Help on Reference Document
This page allows you to search and select a reference document and transfer the same to the field in which it is required. You can carry out the search using the information on reference document, supplier or customer or part. The system retrieves all the defined reference documents, which are in the “Active” status, based on the search criteria entered. On confirmation, the selected reference document is transferred to the required page.
Click the lens icon positioned next to the “Ref. Document #” field in the main page.
The “Help on Ref Document” page appears.
Enter the following in the “Search Criteria” group box to search for a reference document. Data entry in the following fields is optional:

Use the drop-down list box to select type of the reference document The system lists the options “Purchase Order”, “Release Slip” and “Customer Order”. The system displays “Purchase Order” by default. Use the drop-down list box to select the sub type of the reference document. The system lists all the values based on the Ref. Doc. Type selected. |
Ref. Doc. Info |
Use the drop-down list box to select the reference document information. The system lists the options “Ref. Doc. #”, “Ref. Doc. Priority”, “Ref. Doc. Warehouse”, “Customer PO #”, “Ref. Doc. Category”, “Ref. Doc. Date : From” and “Ref. Doc. Date : To”. The system displays “Ref. Doc. #” by default. If Ref. Doc Priority is selected, the system lists all the values of PO Priority, RS Priority or CO Priority based on the values selected in Ref. Doc. Type. If Ref. Doc Category is selected, the system lists all the values of PO Category, RS Category or CO Category based on the values selected in Ref. Doc. Type. |
Supplier/ Customer Info. |
Use the drop-down list box to select the supplier or customer information. The system lists the options “Supplier #”, “Customer Name”, “Customer #” and “Supplier Name”. The system displays “Supplier #” by default. |
Part Info. |
Use the drop-down list box to select the part information. The system lists the options “Part #”, “Part Type”, “Serial #”, “Component #”, “Lot #”, “Mfr. Lot #”, “Mfr. Part #”, “Mfr. Serial #”, “Part Category”, “Part Classification”, “Part Description” and “Part Group”. The system displays “Part #” by default. |
Check the box “Show Parts” to display the parts.
Click the “Search” pushbutton to display the search results in the multiline.
The system displays the following fields in the “Search Results” multiline:

The number identifying the reference document used to create the receipt |
Ref. Doc. Date |
The date on which the reference document was raised |
Supplier # |
The code identifying the supplier |
Customer # |
The code identifying the customer |
Part # |
The number identifying the part. |
Mfr. Part # |
The part number provided by the manufacturer of the part |
Pending Qty |
The quantity that is yet to be supplied. The pending quantity will be the difference of the ordered quantity and the already received quantity |
UOM |
The unit of measurement mentioned in the reference document used to procure the part |
Ref. Doc. Warehouse # |
The code identifying the warehouse mentioned in the reference document. |
Mfr. Serial # |
The serial number issued by the manufacturer |
Serial # |
The number identifying the serial number of the part |
Received Mfr. Lot # |
The received lot number issued by the manufacturer. |
Lot # |
The number identifying the lot to which the part belongs |
Component ID |
The unique ID given to a part serial combination where the part is of part type Component. |
Ref. Doc. Sub Type |
The sub type of the reference document |
Supplier/ Customer Name |
The name of the supplier or customer |
Check the box in the “Select” column of the multiline to select the receipt.
Click the “OK” pushbutton.
