Using Online Help

This page allows you to view the details of the invoice. Apart from the invoice details you can also view the details of the payments that have been received from the customer and the adjustments made against the credit documents that are already available. The receipt details and adjustments will be available for viewing if payments have been received from the customer or if the invoice has been adjusted automatically or manually against earlier credit documents. You can also view details like the total amount received, the total amount adjusted subsequent to the payments received and the credit documents raised and the amount that is unpaid till date.

The “Invoice Summary” page appears.

The system displays the following:

Invoice #

The number identifying the invoice.

Invoice Date

The date on which the invoice was raised.

Status

The status of the invoice. It could be “Draft”, “Fresh” or “Returned”.

 
  • Draft - indicates a newly created invoice. An invoice in this status cannot be authorized.

 
  • Fresh – indicates a newly created invoice that can be authorized.

 
  • Returned – indicates that the invoice has been returned to the user who has raised it for modifications.

The system displays the following in the “Invoice Information” multiline:

Part/ T/C/D

Indicates whether the invoice amount is for “Part”, “Tax”, “Charge” or “Discount”. Each of these would be available in different rows based on the invoice raised.

Amount

The amount invoiced for the “Part”, “Tax”, “Charge” or “Discount” in the invoice currency.

Base Amount

The amount invoiced for the “Part”, “Tax”, Charge” or “Discount” in the base currency of the company.

The system displays the following:

Currency

The code identifying the currency in which the invoice has been raised.

Total Invoice Amount

The total amount that has been invoiced.

Total Receipt Amount

The total amount received from the customer.

Total Adjusted Amount

The total amount that has been adjusted till date.

Total Outstanding Amount

The total amount that is yet to be paid.

The system displays the following “Receipt Information” multiline:

Receipt Mode

The method in which the payment was received. It could be through “Check”, “Demand Draft”, “Pay Order”, “Direct Credit” etc,

Receipt Amount

The amount that has been received.

Instrument #

The number identifying the instrument through which the payment was received.

Instrument Date

The date on which the instrument was raised.

Currency

The currency in which the instrument was issued.

Instrument Amount

The amount of the instrument.

Receipt #

The number identifying the receipt that has been issued for the payment received.

Bank / Cash / PTT #

The code identifying the bank, cash or PTT in which the payment has been deposited.

Finance Book

The code identifying the finance book in which the payment details are posted.

Collection Point

The organization unit in which the payment has been collected.

The system displays the following in the “Adjustment information” multiline:

Voucher #

The number identifying the adjustment voucher.

Voucher Date

The date on which the adjustment voucher was raised.

Adjustment Amount

The amount that has been adjusted.

Currency

The currency of the adjustment voucher.

Ref Document #

The number identifying the reference document based on which the adjustment voucher has been raised.

Ref Document Type

The type of document to which the reference document belongs.

Finance Book

The code identifying the book in which the adjustment details are posted.

Invoicing Point

The organization unit in which the invoice has been raised.

Adjustment Point

The organization unit in which the adjustment has been made.
