Using online help

This page enables you to carryout applicant scheduling and applicant assessment. You can capture all applicants scheduling Information and assessment information pertaining to the recruitment and selection process. The recruiter can track all applicant progress during entire recruitment exercise. Assessment and rating on user defined rating set and RFH competency criteria can also be recorded.

Through this page, you can do applicants scheduling across multiple selection stages which vary RFH wise. You can also do assessment based on multiple selection stages. Assessment based on multiple rating sets and RFH competencies can also be recorded. You can also compute stage wise score and overall score. This screen also facilitates you to record assessment action at each stage for each applicant.

Prerequisites

Action

Select an option from the drop-down list box to perform an action. The system lists “View”, “Create” and “Edit” as options.

  • View– To view the existing applicant scheduling and assessment details.

  • Create– To create applicant scheduling and assessment details.

  • Edit– To modify an existing applicant scheduling and assessment details.

Tab: Scheduling Applicants For Selection Stages

This tab allows you to schedule applicants shortlisted across all the selection stages identified for an RFH. Each applicant can be mapped to a selector, panel or venue or a common selector, panel and venue. Communication will be sent to registered email ids of applicants and selectors about the date, time and venue of the selection stage.

RFH #

The unique number that identifies the RFH (Request for Hire). Click the lens icon to retrieve the RFH from Help On RFH No. screen. Mandatory.

On entering the RFH number, the system displays the following in the “RFH Details” section:

RFH For

The reason for which the RFH was raised.

Position Title

The position title of the RFH.

Number Required

The number of employees required.

Hiring Department Description

The detailed description of the department which raised the RFH.

Grade Description

The grade for which the RFH is raised.

Resource Stream

The resource stream for which the RFH is raised.

Resource Type

The resource type of the resource stream for which the RFH is raised.

RFH Requested Date

The date on which RFH is requested.

Hire Criticality Date

The date by which it is critical to hire the applicant.

Application Closing Date

The date on which the application for hire closes.

Current Stage

Select the current stage from the drop-down list box for which to schedule. The combo is loaded with selection stages defined for the RFH through the Set Sourcing Strategy and Selection Stages activity. Mandatory.

Next Stage

The next stage after the selected current stage.

Stage Type

The type of stage selected.

Selector / Interviewer Type

Select the type of selector / interview who is involved in selection process from the drop-down list box. The combo is loaded with the values “Individual” and “Panel”. Mandatory.

Common Venue Code

The code that identifies the common venue for all the applicants. Click the lens icon to retrieve a venue code from the “Help on Committees, Rating Sets, Service Providers and Venues” screen.

Venue Description

The description of the specified venue code. Click the lens icon to retrieve a venue code from the “Help on Committees, Rating Sets, Service Providers and Venues” screen.

Venue Contact Person

The name of the contact person in the specified venue.

Common Selector Code

The code that identifies the common selector for all the applicants. This field should be specified only if the selector / interview type is selected as Individual.

Click the lens icon to retrieve a selector code from the “Help on Employees” screen.

Selector Name

Name of the specified selector.

Common Panel Code

The code that identifies the common panel for all the applicants. This field should be specified only if the selector / interview type is selected as Panel.

Click the lens icon to retrieve a panel code from the “Help on Committees, Rating Sets, Service Providers and Venues” screen.

Panel Description

The description of the specified panel.

Resume ID

The code that identifies the resume ID for which to specify the scheduling details. Mandatory.

Click the data hyperlink to launch the “Maintain Applicant Profile” activity through which you can modify the applicant details.

Applicant Name

The name of the applicant.

Stage

The stage for which to specify the scheduling details.

Stage Date

The date on which the stage is scheduled. Mandatory.

Stage Time From

The time from which the stage is scheduled. Mandatory.

Stage Time To

The time up to which the stage is scheduled. Mandatory.

Scheduling Action

Select the scheduling action for the applicant from the drop-down list box. The combo is loaded with the values “Assessed”, “On Hold”, “Pending”, “Rejected”, “Scheduled” or “Selected”.

Send Intimation

Select Yes or No flag to indicate whether you want to send intimation about the schedule to applicant.

Communication Issued Date

The date on which communication is issued to the applicant regarding the schedule.

Selector Code

If selector / interview type is selected as Individual, enter the code that identifies the selector for the applicant. Click the lens icon to retrieve a selector code from the Help on Employees screen. Mandatory.

Selector Name

The name of the specified selector.

Panel Code

If selector / interview type is selected as Panel, enter the code that identifies the panel for the applicant. Click the lens icon to retrieve a panel code from the Help on Committees, Rating Sets, Service Providers and Venues screen. Mandatory.

Panel Description

The description of the panel.

Venue Code

The code that identifies the venue for the applicant. Click the lens icon to retrieve a venue code from the Help on Committees, Rating Sets, Service Providers and Venues screen. Mandatory.

Venue Description

The description of the venue.

Venue Contact Person

The contact person of the venue.

Remarks

Relevant remarks or comments regarding to the applicant schedule.

The system displays the following details in the “Data History” section.

Created By

The login ID of the user who created the applicant scheduling details.

Created Date

The date on which the applicant scheduling was created.

Modified By

The login ID of the user who last modified the applicant scheduling details.

Modified Date

The date on which the applicant scheduling was last modified.

Tab: Assess Applicants

Applicants will be assessed based upon the rating set identified for the particular stage of RFH. Assessment can be done by individual or a panel.

RFH #

The unique number that identifies the RFH (Request for Hire). Click the lens icon to retrieve the RFH from Help On RFH No. screen.Mandatory.

Select the stage for which to assess from the drop-down list box. The list of selection stages defined for the RFH through the Set Sourcing Strategy and Selection Stages activity is available as options.

Stage Weightage

On selecting the stage, the system displays the weightage of the selected stage.

The system displays the following details in the multiline.

Resume ID

The code that identifies the resume ID for which to specify the scheduling details. Mandatory.

Applicant Name

Name of the applicant.

Stage

The stage for which to specify the scheduling details.

Stage Status

The date on which the stage is scheduled.

Stage Score

The score of the selected stage.

Overall Score

The overall score of the selected stage.

Recruitment Cost

The cost involved in recruitment.

Cost Comments

Relevant comments on recruitment cost.

The system displays the following details in the “Assess Applicant” section.

Resume ID

The code that identifies the resume ID for which to specify the scheduling details. Mandatory.

Click the data hyperlink to launch the “Maintain Applicant Profile” activity through which you can modify the applicant details.

Applicant Name

The name of the applicant.

Stage

The stage for which to specify the scheduling details.

Assessment Based On

The option based on which to assess the applicant. The assessment basis defined for the specified RFH number is listed as options. Mandatory.

The system displays the following details in the “Rating Set Assessment” section.

Rating item

The code that identifies the rating item.

Selection Tool

The code that identifies the selection tool.

Weightage

The weightage of the rating item.

Rating Out Of

The total out of which rating is calculated.

User Rating

Enter the user rating for the item. Mandatory.

Weighted Rating

The weighted rating of the item.

Remarks

Relevant comments or remarks regarding rating item.

Attachment

Click  button to browse and attach the document.

The system displays the following details in the “RFH Competencies Assessment” section.

Competency Code

The code that identifies the applicant competency.

Competency Description

The description of the competency.

Max. Competency Level

The maximum level of competency.

RFH MDPL

The MDPL of the RFH.

Weightage

The weightage of the competency.

Proficiency Level Assessed

Enter the level of proficiency assessed against each competency code. Mandatory.

Weighted Rating

The weighted rating of the applicant.

Remarks

Relevant comments or remarks that pertain to the rating item.

Attachment

Click  button to browse and attach the document.

Total Selection Stage Rating

The total rating of the selected stage is displayed.

Stage Assessment Action

Select the final stage assessment action from the drop-down list box. The combo is loaded with the values “Cleared”, “On hold”, “Rejected” and “Selected”.

Remarks

Relevant comments or remarks related to the rating.

The system displays the following details in the “Data History” section.

Created By

The login ID of the user who created the applicant assessment details.

Created Date

The date on which the applicant assessment was created.

Modified By

The login ID of the user who last modified applicant assessment details.

Modified Date

The date on which the applicant assessment was last modified.
