Archiving the documents in the library
Select the "Archive Documents" link under the "Library Operations" business component.
The “Archive Documents” page appears.
The system displays the following:
Date & time Format |
The format in which the date and time fields are displayed in this page. This format is displayed from the "User Preferences" business component based on the login user ID. In case the format is not defined, the system displays the date and time format from the "Enterprise Modeling" business component. |
Enter the following details in the “Search Criteria” group box:
Exe.Org.Unit # |
Use the drop-down list box to select the organizational unit in which the work ill be executed. The system displays all the login organization units. By default, the system displays the Login OU. |
The system displays the following:
Exe.Org.Unit Desc |
The description of the organization unit in which the work will be executed. By default, the system displays the execution organization unit description for the login OU. Zoom facility is available. |
Enter the following:
Ref.Doc Type |
Use the drop-down list box to specify the reference document type. The system lists the following options, based on the selected “Exe.Org.Unit #” that interacts with the “Work Center” business component and other Execution components: “Technical Log” , “Visit Package” , “Hangar Work Order” , “'Work Scope'” , “Component Work Order'” , “Component Replacement”, “Customer Order”, “Repair Order” , “Discrepancy” , “Maintenance Report” , “Hangar COM” , “Tech Log – COM” , “CWO-COM”, “Occurrence Report”, “Journey Log”, “Engg Order” , “FCD”, “MCR” and “Reliability Report Book” . Tell me more For example, if you select the value “Technical Log” in the “Ref. Doc Type” drop-down list box, the system retrieves the Technical Log # in “Confirmed” status. By default, the system displays the first value shown in this field in alphabetical order. |

The number identifying the reference document. |
Maintenance Object # |
Use the dropdown list box to select the maintenance object, which may be “Model”, “Aircraft”, “Part” and “Component”. You can enter the description in full or specify it partially using the “*” character. The system retrieves all components with part descriptions that are similar to the description entered here. The system leaves this field blank by default. |
Work Center # |
A unique identifier for a work center. You can enter the description in full or specify it partially using the “*” character. The system retrieves all components with part descriptions that are similar to the description entered here. Tell me more |
Station # |
The number identifying the station which is a stopping place along a route, especially a stop for refueling or maintenance. You can enter the description in full or specify it partially using the “*” character. |
Repair Shop # |
The number identifying the shop where repair of the parts has been done. You can enter the description in full or specify it partially using the “*” character. The system retrieves all documents where for which the part repair was carried out in this repair shop. |
From Date |
The start date for archiving the documents in the library. By default, the system displays the 1 month prior to the current system date (current system date - 1 Month). For example, if the current system date is 27/02/2008, the “From Date” will display 27/01/2008. |
To Date |
The current system date. |
Click the “Search” pushbutton to get the details in the multiline.
The “Document Details” multiline will display the details of all the execution documents that match the search criteria you specified.
Enter the following details in the “Library Details” group box:
Library # |
Use the drop-down list box to select the number of the library to which the execution documents you select will be archived. Mandatory. The system lists all the active library codes mapped to the login user, as defined in the “Maintain Library Information” activity of the “Library” business component. If only a single library number is mapped to the login user, the system displays the mapped library number. Otherwise, the system leaves the field blank. |

The name of the library. |
Enter the following in the “Default Details” group box:
Document Type |
Use the drop-down list box to specify the type of the document that is to be registered. The system lists all the active document types with “Maintained In Library?” field set as “Yes”, as defined in the “Create Reference Document Type” activity of the “Common Masters” business component. The system leaves this field blank by default. |
Document Category |
Use the drop-down list box to specify the category to which the document belongs. The system lists all the active quick codes of type “Document Category”, as defined in the “Maintain Quick Codes” activity of the “Library” business component. If any one of the displayed quick codes has the “Default?” field specified as "Yes" in the “Maintain Quick Codes” activity of the “Library” business component, the system displays this quick code value by default. Otherwise, the system leaves the field blank. |
Publisher |
The code of the publisher of the document (Alphanumeric, 45). |
Source Type |
Use the drop-down list box to specify the source type for the document that is to be registered. The system lists all the active quick codes of type “Source Type”, as defined in the “Maintain Quick Codes” activity of the “Library” business component. If one of the loaded quick codes has the “Default?” field specified as "Yes" in the “Maintain Quick Codes” activity of the “Library” business component, the system displays this quick code value by default. Otherwise, the system leaves the field blank by default. |
Received From |
The name of the source from where the document is received (Alphanumeric, 25). |
Receipt Date & Time |
The date and time when the parts and the documents are received. Ensure that the date and time entered here are in a valid date format and time format, as identified for the login user defined in the “User Preferences” business component. |
Document Reference # |
The number identifying the reference document. |
Doc. Location |
The physical location where the document is placed. |

Ensure that the time entered here is in a valid time format as identified for the login user defined in the “User Preferences” business component. |
Doc. Location |
The physical place where the document is located in the library. |
Document Reference # |
The number identifying the reference document., as per the numbering system followed in the library. Tell me more |
Key Word 1 |
The key word for tracking or searching the document (Alphanumeric, 25). |
Remarks |
Any remarks pertaining to the document (Alphanumeric, 2000). |
File Name |
The name of the file attached to the document (Alphanumeric, 50). |
Note: Ensure that the Document #-Revision # combination forms a unique key for each new record being added, and the same combination is not already registered in the current or “Library” business components.
Check the box in the “Select” column of the multiline to delete the record.
Click Delete icon in the toolbar above the multiline to delete the selected document.
Click the “Archive Documents” pushbutton to archive the documents in the library.
Note: After you archive a specific execution document in the multiline using the “Archive Documents” pushbutton, and you select “Search” again, the archived execution document will not be retrieved in the multiline.
To proceed carry out the following
Select the “View File” link provided at the bottom of the page to view the library files.
Select the “Maintain Document Details” link provided at the bottom of the page, to view and edit the details of the library document.
Select the “Record Document Distribution Information” link provided at the bottom of the page, to record information about document distribution.
Select the “Upload File” link provided at the bottom of the page, to upload the library files.

“Document #” and “Document Reference #”
The “Document #” refers to the number in the execution document, which identifies it. This number is normally unique. The “Document Reference #” refers to the number assigned to the execution document, by the library. It will be according to the numbering convention followed by the library.
The system allows you, through “Set Options”, to assign the same number for both “Document #“and “Ref Doc #”. Alternatively, you can edit these two fields in the “Document Details” multiline.
