Recording indirect working hour details
This page allows you to record the time spent on ad hoc work such as training, meeting or discussion, as indirect work hours.
Select the “Record in-direct work hours” link in the “Report Component Work Order Actuals” page.
The “Record In-Direct Work Hours” page appears.
The system displays the following:
Date & Time Format |
The format in which the date and time fields are displayed in this page. This format is displayed from the "User Preferences" component based on the login user ID. In case the format is not defined, the system displays the date and time format from the "Enterprise Modeling" component by default. |
Enter the following in the “Search Criteria” group box. Data entry in the following fields is optional:
Work Center # |
Use the drop-down list box to select the work center for which you wish to update the work hour details. The system displays valid work center numbers for which you have been provided access rights, as defined in the “Set Work Center – User Rights” activity of the “Work Center” business component. The system leaves the field blank by default. |
Employee # |
The employee for whom you wish to report the indirect work hour details (Alphanumeric, 15). This employee code should have already been defined in the “Create Employee File“ activity of the “Employee Information” business component and should be in ‘Active’ status. You can enter the employee number in full or specify it partially using the “*” character. The system retrieves all the indirect work hour details for the employee number entered here. |
In-Direct Category |
Use the drop-down list box to select the quick code applicable for the type “In-Direct Category”. The system lists all the active quick codes defined in the “Create Quick Codes” activity in the “Component Work Order” business component. The system retrieves all the indirect work hour details belonging to the category selected here. The system leaves this field blank by default. |
From Date |
The starting date in the range of dates for which the details of the employee’s indirect work must be retrieved (Date Format). The system retrieves all the work hour details for the date range specified here. |
To Date |
The ending date in the range of dates for which the details of the employee’s indirect work must be reported Date Format). The system retrieves all the work hour details for the date range specified here. |
Click the “Search” pushbutton to search for the indirect working hours details, based on the search criteria.
The system displays the following in the “In-Direct Working Hours Details” multiline:
Modify the following fields in the multiline, if necessary:
Employee # |
The employee for whom you need to report the work hour details (Alphanumeric, 15). Mandatory. This employee code should have already been defined in the “Create Employee File“ activity of the “Employee Information” business component and should be in ‘active’ status. Help facility available. |
The system displays the following field:
Work Center # |
The number that identifies the work center associated with the employee. |
Enter the following fields:
From Date |
The date starting from which the employee is utilized for indirect work in the work center (Date Format). |
From Time |
The time from which the employee is utilized for indirect work in the work center (Time Format). |
To Date |
The date until which the employee is utilized for indirect work in the work center (Date Format). |
To Time |
The time until which the employee is utilized for indirect work in the work center (Time Format). |
Note: “From Date” should be earlier than “To Date”. Also ensure that “From Time” is earlier than “To Time”. If the date and time are recorded manually, and if the indirect work hours are recorded using the clock mode in the “Record Timesheet for Comp. Work Orders” activity, the system automatically changes the “Update Mode” as “Manual”.
Ensure that the dates entered in the “From Date” and “To Date” fields do not overlap with the date range specified for component work order/task actuals, for the same employee.
Duration Hours |
The total time, in hours, for which the employee is utilized for the indirect work (Time Format). Ensure that a positive value is entered. |
Note: Ensure that both “From Date & Time” and “To Date & Time” fields are entered, if the “Duration Hours” is not entered.
If the “To Date” field is not entered, ensure that the “Duration Hours” and “From Date” are specified. Also, ensure that the “Duration Hours” and “To Date/Time” are entered, if the “From Date” is not specified.
In-Direct Category |
Use the drop-down list box to select the quick code of the type “In-Direct Category”. The system lists all the active quick codes defined in the “Create Quick Codes” activity in the “Component Work Order” business component. The system leaves this field blank by default. |
Attendance Type |
Use the drop-down list box to specify the attendance type of the employee. The system lists the option “Normal” indicating the standard working hours defined for the employee, and all the quick codes identified for “Attendance Type” in the “Work Center” business component. The system displays “Normal” by default |
Comments |
Any additional comments pertaining to the indirect work reporting (Alphanumeric, 2000). |
Note: Ensure that at least one record is entered in the multiline.
The system displays the following fields in the multiline:
Timesheet Status |
The status of the employee timesheet record. |
Updation Mode |
The mode by which the indirect work hour details are modified. |
Updated by |
The name of the person who modified the indirect work hour details. |
Updated Date |
The date on which the indirect work hour details are modified. |
Check the box in the “Select” column of the multiline to mark the record for deletion.
Click the Delete icon in the tool bar above the multiline to delete the selected record.
Click the “Record In-Direct Work Hours” pushbutton to update the indirect work hours.
The system updates the reported indirect work hour details, against the employee number. If the indirect work reported hours specified by the employee overlap with the date and time range reported for the CWO or task in “In-progress” or “Completed” status, then the system reduces the indirect actual hours from the actual reported hours.
Note: If the “To Date” and “To Time” of the actual duration do not fall in the range of reported indirect hours, the system does not consider the overlapping period of the actual duration and the indirect hours, for the calculation of the actual duration.
The system ensures that there is no leave approved for the employee for any time duration or date falling between the From Date - Time and To Date - Time required for performing the task.
For each timesheet record that is newly added, the system updates the timesheet status based on the following conditions:
Updates the timesheet status as “Fresh”, if the “Confirmation of Timesheet Record” field is set as “Required” in the “Set Options” activity of the “Component Work Reporting” business component, irrespective of the value set in the “Authorization of Timesheet Record” field.
Updates the timesheet status as “Confirmed”, if the “Confirmation of Timesheet Record” field is set as “Not Required” and the “Authorization of Timesheet Record” field is set as “Required’ in the “Set Options” activity of the “Component work Reporting” business component.
Updates the timesheet status as “Not Required”, if both the “Confirmation of Timesheet Record” field and the “Authorization of Timesheet Record” field are set to “Not Required”.
Ensures that the “Billable?” field to “Yes”, if the “Authorization of Timesheet Record” field is set to “Not Required”.
