. |
A unique number generated by the system, to identify each leave application. Note that each period for which you had applied leave consists of a leave application. |
Application Status |
The status of each leave application. The system displays the status to be one of the following: “Authorized” “Pending Authorization” or “Rejected”. |
Pending With |
The employee codes of the employees who can authorize leave request. |
Enter the following in multiline
Leave Reasons |
From the drop-down list box, select the reason for each leave. If you wish to indicate a reason that is not already defined in the drop-down list box, select ‘Other Reasons’. |
Additional Reasons |
If ‘Other Reasons’ had been selected in the previous field, specify the additional reason as free text in this field. |
To specify the covering employee
Ensure that you have entered all the details of the leave period for which the employee will be on leave, in the multiline
Use the help icon, to select the code of the employee who will take up the responsibilities of the employee who has applied for leave.
To provide supporting documents
Ensure that you have entered all the details of the leave period for which the employee will be on leave, in the multiline
Select the check box under the field “Supporting Documents Provided”, if the supporting documents have been provided.
Uncheck the check box if the supporting documents are not provided.
In the “Supporting Documents” text box, specify the supporting documents that are provided by the employee. An example of a supporting document is the Medical Certificate from a doctor.
To specify the holiday worked, expected date and time of return
Ensure that you have entered all the details of the leave period for which the employee will be on leave, in the multiline.
In the "Date of Holiday Worked" text box, specify the date on which the employee is worked for a holiday.
In the “Expected Date of Return” field, select the date on which the employee is expected to be back from leave. Select the time at which the employee is expected to be back, as well.
If “Expected Date Of Return” has not been specified, the system automatically generates the expected the date of return to be one day after the “To Date”. For example, if the employee had requested leave from 5th August 2002 to 10th August 2002, the system will automatically generate 11th August 2002 as the “Expected Date Of Return”.
Similarly, if the “Expected Time Of Return” has not been specified, the system automatically defaults the expected time of return to be the “From Time” and “To Time” that has been specified. Example: If an employee specifies the “To Time” as 4.00 pm in a shift whose timings are from 2.00 pm to 8.00 pm, the system will display 4.00 pm as the “Expected Time of Return”. But if the “To Time” is 8.00 pm, the “Expected Time of Return will be the starting time of the next shift.
Select the “Save” pushbutton to save the details entered.
To proceed
Select “View Leave Application Status” link from the “Request for Leave – Multiple Dates” page.
