Maintaining Finance Books

This page allows you to maintain finance books for a company. Tell me more.

Select the “Maintain Finance Books” link at the bottom of ”Maintain Company Information” page.

The “Maintain Finance Books” page appears.

Date Format

The format in which the date fields appear in this page. This format is displayed from the "User Preferences" business component based on the login user id. In case the format is not defined, the system displays the date format from the "Enterprise Modeling" business component by default.

Enter the following fields in the “Company Details” group box:

Company Code

Use the drop-down list box to select the company code for which the finance book information must be defined. The system lists all companies which are in “Active” status and for which the finance book is defined

The system displays the following field:

Company Name

The name of the company.

Click the “Get Details” pushbutton to retrieve the finance book details that are already defined for the company.

The system displays the already existing finance book details in the multiline.

Enter the following fields in the “Finance Book Details” multiline:

Finance Book	The code of the finance book that is used for capturing financial transactions of the company (Alphanumeric, 20). Mandatory. Ensure that the finance book is unique across companies.
Finance Book Description	The textual description of the finance book (Alphanumeric, 128). Mandatory.
Book Type	Use the drop-down list box to select the type of the finance book. The system lists the following options: Posting FB – the basic book for recording business transactions happening in a company. Main FB – “Main” finance book in which the financial information available in all the “Posting FBs” is consolidated. Only one Main FB is applicable for a company Consolidation FB – the book in which the financial information in all the “Main FBs” of the company or child company is consolidated. You can select this option only when the company is a parent company for one or more companies. The system displays a default value of "Posting FB".
Status	Use the drop-down list box to select the status of the finance book. The system lists the options “Active” and “Inactive”. The system displays a default value of "Active".

Note: The status of the finance book should be “Active” on creation.

You can inactivate a finance book. Before inactivation, you must ensure that the value entered in the “Status Effective From” field is later than the date of last financial posting done on that finance book in the “Financial Book Processing” business component.

Reactivation of an inactivated finance book is also possible.

Status Effective From	The date from which the status of the finance book becomes effective (Date Format). Mandatory.
Deployed At	Use the drop-down list box to select the physical location where the finance book processing can be done. The system lists all the company organizational units where finance book processing can be done.

The system displays the following fields:

Created By	The name of the user who created the finance book information.
Created Date	The date on which the finance book information was created.
Last Modified By	The name of the user who last modified the finance book information.
Last Modified Date	The date on which the finance book information was last modified.

Note: Ensure that the “Book Type” field has “Main FB” value for atleast one row of the mulitline.

Check the box in the “Select” column of the multiline to mark the finance book for deletion.

Click the Delete icon in the tool bar above the multiline, to delete the finance book selected in the multiline.

Click the “Update Finance Books” pushbutton to update finance books for the company.

Maintaining Finance Books – An overview

This page enables you to maintain finance books for the company.

Financial transactions happening across a company are recorded in the Finance Books. A company may maintain a number of Finance books for processing and maintaining financial transactions. In this page you can define the finance books for maintaining the transactions of the company.

You can enter the finance book code, finance book description, status, date from which the status is effective and organizational unit in which the finance book is deployed. You can also specify the type of the finance book.

The finance books must be in “Active” status during creation. You can inactivate the finance books and reactivate them.

Update finance books for the company

The finance books in which the financial transactions of the company are maintained can be defined in this page.

Enter the “Finance Book” and “Finance Book Description” fields in the “Finance Book Details” multiline.

Enter the “Book Type”, “Status” and “Status Effective From” fields to furnish finance book information.

Click the “Update Finance Books” pushbutton to update finance book information for the company.
