This page allows you to search and select a pack slip invoice for modification. Tell me more

The “Select Invoice” page appears.

Create Invoice

Select this radio button to create an invoice.

Edit Invoice

Select this radio button to modify an invoice.

Invoice Type

Use the drop-down list box to specify the type of invoice that you wish to create or modify.  You can select from the following options:

  • Bill Back Invoice

  • Pack Slip Invoice

  • Part Sale Invoice

  • Consignment Sales Invoice

Note that the system lists the option “Bill Back Invoice” alone if the “Create Invoice” radio button is selected.

By default the system displays the Bill back invoice in this field.

 

In the editable field alongside, enter the number corresponding to the invoice type selected. The system retrieves all the invoices with numbers similar to the value entered here.

Note that the system displays this field only if “Edit Invoice” radio button is selected.

Search on

Use the drop-down list box to select the basis on which you wish to search for an invoice. You can select from the below options:

·         Supplier

·         User ID

·         Bill To ID

Bill to Id  applicable only in Edit mode. Supplier based search is applicable only in Created Mode for Bill back Invoice alone.

 

In the adjacent drop-down list box, select the Bill To ID for the customer number entered in the Customer # field. The system retrieves all the records with Bill To ID similar to the value entered in this field.

Note that this field iIn the editable field alongside enter the supplier number / user name corresponding to the “Search On” item specified. The system retrieves all the records with supplier number / user name similar to the value entered in this field. s displayed only for Bill To ID.

Customer #

The number identifying the customer / The number identifying the customer against whom the invoice is raised.

Help facility available

Ref. Document

Use the drop-down list box to select the reference document based on which you wish to perform the search.

  • Purchase Order – Select this option if you wish to retrieve only purchase order details. Note that the system lists this option only if “Bill Back Invoice” is specified as the “Invoice Type”:

  • Part Sale Order – Select this option if you wish to retrieve only part sale order details. Note that the system lists this option only if “Part Sale Invoice” and "Consignment Sales Invoice" are specified as the “Invoice Type” while in edit mode.

  • Pack slip - System will lists this option if the invoice type is selected as ‘pack slip’

By default the system displays the purchase order in this field.

 

In the adjacent editable field, enter the number corresponding to the reference document selected.  The system retrieves all the records with purchase order / part sale order similar to the value entered in this field.

Ref. Doc. Date

The starting date in the range of date of the reference documents based on Invoice Type from which records must be retrieved.

 

End  date is the current system date and start date is the current date of previous month.

Sys. Billable?

Use the drop-down list box to specify if you wish to retrieve billable or non-billable purchase orders. The system lists the options “Yes” or “No”.

Note that this field is displayed only in “Create Mode”. Applicable only for Purchase Order

By default the system displays “Yes” in this field.

Addl. Reference

Use the drop-down list box to specify additional reference based on which reference document can be retrieved. The system lists the option “Supplier Invoice” if “Purchase Order” is selected as the Ref. Doc. Type.

Issue’ and ‘Shipping Note’ will be listed if the Ref. Document is selected as ‘Part Sale Order’

Addl. Ref. Date

The starting date in the range of the Additional Reference document date from which records must be retrieved..

Addl. Ref. Date To

The ending date in the range of the Additional Reference document date until which records must be retrieved.

The system displays the following fields in the “Search Results” multiline:

Ref. Document

The reference document which could be Purchase Order aracter. The system retrieves all the invoice numbers that have bill to customers similar to the value entered here.

Ref. Doc. #

The number identifying the reference document.

Ref. Doc. Date

The date of the reference document.

Addl. Reference

The additional reference document.

Addl. Ref. #

The number identifying the additional reference document.

Addl. Ref. Date

The date of the additional reference document.

Customer #

The number identifying the customer on whom the Ref. document is raised.

Supplier #

The number identifying the supplier – Applicable only for ‘Purchase Order’

Add. Ref. Value

Unbilled value of the Additional reference document for which the bill back invoice is noy yet generated.

Addl. Ref. Currency

The currency of the additional reference document.

Sys Billable?

Indicates whether the purchase order is billable, which could be “Yes” or “No”.

The system displays the following in the “Search Results” multiline based on the search criteria entered:

Use the drop-down list box to Specify if the Bill back invoice is not required for particular record

Note that the system lists only the “No” option in this field if the Invoice Type is “Bill Back Invoice”.

By default the system leaves this field blank.

Selecting pack slip invoices for modification – An overview

Summary of the activity

This page allows you to search and select a pack slip invoice for modification. you can carry out a search based on the code identifying the currency in which the invoice has been created, the code identifying the finance book in which the invoice details are to be posted, the organization unit from which the material has to be shipped and the login ID of the user who has created the invoice. You can also search by specifying a range of codes identifying the customer on whom the invoice has been raised. You can specify invoice number, the dates on which the invoices have been created and the total amount of the invoice. The system retrieves all the invoices based on the search criteria entered.

This page also allows you to delete multiple invoices that are not required. The status of the invoice after deletion is updated as “Deleted”. The system stores the login ID of the user and the system date along with the modified details.
