How to use the web page

Using online help

The “Submit Tax Proofs” page appears.

The system displays the following:

Employee Code

The unique code of the employee.

Employee Name

The name of the employee.

Date

The system displays the current date.

Employment Unit

The employment unit of the employee.

Date Format

The date format that is applicable to the login user.

Employee Tax Data Unit

The employee tax data unit of the employee.

The system displays the instructions for submitting the tax proofs in the “Instructions” group box.

Tax Year

From the drop-down list box, select the tax year for which you require to retrieve the tax proof details.

The system displays the following:

Status

The system displays any one of the following statuses:

  • “Fresh” indicates the tax proof details are being recorded for the first time.

  • “Draft “indicates the tax proof details were saved as a draft.

  •  “Authorized” indicates the tax proof details has been authorized by the administrator.

Permanent Account Number (PAN)

The Permanent Account Number (PAN) of the employee. If you do not have a PAN Number, you must enter “PANNOTAVBL”.

The system displays the five tabs namely, “Rent and Children Education Details”,  “Income/(Loss) from House Property and Other Income”, “Deductions Under Chapter VI A”, “Income from Previous Employer” and “View and Confirm” in the “Investment Proof Details” group box:

Rent and Children Education Details

City

From the drop-down list box, select the city where the employee is residing.

Rent Paid Amount

The standard amount of rent paid by the employee for a month.

The system defaults the rent paid amount for all the months in the “Rent Paid Amount” field of the “Monthly Rent Paid Details” multiline.

The system displays the following in the “Monthly Rent Paid Details” multiline:

Month

The month in the financial calendar (April to March).

City

From the drop-down list box, select the city in which the employee is residing.

Rent Paid Amount

The amount of rent the employee paid for the month.

Receipt Enclosed

From the drop-down list box select either “Yes” or “No” option to indicate whether rent receipt has been enclosed or not.

Employee Remarks

Any remarks of the employee.

Authorized Rent Amount

The authorized rent amount against the month for the employee.

Note: The authorized amount can be entered only by the administrator/authorizer.

Processor Remarks

Any remarks entered by the authorizer/administrator.

Exemption Item

The system displays the following options for which the tax exemption will be given:

  •  No. of Children for Education Allowance

  •  No. of Children for Hostel Allowance

Claimed For

The number of children to claim for the educational allowance/hostel allowance.

Employee Remarks

Any remarks of the employee.

Authorized

The number of children of the employee authorized to avail the educational allowance/hostel allowance.

Note: The authorized amount can be entered only by the administrator/authorizer.

Processor Remarks

Any remarks entered by the administrator/ authorizer.

The system updates the status to “Draft”.

The system updates the following below the “Monthly Rent Details” multiline:

Total

The system displays the total rent amount paid by the employee for the tax year.

Total Authorized

The system displays the total authorized rent amount applicable for the employee in the tax year.

Note: This value will be displayed only when the administrator/authorizer recorded the authorized amount in the multiline.

Income/(Loss) from House Property and Other Income

Address

The address of the house property owned and occupied by the employee.

Location Status

From the drop-down list box, select any one of the following location statuses:

  • “Same City” indicates the employee is residing in the same city

  • “Relocated” indicates the employee has relocated to a new location.

Ownership Status

From the drop-down list box, select any one of the following ownership statuses:

  • “Single” indicates the house is owned by the employee

  • “Joint” indicates the house is jointly owned by the employee and another person.

Percentage

The percentage of the ownership of the house owned by the employee.

Date of Loan

The date on which the loan was sanctioned to the employee.

Date of Completion or Occupation

The date on which the employee occupied the house after completion.

Principal

The principal amount of the loan.

Interest

The interest amount of the loan (EMI).

1/5th

The 1/5th amount of the loan amount.

Total Interest

The total interest amount of the loan.

Employee Remarks

Any remarks of the employee pertaining to the house owned and occupied by the employee.

Authorized Principal

The authorized principal amount of the loan.

Note: This value can be entered only by the administrator/ authorizer.

Authorized Interest

The authorized interest amount of the loan.

Note: This value can be entered only by the administrator/ authorizer.

Processor Remarks

Any remarks entered by the administrator/ authorizer.

The system computes and displays the following below the “House Property - Self Occupied” multiline:

Total

The total interest amount of the loan.

Authorized Total

The authorized total interest amount of the loan.

Address

The address of the house property rented by the employee.

Location Status

From the drop-down list box, select any one of the following location statuses:

  •  “Same City” indicates the rented house is in the same city.

  • “Relocated” indicates the rented house is in a different location.

Percentage

The percentage of the ownership of the house owned by the employee.

Date of Loan

The date on which the loan was sanctioned to the employee.

Date of Completion or Occupation

The date on which the employee rented the house after completion.

Rental Income

The monthly income earned by the employee for the house rented.

Municipal Tax

The municipal tax to be paid for the house rented.

Principal

The principal amount of the loan.

Interest

The interest amount of the loan (EMI).

1/5th

The 1/5th amount of the loan amount.

Total Interest

The total interest amount of the loan.

Employee Remarks

Any remarks of the employee pertaining to the house owned and rented by the employee.

Authorized Principal

The authorized principal amount of the loan.

Note: This value will be entered by the administrator/ authorizer.

Authorized Interest

The authorized interest amount of the loan.

Note: This value will be entered by the administrator/ authorizer.

Processor Remarks

Any remarks entered by the administrator/ authorizer.

Source of Income

The source of income.

Income Amount

The amount of income earned against the source.

Employee Remarks

Any employee remarks pertaining to the other income of the employee.

Authorized Amount

The authorized amount against the source of income.

Note: This value will be entered by the administrator/ authorizer.

Processor Remarks

Any remarks entered by the administrator/ authorizer.

The system updates the status to “Draft”.

Deduction Under Chapter VIA

The system displays the following in the “Deductions Under Chapter VI A” group box:

Employee PF Contribution

The amount of provident fund to be contributed by the employee.

Employee VPF Contribution

The amount of VPF contributed by the employee.

Investment Items

From the drop-down list box, select the Investment Item for which you require to record the investment details. The system displays all the Section 80 items other than Section 80E details such as Mediclaim, Public Provident Fund, Contribution to Certain Pension Funds etc;

Policy No.

The policy number of the investment item.

In the Name Of

From the drop-down list box select the relation with the employee for whom the investment is applicable.

Annual Invested Amount

The amount invested for the tax year against the corresponding investment item.

Sum Assured

The amount assured for the investment item. This value is applicable only for the LIP and UIP investment items.

Eligible Amount

The eligible amount applicable for the investment item.

Employee Remarks

Any employee remarks pertaining to the investment details of the employee.

Authorized Amount

The authorized amount against the investment item.

Note: This value can be entered by the administrator/ authorizer.

Processor Remarks

Any remarks entered by the administrator/ authorizer.

Course

From the drop-down list box, select the course for which the employee has availed loan.

Fulltime

From the drop-down list box, select either “Yes” or “No” option to indicate whether it is a fulltime course or not.

Loan Taken For

From the drop-down list box select the relation with the employee for whom the loan was taken to complete the course.

Total Interest Amount

The total interest amount applicable for the loan taken to complete the course.

Employee Remarks

Any employee remarks pertaining to the course details.

Authorized Amount

The authorized amount applicable for the completion of the course.

Note: This value can be entered by the administrator/ authorizer.

Processor Remarks

Any remarks entered by the administrator/ authorizer.

The system updates the status to “Draft”.

The system displays the following below the “Investment Details” multiline:

Principal Repayment of Housing Loan (80C) Invested

The principal repayment amount of the housing loan (80C).

Principal Repayment of Housing Loan (80C) Authorized

The authorized principal repayment amount of the housing loan (80C).

Interest Accrued on NSC (80C) Invested

The accrued NSC interest amount against the amount invested by the employee.

Interest Accrued on NSC (80C) Authorized

The authorized accrued NSC interest amount against the amount invested by the employee.

The system displays the following below the “Section 80 E Details” multiline:

Total Section 80C Invested

The total invested amount against the elements on Section 80 C.

Total Section 80C Authorized

The total authorized invested amount against the elements on Section 80 C.

Total Section 80 D

The total invested amount against the elements on Section 80 D.

Total Section 80 D

The total authorized invested amount against the elements on Section 80 D.

Income from Previous Employer

Income from Previous Employer - Details

From the drop-down list box, select either “Yes” or “No” option to indicate whether you received income from the previous employer for the tax year.

Note: If Yes, the Form 16 of previous employer must be attached.

Employer’s Name

The name of the previous employer.

Employer’s PAN

The Permanent Account Number (PAN) of the employer.

Employer’s TAN

The Tax Account Number (PAN) of the employer.

Employment From

The date from which the employee worked in the organization.

Employment To

The date until which the employee worked in the organization.

Select Previous Employer

From the drop-down list box, select the previous employer to record the salary details. The system loads the drop-down list box with the employer names entered in the “Income from Previous Employer - Details” multiline.

The system displays the following in the multiline:

Salary Details

The salary details as mentioned in the Form 16 applicable for the selected previous employer. Example, Income Tax Deducted, Provident Fund.

Submitted Amount

The amount against each entity/ element of the salary details.

Employee Remarks

Any remarks pertaining to the previous employment income details.

Authorized Amount

The authorized amount against each entity/ element of the salary details.

Note: The authorized amount can be entered only by the administrator/authorizer.

The system updates the Status to “Draft”.

View and Confirm

The system displays the following in the “Summary” multiline:

Tax Item

The system displays the tax item for which the employee has entered the proof details.

Submitted Amount

The submitted amount against the tax item for which the employee has entered the proof details.

Authorized Amount

The authorized amount against the tax item.

The system updates the following below the “Summary” multiline:

Total Section 80C Invested

The total invested amount against the elements on Section 80 C.

Total Section 80C Authorized

The total authorized invested amount against the elements on Section 80 C.

Total Section 80 D

The total invested amount against the elements on Section 80 D.

Total Section 80 D

The total authorized invested amount against the elements on Section 80 D.

The system updates the status to “Pending for Authorization”

The system displays the following in the “Other Exemption U/S 10” multiline:

Note: The administrator/authorizer can only view/record the details in the “Other Exemption U/S 10” multiline

Exemption Items

The other exemption items under U/S 10.

Amount Earned (Outside Payroll)

The amount earned by the employee apart from the regular payroll.

Amount Exempted

The amount exempted from tax payment.

To authorize the employee’s tax proofs

The system updates the Status to “Authorized”.

Note: Only the administrator/authorizer can authorize the tax proof details

To reject the employee’s tax proofs

The system updates the Status to “Rejected”.

Note: Only the administrator/authorizer can reject the tax proof details.

To unauthorize the employee’s tax proofs

The system updates the Status to “Pending for Authorization”.

Note: Only authorized records can be Unauthorized. Only the administrator/authorizer can unauthorize the tax proof details entered.
