Maintaining partner corresponds
This page enables to maintain correspondence details with the partners. Tell me more.
Select the “Maintain Partner Correspondence” link in the “Select Document” page.
The “Maintain Partner Correspondence” page appears.
Note: You can update the correspondence details only for those documents whose status is other than “Inactive” or “Obsolete”.
Date Format |
The format in which the date field is displayed in this page. This format is displayed from the "User Preferences" business component based on the login user ID. In case the format is not defined, the system displays the date and time format from the “Enterprise Modeling” business component by default. |
The system displays the following fields in the “Document Details” group box:
Document # |
The number identifying the document who correspondence details are to be maintained. |
Click the hyperlinked document number to view the document details.
Revision # |
The revision number of the document. |
Document Title |
The name of the document. Zoom facility available. |
Document Subject |
A brief description about the document. Zoom facility available. |
Enter the following fields in the “Correspondence Details” multiline:
Correspondence Date |
The date on which the correspondence was received from the partner (Date Format). Mandatory. The date entered here must be earlier than the current system date and later than the receipt date specified in the “Publisher / Source Details” tab of the “Maintain Document Information” page. |
Correspondence Category |
Use the drop-down list box to specify the correspondence category. The system lists all the active quick codes of type “Correspondence Category”, as defined in the “Maintain Quick Codes” activity of the “Library” business component. The system also lists the inactive quick code of type “Correspondence Category” existing for the selected document and revision number combination. By default, the system displays the default value set in the “Maintain Quick Codes” page of the “Library” business component. Data selection in this field is mandatory, if the “Mandatory ?” field is set as “Yes” for the “Correspondence Category” quick code type in the “Maintain Quick Codes” page of the “Library” business component. |
Partner Details |
The details regarding the partner (Alphanumeric, 150). Mandatory. |
Incharge Remarks |
The remarks of the library in-charge pertaining to the partner (Alphanumeric, 255). |
Partner Remarks |
Any remarks provided by the partner (Alphanumeric, 255). |
Correspondence Status |
Use the drop-down list box to specify the correspondence status. The system lists all the active quick codes of type “Correspondence Status”, as defined in the “Maintain Quick Codes” activity of the “Library” business component. The system also lists the inactive quick code of type “Correspondence Status” existing for the selected document and revision number combination. By default, the system displays the default value set in the “Maintain Quick Codes” page of the “Library” business component. Data selection in this field is mandatory, if the “Mandatory ?” field is set as “Yes” for the “Correspondence Status” quick code type in the “Maintain Quick Codes” page of the “Library” business component. |
Reference |
Any reference pertaining to the correspondence with the partner (Alphanumeric, 150). |
The system displays the following field in the “Correspondence Details” multiline:
Updated By |
The login user who updated the partner correspondence details. |
Updated Date |
The date on which the partner correspondence details is updated. |
Check the box in the select column of the multiline to mark the record.
Click the delete icon provided in the toolbar above the multiline to delete the selected record.
Click the “Record Correspondence” pushbutton, to update the partner correspondence details.
Note: Ensure that at least one record is selected in the multiline.
The system updates the current server date as the “Updated Date” and the login user as the “Updated By”.
Maintaining partner correspondence – An overview
The library has a need to maintain correspondence with all its partners such as suppliers, customers, publishers, OEMs, or members and employees of same organization for regular supply and updates on manuals, contracts, closed jobs letters, service bulletins, SLAs, and other documents. This page enables to maintain correspondence details with the partners. You can update the correspondence details only for those documents whose status is other than “Inactive” or “Obsolete”. You can specify the correspondence details such as correspondence date, correspondence category, partner details, library incharge remarks, partner remarks and correspondence status in this page. By tracking the correspondence information in this page, it is easy for the library incharge to take up decisions with regard to any queries/suggestions/issues raised by the partners.
