Cycle Count Sheet (CCS) is a physical document that lists the items to be counted and their location in the warehouse.  Tell me more

The “Create Cycle Count Sheet On Overdue Basis” page appears.

The system displays the following fields in the “Sheet Details” group box:

CC Sheet #

The number identifying the cycle count sheet. The system automatically generates the number on clicking the “Create Count Sheet” pushbutton.

Numbering Type

Use the drop-down list box to select the numbering type to be used by the system for generating the cycle count sheet number. Mandatory.  The system lists all the numbering types defined in the “Create Numbering Type” activity of the “Document Numbering Class” business component that are valid on the current date. By default, the system sets the field to the numbering type specified as default for the “Cycle Count Sheet” transaction type.

Note: You must not select a numbering type that is mapped to a group company, if the CC sheet is being created for the login company.

However, if you are creating the CC sheet for a warehouse exclusively mapped to a group company and, if "Separate Numbering Type for Trading Partner Transactions" between the login company and the group company is ‘1’ in the Maintain Options for Partner Transactions activity of Organization Setup, the system automatically generates the CC sheet# on creation based on the numbering type set for the Cycle Count Sheet transaction between these companies in the same activity. If "Separate Numbering Type for Trading Partner Transactions" is set as ‘0’, you can select the numbering type for CC sheet #.

Sheet Description

The textual description of the cycle count sheet (Alphanumeric, 150). Mandatory.

 

The system displays the following fields in the “Sheet Details” group box:

Status

The status of the CC sheet, which could be one of the following.

  • Draft: The system displays this status on clicking the “Create Count Sheet” pushbutton.

  • Confirmed: The system displays this status on clicking the “Confirm Count Sheet” pushbutton.

Warehouse #

Use the drop-down list box to select the warehouse for which the cycle count sheet is generated. If you are working in the Main base, the drop-down list box lists those Active warehouses defined in the Storage Administration component, which are currently not offline and allow “Cycle Count” transactions. Alternatively, if you are working in a Field base, the drop-down list box displays those Active warehouses mapped to the offline area that allow “Cycle Count” transactions.

Note: The login user must have access to the selected warehouse as defined in the “Storage Administration” business component.

The system displays the following field:

Warehouse Description

The textual description of the warehouse.

WH – Zone #

The number that identifies the zone in which the items are stored (Alphanumeric, 10). Mandatory, if the “CC Plan Level” is “Warehouse – Zone”. Ensure that the zone is already defined in the “Create Warehouse Information” of the “Storage Administration” business component.

Note: Leave the field blank, if the “CC Plan Level” is set as “Warehouse”.

The system displays the following field:

Zone Description

The textual description of the zone. The system displays this field on clicking the “Create count sheet” pushbutton.

OverDue Date

The date on which the cycle counting is due for the part (Date Format). Mandatory. Ensure this date is equal to or later than the current server date. The system sets the current server date by default.

User Status

Use the drop-down list box to assign a user-defined status to the CC sheet. The system lists all the “Active” quick codes defined for the user status in the “Create Quick Codes” activity of the current business component.  The system sets the field blank by default.

System Quantity Display

Use the drop-down list box to indicate whether to show or hide the system quantity of parts while entering the count results. The system provides the options “Show System Quantity” and “Do not show System Quantity”. The system sets the field to “Do not show System Quantity” by default.

Note: The system displays both the options only if the “Sheet level Modification” option setting in the “Set Cycle Count Options” activity is set to “Yes”. Otherwise, the system sets the field to the option selected in the “System Quantity Display” field of the “Set Cycle Count Options” activity of the current business component

Recount Mandatory

Use the drop-down list box to indicate whether recount is mandatory or not. The system provides the options “Required” and “Not Required”. The system displays “Required” by default.

Note: The system displays both the options only if the “Sheet level Modification” option setting in the “Set Cycle Count Options” activity is set to “Yes”.Otherwise, the system sets the field to the option selected in the “Recount Mandatory” filed of the “Set Cycle Count Options” activity of the current business component.

Count Date

The date on which the cycle counting is done for the parts (Date Format). Mandatory. Ensure this date is equal to or later than the current server date. The system sets the current server date by default.

Zero Qty Parts

Use the drop-down list box to indicate whether to include or exclude zero quantity stock in the counting cycle.

 
  • Select “Include”, if you wish to include zero quantity stocks in the cycle counting.

 
  • Select "Exclude”, if you wish to exclude zero quantity stocks in the cycle counting.

 

The system displays “Include” by default.

Note: The system displays both the options only if the “Sheet level Modification” option setting in the “Set Cycle Count Options” activity is set to “Yes”. Otherwise, the system sets the field to the option selected in the “Zero Qty Parts” field of the “Set Cycle Count Options” activity of the current business component.

Class

Use the drop-down list box to select the class for which the CC sheet is generated. The system lists the classification method defined for the login organization in the “Set Cycle Count Options” activity of the current business component. The system sets the field blank by default.

Part Type

Use the drop-down list box to select the type of the part for which the CC sheet is generated. The system displays  "Raw Material", "Tool", "Kit", "Expandable", "Component", "Consumable" and "Miscellaneous" as options. The system sets the field blank by default.

Part Group

Use the drop-down list box to select the part group for which the CC sheet is generated. The system displays all the valid part groups defined in the “Create Part Groups” activity of the “Part Administration” business component. The system sets the field blank by default.

Part Category

Use the drop-down list box to select the category of the part for which the CC sheet is generated. The system displays all the “Active” quick codes of type “Part Category” as defined in the “Create Quick Codes” activity of the “Part Administration” business component. The system sets the field blank by default.

Note: The system retrieves 100 records at a time in the multiline.

The system displays the following fields in the “Part Details” multiline on clicking the “Get Details” pushbutton.

Line #

The line number generated by the system for every part in the CC sheet.

CC Plan #

The number that identifies the CC plan to which the part is associated.

Part #

The number that identifies the part to be included in the CC sheet.

Part Description

The textual description of the part.

Class

The class to which the part belongs, which could be “A”, “B”, “C” or “V”, “E”, “D” .

Count Interval (Days)

The number of days after which the cycle counting is repeated for the class of the part. The part could be classified as “A”, “B”, “C” or “V”, “E”, “D” based on the classification method  (“ABC” or “VED”) set in the “Set Cycle Count Options” activity of the current business component.

Last Counted On

The date on which the part was last cycle counted.

Next Due On

The date on which the part will be due for the next counting.

Stock Status

The user-defined stock status of the part.

System Quantity

The quantity of parts available as per the system inventory records.

Stock UOM

The unit of measurement for the parts.

To view subsequent set of records

For example if there exists 200 records, and if records 1-100 are currently displayed in the multiline, then on clicking the “Next” pushbutton the system displays the next set of records i.e. records 101-200 in the multiline.

Similarly if records 101-200 are currently displayed in the multilane, then on clicking the “Previous” pushbutton the system displays the previous set of records i.e. records 1-100 in the multiline.

Note: The system displays an error message on clicking the “Previous” and “Next” pushbuttons respectively when there exists no set of records prior and next to the set of records currently displayed.

To create cycle count sheet

The system creates the CC sheet, generates the CC sheet number based on the numbering type selected and updates the status as “Draft”. On successful creation, the system freezes the parts listed in the CC sheet.

To confirm cycle count sheet

The system updates the cycle count sheet to “Confirmed” and displays the same in the “Status” field in the “Sheet Details” group box.

The system on confirmation of the cycle count sheet freezes the storage area (warehouse/zone/bin) to facilitate the Cycle Counting process. As a result, no stock movement of parts for which cycle counting is underway is allowed in the storage area.

Note: Only cycle count sheets that are in “Draft” status can be confirmed.

Creating a cycle count sheet on overdue basis – An overview

Create Cycle Count Sheet On OverDue Basis - A summary of the activity

Cycle Count Sheet (CCS) is a physical document that lists the items to be counted and their location in the warehouse. A CCS can be generated on “Plan Basis” or “Overdue Basis”. In this page, you can create a CC sheet on “Overdue Basis”, in which the parts associated with the sheet can belong to more than one plan in the same warehouse based on certain overdue date.

On creation, the CC sheet will attain the “Draft” status. You can modify the sheet details and add or remove items from the sheet, in this status.

When a CC sheet is confirmed, the items listed in the sheet are frozen. No transactions are possible on these items till reconciliation is completed, that is, till the count results are authorized. However, you can release the items as soon as the physical count (or recount) is complete even though the results are not entered in the system, by setting the “Recount” as not mandatory.
