List of screens with Collaborator facility

 The “Collaborate” page appears.

The system displays the following:

Document Reference Number / Reference Entity

The document reference number based on the page from which the Collaborator tool is launched.

To search for posts

Filter Post

Search By

Use the drop-down list box to select the basis on which you wish to search for posts. The system lists the following options:

·         Document Specific Topic

·         Quick Code Topic

From Date

The starting date in the range of dates from which the posts must be retrieved.

To Date

The ending date in the range of dates until which the posts must be retrieved.

The system retrieves all the timesheet records falling within this date range specified.

Ref. Doc.

The unique identifier of the reference document like the Shipping Note, Customer Order.

 

In the drop down list box alongside, select the number corresponding to the reference document selected. The system retrieves all the documents with Ref. Doc. # similar to the value entered here.

Ref. Entity

Use the drop-down list box to select the entity pertaining to a particular document.

 

Use the drop-down list box alongside, to select the value corresponding to the entity selected.  The system retrieves all the documents with entity reference similar to the value entered here.

The system displays the following:

Posts

The messages that have been posted.

Expand All

Select the check boxes to expand and display all the posts till the leaf node.

Show

Select any one of the following check boxes based on which you wish to display information related to the posts. 

  • My Items - Select this checkbox to view all the messages/replies posted/targeted by the login user.

  • Flagged Posts - Select this checkbox to view posts which have been flagged.

  • My Topics - Select this check box to view messages/replies posted under the Topic created by the login user.

  • Related Topics - Select this checkbox to view topics associated with the listed posts.

  • Pending Actionable Items - Select this checkbox to view the messages/replies with Message Type as 'Action to be taken' posted/targeted by the login user with Status of the Post as Pending.

  • Actionable Items – Selecting this check box to view messages/replies with Message Type as 'Action to be taken' posted/targeted in the document .

Note: The checkboxes ‘My Items’, ‘My Topics’ and ‘Pending Actionable Items’ remains checked and the other check-boxes ‘Expand All’,  ‘Flagged Posts’, ‘Related Topics’ and’ Actionable Items’ remains unchecked, by default on launch of the Pop-up.

To add a post

The “Add a Post” group box appears:

Topic

Use the drop-down list box to select a specific topic against which a message is to be posted. The system lists the following options:

·         Documentation

·         GENERAL

·         High Priority Posts

·         Packaging

·         Shipping  

Note that the system initially displays  the value ‘General’ in this filed, on addition of new topics, the topic names are displayed.

The system displays the following field:

Enter New Topic

The name of a new topic.

Click   icon to create document specific topics.

Post

The actual message to be posted.

The system displays the following field:

Exclude Est, Users

Check this checkbox if you do not wish to share the post to external users (i.e), users mapped to the customer in the Customer master.

Note that this checkbox can be checked  only if ‘Everyone’ or ‘Specific Role’ is specified in the ‘Share With’ field

On clicking the system displays the  icon in orange.

Share With

Use the drop-down list box to specify with whom you wish to share the attachment. You can select from the following options:

  • Everyone

  • Specific User

  • Specific Role

Note: If the set option, ‘Default value for Share with for new Posts’ under the Entity 'Collaborator' in the “Define Process Entities” activity of the “Common Master” business component is set as ‘1’ the system displays the value 'Everyone', if it is set as ‘2’ the system displays the value 'Specific User' and if it is set as ‘3’ the system displays the value 'Specific Role', by default. If the set option is not defined, then the system defaults the value ‘Everyone’.

 

If Specific User is selected as the “Share With”:

In the editable box below, enter the name of the specific user with whom you wish to share the information.  For example if the specific role is selected as ‘Mechanic’ then the message is posted to all users whose profile is mapped to “Mechanic”.

               

Select any one of the following radio buttons to indicate what is to be shared:

  • Information Only - Select this radio button to indicate

  • Action to be taken - Select this radio button to indicate the performance of some action to be taken based on the post.

Note: If the set option, ‘Default type of Post for new Posts’ under the Entity 'Collaborator' in the “Define Process Entities” activity of the “Common Master” business component is set as ‘1’ the system selects the option 'Information Only’ and if it is set as ‘2’ the system selects the option 'Action to be taken', by default. If the set option is not defined, then the system defaults the option ‘Information Only’.

The system displays the following:

Action

Indicates whether the post  shared is only for  information or action. If actionable, it also indicates if the action is completed or not. The system displays the following:

 - Indicates that the post shared is only for information. .

- Indicates that the post shared  is for action to be taken and the required action has been taken/closed.

  - Indicates that the post shared is for action to be taken and that the required action is pending.

Shared With

The name of the person or role with whom/which attachment is shared.

Delete

To delete the addition made.

Process parameter dependency for the Engineering Document posts

The process parameter ‘Display MCR # along with PCR # in collaborate post?’ under the entity type Eng. Doc. Type and the entity ‘--All Eng. Doc--' in the Define Process Entities activity of Common Master enables the display of the MCR # in the Notification Inbox text message for the Collaborate posts against the PCR documents.

Impact on the Notification text message

0 for No

The Collaborate post listed in the Notification Inbox for the intended user will display only PCR #, if the post is associated with a PCR document.

1 for Yes

Create a post

4   Click the  button at the top left corner.

4   Enter details in the Add a Post group box.

Attach documents to a post

4   Click the  button at the top left corner.

4 Click the     icon.

The ‘Upload File’ popup window appears.

4   Enter details in the ‘Upload File’ popup window.

Flag a post

4 Click the  button at the top left corner.

4 Click the     icon

Share a post

To share a post with specific users or everyone

4 Click the    button at the top left corner.

4   Use the “Share With” drop-down list box to select “Everyone” or “Specific”.

Click the “Post” pushbutton.

4   Enter the search criteria.

4   Click the “Search” pushbutton.
