Using online help

Successful candidates who have accepted the offer will be inducted into the organization. This page enables you to carry out the tasks during applicant onboarding stage. These tasks include any details relating to Medical Tests, Reference data and Joining Formalities. Exporting key data from candidate profile to various HCM tables is also facilitated through this activity.

Record Additional Info Type is a sub-grouping of activities that are part of applicant onboarding. This dropdown offers options to record Joining Formalities, Medical Test Details and Reference Check Details. Using state processing, the screen enables only related sections to capture the relevant information. Additionally one more option “All of these” is also available that enables all sections.

You can provide the relevant RFH for which offer has been made to successful candidates and one or more candidates have accepted the offer. On providing the RFH number, some of its key details and all successful candidates who have accepted the offer would be made available. Onboarding information can be recorded for each applicant.

The “Perform Applicant Onboarding” page appears.

Prerequisite tasks

Action

Select an option from the drop-down list box to perform an action. The system lists “View”, “Create”, “Edit”, “Initiate Onboarding”, “Authorize” and “Export To HRMS” as options.

  • View – To view the existing application onboarding details.

  • Create – To create application onboarding details.

  • Edit – To modify or edit the applicant data which is in the ‘Pending for Authorization’ status.

  • Initiate Onboarding – To initiate onboarding details.

  • Authorize – To authorize the applicant data which is in the “Pending for Authorization” status.

  • Export To HRMS – To export the applicant data which is only in the ‘Authorized’ status.

Record Additional Info Type

Select an option from the drop-down list box to specify the type of additional info recorded. The combo is loaded with the values “All of the above”, “Joining Formalities”, “Medical Test Details” and “Reference Check Details”.

The system displays the following in the header:

Status

The status of the applicant onboarding is displayed as “Pending for Authorization”, “Authorized” or “Applicant Data Transferred”.

RFH No.

The unique number that identifies the RFH (Request for Hire). Click the lens icon to retrieve the RFH from Help On RFH No. page. Mandatory.

On entering the RFH number, the system displays the following in the “RFH Details” section:

RFH For

The reason for which the RFH was raised.

RFH Position

The position title of the RFH.

No. Required

The number of employees required.

RFH Department

The code that identifies the department for which RFH is raised.

Required By

The date by when the applicants are required to be hired.

Application Closing Date

Enter the application closing date.

Selected Applicants

Select the selected applicant’s name for which to record the applicant onboarding details from the drop-down list box. The combo is loaded with the list of applicants with offer status as “Offer Released” and acceptance status as “Offer Accepted” in the “Perform Applicant Final Selection & Offer” activity for that RFH No.

On entering the RFH number, the system displays the following in the “Applicant Details” section:

Position Selected For

The position for which the applicant is selected.

Job Selected For

The job for which the applicant is selected.

Dept Selected For

The department for which the applicant is selected.

Grade Selected For

The grade for which the applicant is selected.

Annual CTC

The annual cost to company for hiring the applicant.

Annual Basic

The annual basic for the applicant.

Expected DOJ

The date by which the applicant is expected to join.

Joining Status

Select an option from the drop-down list box that indicates the joining status of applicant. The combo is loaded with the values “Joined” and “Not Joined”. Mandatory.

Actual DOJ

The actual date on which the applicant is joining.

Joining Time

The time at which the applicant is joining.

Medical Test Status

Select an option from the drop-down list box that indicates the overall status of medical test. The combo is loaded with the values “Not Applicable”, “Fit”, “Unfit” and “Conditionally Fit”.

Medical Test Data Defined

The flag is updated as ‘Yes’ if at least one entry is made in the ‘Medical Test Details’ multiline.

Reference Check Status

Select an option from the drop-down list box that indicates the status of reference check. The combo is loaded with the values “Not Applicable”, “Not Satisfactory” and “Satisfactory”.

Reference Check Data Defined

The flag is updated as ‘Yes’ if at least one entry is made in the ‘Reference Check Details’ multiline.

Joining Formalities Status

Select an option from the drop-down list box that indicates the status of joining formalities. The combo is loaded with the values “Pending” and “Completed”.

Joining Formalities Info Defined

The flag is updated as ‘Yes’ if atleast one entry is made in the ‘Joining Formalities’ multiline

Hire Type

Select an option from the drop-down list box that indicates the type of hire. The combo is loaded with the values “Internal Selection”, “New Hire” and “Rehire”.  Mandatory

Employee Code

The code that identifies the employee being hired. If the hire type is selected as New Hire and if numbering type is Manual in ‘the ‘Maintain Process Parameters’ screen, you should enter a unique employee code.

If the hire type is selected as ‘New Hire’ and if numbering type is ‘Automatic’ in ‘the ‘Maintain Process Parameters’ screen, the system generates a unique employee code on Submit.

If the hire type is selected as Rehire, you should enter an existing employee code which is in Separated status.

If the hire type is selected as ‘Internal Selection’, the system automatically defaults the existing employee code on Submit.

Buy Notice Period

Select an option from the drop-down list box that indicates whether to buy the notice period of applicant. The combo is loaded with the values “Yes” and “No”.

Notice Period Buy In Amount

The amount spent to buy the notice period of applicant.

Recoverable

Select an option from the drop-down list box that indicates the period by which amount is recoverable. The combo is loaded with the values “No”, “Within 3 Months”, “Within 6 Months” and “Within 1 Year”.

Onboarding Location

Select an option from the drop-down list box that indicates the onboarding location. The combo is loaded with the list of locations. Mandatory.

Onboarding Location (Others)

Enter the other location if the location is not listed in the onboarding location. Mandatory.

Onboarding Locn. Address

Enter the address of the onboarding location. Mandatory.

Onboarding Locn. Contact

Enter the contact number of the onboarding location. Mandatory.

Business Unit

Select an option from the drop-down list box that indicates the different business units of the organization. The combo is loaded with the values . Mandatory.

Work Location

Select an option from the drop-down list box that indicates the work location of the organization. The combo is loaded with the list of work locations. Mandatory.

Supervisor Code

Enter the code of the supervisor. Click the lens icon to retrieve the supervisor from “Help On Employee” page. Mandatory.

Supervisor Name

On entering the supervisor code, the system displays the name of the supervisor.

Supervisor's Position Title

On entering the supervisor code, the system displays the position title of the supervisor.

Mentor Code

Enter the code of the mentor. Click the lens icon to retrieve the mentor from “Help On Employee” page. Mandatory.

Mentor Name

On entering the mentor code, the system displays the name of the mentor.

Mentor Position Title

On entering the mentor code, the system displays the position title of the mentor.

Joining Bonus Amount

Enter the joining bonus amount of the applicant.

Joining Bonus Recoverable

Select Yes from the drop-down list box if joining bonus is recoverable, else select No.

Relocation Recoverable

Select Yes from the drop-down list box if relocation is recoverable, else select No.

Relocation From

Enter the place from which the relocation is applicable.

Relocation To

Enter the place till which the relocation is applicable.

Relocation Amount

Enter the relocation amount applicable for the applicant.

Building

Select an option from the drop-down list box that indicates the building name where the applicant works. The combo is loaded with the list of building names.

Floor

Select an option from the drop-down list box that indicates the floor in the building. The combo is loaded with the list of floors available.

Seat/Workstation ID

The seat or workstation ID allocated for the applicant.

Phone/Extension Number

The phone or extension number allocated for the applicant.

Note: This multiline is displayed only when the ‘Record Additional Info Type’ is selected as “Reference check details” or “All of the above”.

Reference Type

Select an option from the drop-down list box that indicates the type of reference. The combo is loaded with values “Professional”, “Personal” and “Character”. Mandatory.

Reference Person Name

The name of the reference person. Mandatory.

Address / Location

The address / location of the reference person.

Phone Number (Mobile)

The mobile number of the reference person.

Phone Number (Landline)

The landline number of the reference person.

Email Address

The email ID of the reference person.

Organization / Institution

The organization / institution name where the reference person works. Mandatory.

Current Designation

The current designation of the reference person. Mandatory.

Relationship

The relationship between the applicant and the reference person.

Years Known

The number of years the reference person has known the applicant.

Reference Checked On

The date on which the reference check is done. Mandatory.

Remarks

Relevant remarks or comments that pertain to the reference check done about the applicant. Mandatory.

Reference Outcome

Select an option from the drop-down list box that indicates the reference outcome. The combo is loaded with values “Not Applicable”, “Not Satisfactory” and “Satisfactory”. Mandatory.

Reference Checked By Code

The code that identifies the person who is performing the reference check. Click the lens icon to retrieve an employee code from the “Help on Employee” screen. Mandatory.

Name

On entering the employee code, the system displays the name of the person who is performing the reference check is displayed.

Background Verification Agency Code

The code that identifies the agency which does the background verification. Click the lens icon to retrieve an agency code from the “Help on Committees, Rating Sets, Service Providers and Venues” screen.

Agency Name

The name of the agency which does the background verification is displayed.

Agency Overall Verdict

The overall verdict about the applicant after the agency has performed the background verification.

Note: This multiline is displayed only when the ‘Record Additional Info Type’ is selected as “Medical test details” or “All of the above”.

Medical Test

Select an option from the drop-down list box that indicates the type of medical test. The combo is loaded with medical test codes as defined in the “Maintain Quick Codes” activity. Mandatory.

Conducted On

The date on which the test is conducted. Mandatory.

Conducted At

The place at which the test is conducted. Mandatory.

Status

Select an option from the drop-down list box that indicates the medical test status. The combo is loaded with the values “Not Applicable”, “Fit”, “Unfit” and “Conditionally Fit”. Mandatory.

Remarks

Relevant comments or remarks that pertain to the medical test.

Physically Handicapped

Select Yes or No from the drop-down list box that indicates whether the applicant is physically handicapped.

Handicap Details

If the applicant is physically handicapped, enter the handicap details.

Major Health Constrains / Probs (if any)

The major health constraints / problems if there are any with the applicant.

Note: This multiline is displayed only when the “Record Additional Info Type” is selected as “Joining Formalities” or “All of the above”.

Joining Criteria

Select an option from the drop-down list box that indicates the joining criteria. The combo is loaded with joining criteria codes as defined in the “Maintain Quick Codes” activity. Mandatory.

Status

Select an option from the drop-down list box that indicates the status of criteria. The combo is loaded with the values “Completed” and “Pending”. Mandatory.

Status Date

The date on which the status is recorded. Mandatory.

Next Action Date

The date on which next action should be initiated regarding the applicant joining.

Remarks

Relevant comments or remarks that pertain to the joining criteria.

The status of the applicant data is updated as “Pending for Authorization”.

The system displays the following details in the “Data History” section.

Created By

The login ID of the user who created the applicant onboarding details.

Created Date

The date on which the applicant onboarding details was created.

Modified By

The login ID of the user who last modified applicant onboarding details.

Modified Date

The date on which the applicant onboarding details was last modified.
