Using online help

In this page, you can create a unique profile ID for each applicant profile. A profile can be tracked using its unique profile Id and can be updated from time to time. Applicant’s full profile details are captured for processing against required RFHs. An applicant’s profile may consist of four parts: basic/personal Information, work experience details, qualification details, linguistic and competency profiling. Help is provided to assist the user to search for a profile. Resume classification can be selected as General if the resume is being submitted without an RFH or Against RFH if the resume is being submitted for a vacancy published. If submitted against an RFH then the RFH number is also recorded.

The “Maintain Applicant Profile” page appears.

Action

Select an option from the drop-down list box to perform an action. The system lists “View Profile”, “Create Profile”, “Edit Profile”, and “Delete Profile” as options.

  • View Profile – To view the existing applicant profile details.

  • Create Profile – To create applicant profile for the first time.

  • Edit Profile – To modify an existing applicant profile.

  • Delete Profile – To delete an existing applicant profile.

The system displays the following in the header:

Status

The status of the applicant profile.

Profile Resume ID

The unique number that identifies the resume profile. Click the lens icon to retrieve the resume ID from “Help On Profile Resume ID” page. Mandatory.

Profile Channel

Select the profile channel from the drop-down list box. The combo is loaded with the values “Direct Entry” and “External Applicant Portal”. Mandatory.

Sourcing Basis

Select the “Sourcing Basis” from the drop-down list box to specify sourcing basis of RFH. The combo is loaded with the values “External”, “Internal” and “External & Internal”. Mandatory.

Sourcing Channel

Select the sourcing channel from the drop-down list box. The combo is loaded with the external recruitment channel values if the sourcing basis is selected as “External”. The combo is loaded with the internal recruitment channel values if the sourcing basis is selected as “Internal”. The combo is loaded with the external and internal recruitment channel values if the sourcing basis is selected as “External & Internal”. Mandatory.

Resume Classification

Select an option from the drop-down list box that indicates the classification of resume. The combo is loaded with the values as defined in “Maintain Quick Codes” activity. Mandatory.

Resume Source / Remarks

Enter the resume source details or remarks.

RFH Number

The unique number that identifies the RFH. Click the lens icon to retrieve the resume ID from “Help On RFH No” page. Mandatory.

Position Code

The position code of the applicant.

Position Title

The position title of the applicant.

Tab: Basic / Personal Information

Candidate’s personal information entered in this tab can be used in screening and shortlisting for an RFH. The email id provided here would be used to send communication on selection stage schedule and offer letter.

First Name

The first name of the key applicant. Mandatory.

Middle Name

The middle name of the key applicant.

Last Name

The last name of the key applicant. Mandatory.

Marital Status

Select the marital status from the drop-down list box. The combo is loaded with the values “I do not wish to disclose”, “Single”, “Married” and “Divorced”. Mandatory.

Nationality

The nationality of the key applicant. Mandatory.

Religion

Select the religion of the key applicant from the drop-down list box. Mandatory.

Date of Birth

 

Gender

Select the gender from the drop-down list box. The combo is loaded with the values “Male”, “Female” and “No Preference”. Mandatory.

Ethnicity

Select the religion of the key applicant from the drop-down list box. Mandatory.

Address Line 1

The first line address of the key applicant. Mandatory.

Address Line 2

The second line address of the key applicant. Mandatory.

City

The city of the key applicant. Mandatory.

Pin Code

The pin code of the country to which the key applicant belongs. Mandatory.

Contact No 1

The first contact number of the key applicant. Mandatory.

Contact No 2

The second contact number of the key applicant.

Email Address

The email address of the key applicant. Mandatory.

Current Annual CTC

The current annual CTC of the applicant.

Notice Period (in days)

The notice period to be served by the applicant in days.

Passport No

The passport number of the applicant.

Passport Valid From Date

The date from which the passport of the applicant is valid.

Passport Valid To Date

The date from which the passport of the applicant is valid.

Passport Issuing Authority

The name of the passport issuing authority.

Passport Place Of Issue

The place in which the passport is issued.

Passport Visas Active

The active status of the passport.

Profile Summary Line

The summary of the applicant profile. Mandatory.

Career Objective

The career objective of the key applicant.

Willingness to travel

Select an option from the drop-down list box to indicate whether the key applicant is willing to travel or not. The combo is loaded with the values “Yes” and “No”. Mandatory.

Preferred Location/s

The preferred work location of the applicant.

Expected Annual CTC

The expected annual CTC of the applicant.

Expected Take Home Pay

The expected monthly take home pay of the applicant.

Additional Remarks

The additional remarks if any.

Reference Type

Select the reference type from the drop-down list box. The combo is loaded with the values “Character”, “Management”, “Personal” and “Professional”. Mandatory.

Reference Person Name

The name of the reference person.

Address Location

The address of the reference person.

Phone Number (Mobile)

The mobile number of the reference person. Mandatory.

Phone Number (Office)

The official number of the reference person.

Email Address

The email address of the reference person.

Organization / Institution

The organization or institution where the reference person works. Mandatory.

Current Designation

The current designation of the reference person. Mandatory.

Relationship

The relationship of the reference person with the applicant.

Years Known

Enter the number of years the reference person known to the applicant.

Remarks

Any remarks regarding the applicant references.

Tab: Work Experience

Candidates’ past experience details can be recorded for as many organizations as required. This data can be referred in screening resume.

Organization

The name of the previous organization in which the applicant worked. Mandatory.

Location

The location of the organization.

Industry Area

Select the Industry Area from the drop-down list box to specify the industry area to which the organization belongs. The combo is loaded with the values from Employee Additional Information activity.

From Date

The date from which the applicant was in the services of the organization. Mandatory.

To Date

The date till which the applicant was in the services of the organization.  Mandatory.

Job Title / Position

The job title of the applicant. Mandatory.

Job Responsibilities

The job responsibilities of the applicant. Mandatory.

No Of Reportees

The number of the employees reported to the applicant.

Team Size

The size of the applicant’s team.

Supervisor Job Title

The job title of the applicant’s supervisor. Mandatory.

Gross Annual Remuneration

The gross annual remuneration paid by the organization to the applicant. Mandatory.

Currency

Select an option from the drop-down list box that indicates the currency in which the salary is paid. Mandatory.

Reason For Change

Enter the reason for change. Mandatory.

Remarks

Any remarks regarding the work experience, if any.

Ø  Enter the following details in the “Work Experience Summary” section.

Total Work Experience (in years)

The number of years of total experience of the applicant.

Relevant Work Experience (in years)

The number of years of relevant experience of the applicant.

Ø  Click “Submit” to save the entered details.

Tab: Education Details

Details of qualifications and certifications held by candidate can be recorded in this tab. This data can be used in filtering criteria of resume screening.

Education

Select the education from the drop-down list box. The combo is loaded with the values as defined in “Maintain Quick Codes” activity.  Mandatory.

Education Level

Select the education level from the drop-down list box. The combo is loaded with the values as defined in “Maintain Quick Codes” activity.  Mandatory.

Specialization

The area in which the applicant is specialized. Mandatory.

Institution

Select the institution from the drop-down list box. The combo is loaded with the values as defined in “Maintain Quick Codes” activity. Mandatory.

Institution (If Others)

Enter the institution name if the institution is not available in the institution field.

Nature

Select the type of education from the drop-down list box. The combo is loaded with the values “Distance Education”, “Full-Time” and “Part-Time’.

Location

The location in which the institute is exists.

Class

Select an option from the drop-down list box that indicates the class gained by the applicant in his academics.

From Date

The date from which the education is valid. Mandatory.

To Date

The date up to which the education is valid. Mandatory.

GPA/Percentage

The Grade Point Average or the percentage of marks obtained by the employee. Mandatory.

Maximum

The maximum marks out of which the GPA or percentage of marks was obtained by the employee. Mandatory.

Remarks

Enter the relevant comments and remarks, if any.

Additional Details Type

Select an option from the drop-down list box that indicates the additional certification and training details of the applicant. The combo is loaded with the “Professional Certification” and “Training Details”. Mandatory.

Certification / Training Course Description

The description of the certification or training course.

Organization / Institution

The name of the organization or institution in which the applicant obtained the certification or training.

From Date

The start date of the training or certification.

To Date

The end date of the training or certification.

Remarks

Enter the relevant comments and remarks, if any.

Tab: Linguistic & Competency Info

Candidate’s knowledge of different languages and possession of various competencies along with proficiency levels can be captured in this tab. This data can be used in filtering criteria of resume screening.

Language

Select the language from the drop-down list box that indicates the language in which the employee is proficient. Mandatory.

Proficiency

Select the proficiency from the drop-down list box that indicates the proficiency details for the corresponding language. Mandatory.

Can Conduct Business

Select an option from the drop-down list box to specify whether the applicant can do business communication in the corresponding language. The combo is loaded with the values “No”, “Not Known” and “Yes”. Mandatory.

Mother Tongue

Select the mother tongue of the applicant from the drop-down list box. Mandatory.

Competency Code

Enter the competency code of the applicant. Click the lens icon to retrieve the competency code from “Help On Competency” page. Mandatory.

Competency Description

The description of the competency.

User Specified Competency

Enter the user specific competency details

Proficiency Level

Select the proficiency level of the applicant from the drop-down list box. The combo is loaded with the values “Beginner Level”, “Expert Level”, “Intermediary Level” and “Not Available”.

Exp On This Competency

The number of experience in the entered competency.

Remarks

Enter the relevant comments and remarks, if any.

On Submit, the system saves the applicant profile details.

The status is updated as “Shortlisted for RFH” if the profile is shortlisted against an RFH.

The system displays the following details in the “Data History” section.

Created By

The login ID of the user who created the applicant profile details.

Created Date

The date on which the applicant profile was created.

Modified By

The login ID of the user who last modified the applicant profile details.

Modified Date

The date on which the applicant profile was last modified.
