Basics of using a typical web page

Using Online Help

This page allows you to search and select an asset proposal for authorization. If you are aware of the type of proposal and the number identifying the proposal you can enter it directly. Otherwise, you can carry out a search by specifying the code identifying the finance book, the description of the proposal, the currency of the proposal amount and the ID of the user who has created the proposal. You can also search by specifying a range of proposal amounts, proposal numbers and expiry dates during which the proposal expires. The system retrieves all the proposals that are in the “Fresh” status based on the search criteria entered.

This page also allows you to authorize multiple asset proposals at the same time. The status of the proposal after authorization is updated as “Active”. This active proposal cannot be modified any longer. The system stores the login ID of the user and the system date along with the authorized details.

The “Select Proposal” page appears.

Proposal Type

Use the drop-down list box to select the type of asset proposal from “Acquisition” or “Retirement”.

 
  • Acquisition – indicates that the proposal has been created for the purchase of fixed assets.

 
  • Retirement – indicates that the proposal has been created for the retirement of fixed assets.

Proposal No

The unique number identifying the proposal that you want to authorize (Alphanumeric, 18).

Finance Book

Use the drop-down list box to select the code identifying the finance book for which the proposal is to be authorized. All the finance books that are deployed in the company will be available for selection. The system displays “All” by default on launch of the page.

User ID

The login ID or the name of the user who has created the proposal (Alphanumeric, 30). You can enter the ID or name in full or specify it partially using the “*” character. The system retrieves all the proposals that have been raised by users who have IDs or names similar to the value entered here.

Proposal Description

A textual description of the proposal (Alphanumeric, 40). You can enter the description in full or specify it partially using the “*” character. The system retrieves all the proposals that have descriptions similar to the value entered here.

Proposed Amount From

The starting amount in the range of proposed amounts that you want to retrieve (Decimal).

Note: The value entered in this field must be lesser than the value entered in the “To” field.

To

The ending amount in the range of proposed amounts that you want to retrieve (Decimal).

Currency

Use the drop-down list box to select the code identifying the currency in which the proposal has been raised. All the currency codes that have been mapped to the company will be available for selection in the ascending order. The currency must have been defined in the “Create Country and Currency” activity of the “Organization Setup” business component and must be in “Active” status. The system displays the base currency of the company by default on launch of the page.

Expiration Date From

The starting date in the range of dates during which the proposal that you want to retrieve expires (Date Format).

Note: The date entered in this field must be before the date entered in the “To” field.

To

The ending date in the range of dates during which the proposal that you want to retrieve expires (Date Format).

Proposal No From

The starting number in the range proposal numbers that you want to retrieve (Alphanumeric, 18). You can enter the number in full or specify it partially using the “*” character. The system retrieves all the proposals that have numbers similar to the value entered here.

To

The ending number in the range of proposal numbers that you want to retrieve (Alphanumeric, 18). You can enter the number in full or specify it partially using the “*” character. The system retrieves all the proposals that have numbers similar to the value entered here.

The system displays the following in the “Search Results” multiline based on the search criteria entered:

Proposal No

The number identifying the proposal.

Proposal Type

The type of asset proposal. It could be “Acquisition” or “Retirement”.

 
  • Acquisition – indicates that the proposal has been created for the purchase of fixed assets.

 
  • Retirement – indicates that the proposal has been created for the retirement of fixed assets.

Proposal Date

The date on which the proposal was created.

Total Proposed Amount

The total proposed cost of the proposal.

Board Reference

The board reference.

Click the    icon to open the “Approval History” popup.

The system updates the status of the proposal as “Active”. The status is updated irrespective of the fact that the proposal is an acquisition proposal or a retirement proposal.
