Entering storage information for issue
This page allows you to enter storage information for the expendables issue. Tell me more.
Select the “Edit Storage Information” link at the bottom of the “Create Issue” page.
The “Edit Storage Information” page appears.
On launching this page, the system displays all the storage information that are already entered for the issued parts.
The system displays the following fields in the “Issue Information” group box:
Issue # |
The number identifying the issue for which the storage information must be entered. |
Status |
The status of the issue which could be “Draft” or “Fresh”. |
Warehouse # |
The warehouse from where the parts are issued. |
Description |
The textual description of the warehouse. |
Enter the following field in the “Line # Details” group box:
Line # |
Use the drop-down list box to select the line number for which the storage information must be entered. Mandatory. Default the line number combo with the line number of the selected row in the multiline. If no row is selected the first row of the multiline is set as the default row. |
The system lists all the line numbers created in the “Create Maintenance Issue” page.
Click the “Get Details” pushbutton, to retrieve the details of the line number selected.
The system displays the following fields in the “Line # Details” group box:
Part # |
The part number for which the storage information must be entered. |
Part Description |
The textual description of the part. |
Stock Status |
The stock status of the part. |
Stock UOM |
The unit of measurement of the stock that is defined for the part. |
Total Issue Qty |
The quantity of the part that has been issued against the reference document. |
Transaction UOM |
The unit of measurement specified for the part during transaction. |
Part Control Type |
The part control type, which could be “Lot controlled”, “Serial Controlled”, “Serial & Lot Controlled” or “None”. |
Part Type |
The type to which the part belongs. |
Requirement Type |
The requirement type for a part which could be “Specific” or “Normal”, based on whether the “Preferred Serial # / Lot #” details are entered or not for the part, in the reference document. |
Preferred Condition |
The preferred condition specified for the part, in the reference document. |
Note: 1) If the preferred condition is available, the system ensures that the condition of the issue part is same as the specified condition. 2) In case of Exchange/PBH-Exchange purchase orders, if the core part # - core serial #/lot # to be issued in exchange is not specified or specified but not available in the issue warehouse, the system uses the Picking strategy to retrieve the part # - serial#/lot # in the multiline.

Enter the following fields in the “Storage Information” multiline:
WH – Zone # |
The number identifying the zone in the warehouse from where the part is issued (Alphanumeric, 10). Data entry in this field is mandatory when the storage type of the warehouse is “Normal”. Ensure that the zone is already associated to the warehouse in the “Create Warehouse Information” activity of the “Storage Administration” business component and is in “Active” status. |

Bin # |
The number identifying the bin in the warehouse from where the part is issued (Alphanumeric, 10). Data entry in this field is mandatory when the storage type of the zone is “Normal”. Ensure that the bin is already associated to the zone in the “Create Warehouse Information” activity of the “Storage Administration” business component and is in “Active” status. Help facility available. |
Note: If the Zone-Bin (storage address) is modified in the multiline, for any of the Stock Transfer Issue, Repair order Issue, Loan Order Issue, Rental Order Issue, Exchange Issue, General Issue, Maintenance Issue and Unplanned Issues, then on clicking the “Edit Storage Information” pushbutton the existing hard allocation must be cancelled and the hard allocation for the modified details must be done. Note: If the reference document type of the issue document is “Repair Order” and if the part is of type “Component”, then the zone / bin details will be defaulted for the Serial #. If the reference document type is “Stock Transfer Order” and if Serial # details are entered in the stock transfer order, then the zone / bin details will be defaulted for the Serial #s. Note: If the reference document type is “Rental Order” or “Loan Order” and the part is neither serial-controlled nor lot-controlled, then the warehouse zone / bin details will be retrieved from the “Stock Maintenance “ business component. If no zone / bin / Serial # / lot # details is available in the reference document, the zone / bin / serial # / lot # details will be defaulted for the parts, if the “Picking Priority” for the part is set other than “Manual” in the “Part Administration” business component. |

Lot # |
The number identifying the lot to which the part belongs (Alphanumeric, 18). This field is applicable only when the part is lot controlled or lot and serial controlled. Ensure that the lot number is already associated to the warehouse / zone / bin in the “Stock Maintenance” business component and has the required quantity in the required status. |
Serial # |
The number identifying the serial number of the part that is issued (Alphanumeric, 40). The serial number entered should be already defined for the part selected in the “Stock Maintenance” business component. The serial number of the core part gets defaulted, if the issue type is of “Repair Order” Help facility available. |
Note: Ensure that the Serial number and Lot number entered is unique to the issue documents, and is not “Hard Allocated” for any other document.
Note: If the Serial Number or the Lot Number is modified in the multiline, for any of the Stock Transfer Issue, Repair order Issue, Loan Order Issue, Rental Order Issue, Exchange Issue, General Issue, Maintenance Issue and Unplanned Issues, then on clicking the “Edit Storage Information” pushbutton, the existing hard allocation must be cancelled and the hard allocation for the modified details must be done.
Note: If the issue type is “Loan Order Issue” or “Rental Order Issue”, the “Lot #” and “Serial #” will be retrieved from the loan order receipt or rental order document respectively.
Note: For issue based on “Component Work Order” or “Maintenance Material Request”, with requirement type as “Specific”, the “Lot #” and “Serial #” will be defaulted with the preferred serial number and lot number values as identified in reference document.
Note: If PO is of type Exchange or PBH-Exchange, then the system saves the Core Serial # or Core Lot # if specified in the PO document along with the zone/bin details if available in the stock, if not available in stock, then the storage information will be blank.
The system displays the following in the “Storage Information” multiline:

Enter the following fields in the “Storage Information” multiline:
Qty. |
The number of parts that are required (Decimal). Mandatory. Ensure that the value entered is positive. Data entry in this field is mandatory, if the parts are lot controlled. You can enter a fraction in this field when the transaction UOM allows fractions. |
Note: If the quantity which is already allocated for any of the Stock Transfer Issue, Repair order Issue, Loan Order Issue, Rental Order Issue, Exchange Issue, General Issue, Maintenance Issue and Unplanned Issues, is modified in the multiline, then on clicking the “Edit Storage Information” pushbutton, the existing hard allocation must be cancelled and the hard allocation for the modified details must be done.
Note: For all the line #s, ensure that the sum of the quantity in all the rows is equal to the total Issue quantity specified.
For all the parts that are serial controlled, the system sets the value “1” in the “Reqd. Qty” field regardless of the value entered.
If you have entered a fractional value in the quantity field, then the system checks whether the transaction UOM is the same as the stock UOM; If not, the system converts the quantity from transaction UOM to stock UOM. If the fractional value is allowed for the stock UOM, then the value is rounded according to the option set in the “Option Settings” activity. Ensure that the rounding off does not result in zero quantity.
The system displays the following in the “Storage Information” multiline:

The number of parts available in the warehouse/ zone/ bin. |

The number identifying the Pick List for the Issue Line. |
Expiry Date |
The date of expiry of the serial # / lot # being issued |
Allocation Rule Compliance? |
Indicates whether the allocated serial/lot # is complied with the Allocation Rules of the corresponding material request. The system displays “Green Indicator” if the allocation rule complies and “Orange Indicator” if not complied. On click of the icon, “Review Allocation Details” pop-up appears to display the actual values and compliance indicators against each rule parameter. |
Trading Partner Type |
The type of the trading partner, which could be “Supplier” or “Customer”. |
Trading Partner # |
The code identifying the trading partner. |
Enter the following:
Convert Issue Status to Fresh |
Check this box to convert the status of the issue document to “Fresh”. |
Select the record in the multiline, to mark the record for deletion.
Click the Delete icon in the tool bar above the multiline, to delete the records selected in the multiline.
Click the “Edit Storage Information” pushbutton, to update the details of the issue:
Note: The system updates the issue details and changes the status of the issue from “Draft” to “Fresh”, if the “Convert Issue Status to Fresh” box is checked.
Note: If the Reference Document Type is "Customer Order" or “Scrap Note”, Additional Ref. Type and, if Additional Ref. Document # are not specified, you cannot modify any field.
If the ownership attribute of the stock status is “Customer”, “Supplier” or “Owned” for the issued part, then, for the part#-serial#-Lot#-Condition-Warehouse-Zone-Bin combination the quantity of stock specified in the multiline must be same as the stock quantity defined in the “Stock Maintenance” business component.
Note: For the above mentioned combination, if the ownership has been determined as “Supplier” or “Customer” the system ensures that the trading partner information (if any) defined in the unplanned issue document is same as the trading partner information specified in the “Stock Maintenance” business component.
The system ensures the following on clicking the “Edit Storage Information” pushbutton:
For the issue type “Rental Order”, the lot number of the issued part must be the same as the lot number of the requested part.
For the issue type “Rental Order”, the serial number of the issued part must be the same as the serial number of the requested part, if the option setting for “Allow Alternate Serial # for Issue” is set as “No” in the “Rental Order” business component.
For the issue type “Loan Order”, the lot number and serial number of the issued part must be the same as the lot number and serial number of the received part.
For issue based on “Component Work Order” or “Maintenance Material Request”, with requirement type as “Specific”, you can neither modify nor add new serial numbers and lot numbers in the “Storage Information” multiline.
Note: MMD is printed in the Issue Warehouse if the issue type is either “Exchange Issue” or “PBH Exchange Issue” or “Loan Order Issue” or “Rental Order Issue” and if the issue document is in “Fresh” status. MMD will be printed as the issue document acquires “Fresh” status and it will be printed only once. In the case of Exchange/PBH Exchange and Loan Order Issues, “Supplier” will be printed in the MMD document and in the “Requestor Remarks” field, the following text will be printed in bold “Ship the parts to Supplier : <Supplier #>, <Supplier Name>”. In the case of Rental Order Issues, “Customer” will be printed in the MMD document and in the “Requestor Remarks” field, the following text will be printed in bold “Ship the parts to Customer : <Customer #>, <Customer Name>”.

Entering storage information for issue – An overview
Details such as the zones and bins of the warehouse from where the parts are issued and the lot number and serial number information can be entered in this page.
The line numbers generated for the parts issued, are listed by the system. You can select a line number and enter the details of zone, bin, serial number and lot number. You can enter the zone number and bin number for the “Normal” type of warehouse. If the parts are serial controlled or lot controlled, or lot and serial controlled, you can enter the lot number and serial number in the multiline for both “Normal” and “Free” types of warehouses.
You can enter other details such as the condition of the component that is issued and the number of parts issued. You are also provided with the option of converting the status of the document to “Fresh”, after updating the details. You can also modify the details that have already been entered.
Entering Required Quantity
The following points must be noted while entering the issue quantity:
For the parts entered, ensure that the sum of the quantity in the multiline, is equal to the Issue quantity in the stock UOM.
For all the parts that are serial controlled, the system sets the value as “1” in the “Reqd. Qty” field regardless of the value entered.
If you have entered a fractional value in the quantity field, then the system checks whether the transaction UOM is the same as the stock UOM; If not, the system converts the quantity from transaction UOM to stock UOM. If the fractional value is allowed for the stock UOM, then the value is rounded according to the option set in the “Option Settings” activity. The details of the warehouse - zone and bin from where the parts must be issued can be entered.
Enter the zone code and bin code in the “WH – Zone #” and “Bin #” fields in the multiline.
You can issue both lot controlled and serial controlled parts to the requesting document. You can enter the lot number and serial number details in the multiline for both “Normal” and “Free” types of warehouses.
Enter the number of the lot to which the part belongs in the “Lot #” field. This field is applicable only when the part is lot controlled .
Enter the serial number of the part in the “Serial #” field. This field is applicable only when the part is serial controlled .
