The system displays the following.

Date Format

The date format applicable to the login user.

Select the organization unit in which you must specify the parameters.

Standard Hours per day

The standard number of working hours per day, for calculating leave.

For example, employee Catherine applies for leave from 01 Sep 2002, which is a whole day session, to 03 Sep 2002, which is also a whole day session. If the standard working hours for an organization are 9, the leave units will be calculated as follows: 9*3 = 27 hours or 3 days.

Grace Period for Carry Over Processing (in days)

The number of days by which the carry over processing will be deferred, immediately after the completion of a leave calendar.

For example, the calendar period is 01 Jan 2002 to 31 Dec 2002. The  carry over process will normally  be done  on 31 Dec 2002. If  the grace period for carry over processing is 5 days, the carryover processing will be done   on 5 Jan 2002.

Override Carry Over Units

Indicate whether the authorizer can override the carry over units, which are the total number of leave units that are carried over to the subsequent leave calendar.

  • Select “Yes” if the entitlement units need to be overridden

  • Select “No” otherwise.

Modification of Leave Request by Authorizer

Indicate whether the authorizer can modify the details of a leave request.

  • Select “Yes” if details of a leave request can be overridden

  • Select “No”, otherwise.

Allow Leave Applications for a Closed Period

Indicate whether the authorizer or employee can override the leave applications for a closed calendar period.

  • Select “Yes” if the leave application can be accepted.

  • Select “No” otherwise

Time Management Integration

Indicates the type of integration a leave component has with the Time Management component.

  • Select “Full” if there is a total integration with the Time Management System. If you choose this, the Time Management details will be available in the leave application. Tell me more.

  • Select “Partial” if there is only a partial integration. If you choose this, only the Holiday List  will be available in the Leave Management business process.

Display Balance For

The number of years for which you require to view the leave balance in "View Leave Summary" page.

Service Date Based On

From the drop-down list box, select any one of the following options

  • "Date of Joining" indicates that the service date must be computed from the date of joining.

  • "Rehire Date" indicates that the service date must be computed from the date of rehire.

Effective Date for Shift Based On

From the drop-down list box, select any one of the following options

  • "Start Date"  indicates that the shift period will be computed from the date prior to the  leave application date.

  • "End Date" indicates that the shift period will be computed from the leave application date to the next date.

Is Covering Officer Mandatory for Leave Application

From the drop-down list box, select any one of the following options

  • "Yes" indicates that it is mandatory to have a covering officer to apply for leave. Note that covering officer is the officer who is substitute for the employee on leave.

  • "No" indicates that it is not mandatory to have a covering officer to apply for leave. Note that covering officer is the officer who is substitute for the employee on leave.

Is Covering Officer Mandatory for Back Dated Appln

From the drop-down list box, select any one of the following options

  • "Yes" indicates that it is mandatory to have a covering officer for back dated leave application. Note that covering officer is the officer who is substitute for the employee on leave.

  • "No" indicates that it is not mandatory to have a covering officer for back dated leave application. Note that covering officer is the officer who is substitute for the employee on leave.

Allow Overlapping Leave Application

From the drop-down list box, select any one of the following options

  • "Yes" indicates that you have the facility to submit multiple leave applications until one leave application gets authorized.

  • "No" indicates that you cannot submit multiple leave applications.

Allow Leave Appln Beyond Notified Date for Resigned Employees

From the drop-down list box, select any one of the following options

  • "Yes" indicates that you can apply for leave beyond the notification date of  resignation.

  • "No" indicates that you cannot apply for leave beyond the notification date of  resignation.

Consider Pending Application for Leave Balance

From the drop-down list box, select any one of the following options

  • "Yes"  indicates that the pending leave application must be considered for computing the leave balance.

  • "No"  indicates that the pending leave application must not be considered for computing the leave balance.

 

Include Break Time as Part of Hourly Leave Taken Units

From the drop-down list box, select any one of the following options

  • "Yes" indicates that the break time must be included for computing the hourly leave taken by the employee.

  • "No" indicates that the break time must not be included for computing the hourly leave taken by the employee.

Display leave Types Irrespective of Leave Type – Role Permission

From the drop-down list box, select any one of the following options

  • "Yes" indicates that all the leave types must be displayed irrespective of the mapping of leave types to the roles in the "Maintain Leave Type Role Permission" activity.

  • "No" indicates that only the leave types mapped to the role must be displayed in the "Maintain Leave Type Role Permission" activity.

Display leave Reasons Irrespective of Leave Type – Reason Mapping

From the drop-down list box, select any one of the following options

  • "Yes" indicates that all the leave  reasons, which includes the leave reasons in quick codes  must be displayed irrespective of the mapping of leave type to reasons in the "Maintain Leave Reason" activity.

  • "No" indicates that only the leave reasons mapped to the leave type in "Maintain Leave Reason" activity will be displayed.

Leave Eligibility Based On

From the  drop-down list box, select any one of the following options

  • "Divisional Status" indicates that the leave eligibility is based on divisional status

  • "Grade Set - Grade" indicates that the leave eligibility is based on grade set - grade.

  • "Grade Set - Grade - Position" indicates that the leave eligibility is based on grade set - grade - position

  • "Position" indicates that the leave eligibility is based on position

  • "Job" indicates that the leave eligibility is based on job.

Continuation of example on “Override Requested Leave Units”

This need can arise in situations where an employee needs to work for 5 days or 40 hours / week, which is a pay period. The employee clocks in 28 hours, during Monday, Tuesday and Wednesday. The employee now wishes to apply for leave, for Thursday and Friday.

Instead of applying for 2 days or 16 hours of leave, the employee can  apply for 12 hours of leave, because she has already clocked in 28 hours for the week. This process allows the employee to get the full pay for the week and save on her leave balance by 4 hours.

Example of full integration with Time Management

For instance, if the standard hours per day are 9, and an employee avails leave for 2 hrs, 3hrs and 4 hrs  of leave on three different occasions,  these  availed hours together will be  accounted as 1 day of  leave.

But, if the Time Management details are available, the system accounts the availed units based on the Time Management shift details available
