Select the “Create Asset Record” link at the bottom of the “Select Document” page.
The “Create Asset Record” page appears.
Note: This page can be invoked only after computing the total capitalization amount in the “Select Document” page of “Create Complex Asset” activity.
The system displays the following in the “Document Information” group box:
Capitalization No. |
The unique number identifying the asset capitalization. This number is generated at the time of creating the asset based on the numbering type selected. |
Status |
The status of the asset which could be “Fresh” or “Active” . |

Enter the following fields:
Capitalization Date |
The date on which the assets are capitalized (Date Format). Mandatory. The system updates the capitalization date to the in-service date, if inservice date is not different from the capitalization date or no in-service date is specified. |
Finance Book |
Use the drop-down list box to select the code identifying the finance book to which the accounting entries are to be posted. The system lists the finance book mapped to the organization unit. The finance book must have been defined in the “Create Finance Book” activity of the “Organization Set Up” business component. |
Numbering Type |
Use the drop-down list box to select the numbering type based on which the capitalization number to be created. The numbering types must have already been defined in the “Create Numbering Class” activity of the “Document Numbering Class” business component and must be in “Active” status. The system displays the first value by default on launch of the page. |
Enter the following fields in the “Asset Information” group box:
Asset Class Code |
Use the drop-down list box to select the code identifying the asset class. The asset class must have been defined in the “Create Asset Class” activity of the “Asset Type Definition” business component. |
Asset Group Code |
The code identifying the asset group code (Alphanumeric, 32). Mandatory. The asset group must have been defined in the “Create Asset Group” activity of the “Asset Type Definition” business component. Ensure that the asset group entered here is valid for the selected asset class, if the “Level at which assets are mapped to Asset Group” is set as “Asset Class” in the “Company Parameter Setup” business component. The system displays the asset group code corresponding to the selected asset class, by default. |

Cost Center |
The code identifying the cost center under which the assets are physically or logically grouped (Alphanumeric, 5). The cost center must have been defined in the “Create Cost Center/Unit” activity of “Cost Setup” business component. |

Analysis # |
The analysis code for which the asset is created. Help facility available. Note: If CIM interaction between Asset Proposal and Account Based Budget exists, the system mandates to enter Analysis Code. It defaults the Analysis Code from the Asset Proposal on launch of the “Create Asset record” screen. If proposal # is not available, the system leaves the field blank. E.g. Non-Capital document. |
Sub Analysis # |
The sub analysis code for which the asset is created. Help facility available. Note: If CIM interaction between Asset Proposal and Account Based Budget exists, the system mandates to enter Sub Analysis Code. It defaults the Sub Analysis Code from the Asset Proposal on launch of the “Create Asset record” screen. If proposal # is not available, the system leaves the field blank. E.g. Non-Capital document. |
Asset number generation
The system generates the asset number based on the parameters set in the “Company Parameter” business component. If the parameter value ‘Automatic Creation of Asset ID (Part B)’ has been set to ‘Yes’, then the Asset No is created as asset class specified followed by a running serial number separated with ‘-‘. If the parameter value has been set to ‘No’, then the asset number entered by the user is taken as it is.
The system generates a unique tag number to each and every asset number, incrementing from the previously generated tag number for the asset.

The description pertaining to the asset number (Alphanumeric, 40). Mandatory. |
Asset Cost |
The cost of the asset (Decimal). Mandatory. The asset cost must be greater than zero. |
Note: The system displays the total of the pending capitalization amount of the selected document, if the asset is created based on the invoice.

Depreciation Category |
Use the drop-down list box to select the depreciation category. The system lists the depreciation category defined in the “Create Depreciation Setup” activity of the “Asset Depreciation Setup” business component. The system displays the first value by default on launch of the page. |
In Service Date |
The date on which the asset is put in use (Date Format). The system displays the capitalization date by default on launch of the page. |
Useful Life (in mths) |
The number of months for which the asset - tag can be put to use. Note the following: A month is considered as having 30 days, to convert a fraction of month. The value specified in this field must not be modified if “Depreciation Category” is set as the value for the parameter “Asset Life Managed at” in the Company Parameter Setup business component . |
Useful Life Expires on |
The date on which the asset life expires (Date Format). If any value is specified in “Depreciation Category” or “In-service date” fields, the system defaults the date after adding the useful life in months to the defaulted in-service date. Example. Ensure that no value is specified in this field if Useful Life (in months) is specified so that the system computes the expiry date. The system leaves this field blank by default if either or the “Depreciation Category” and the “In-service date” is left blank. |
Business Use % |
The usage of the asset in the business (Decimal). The value entered here must be between 0 and 100. |
Tag Cost |
The cost of the asset tag (Decimal). Mandatory. The total of the tag cost in the multiline must be equal to the asset cost. |
Proposal No. |
The number identifying the asset proposal (Alphanumeric, 18). The asset proposal must have been defined in the “Create Asset Proposal” activity of the “Asset Planning” business component. Note: 1) This field must not be left blank if this business component has been mapped to the “Asset Planning” business component. 2) The system retrieves the proposal number, if the invoice has been raised based on the asset proposal. 3) Process Parameter dependency: If the process parameter ‘Allow Capex Proposal # from different Finance Book in Asset Capitalization’ under Company Level, Fixed Asset Management and Asset Capitalization in the Set Finance Process Parameters activity of OU Parameter Setup is 0/No, the finance book of Proposal No must be the same as the finance book of the asset. However, if the process parameter is 1/Yes, you can specify Proposal # with a finance book different from that of the asset. |
Tag Cost Generation
The system generates asset tags based on the tag groups and the number of tags specified in ‘Select Document Details’ page.
If number of tags are specified, the system splits the capitalization amount equally among all the tags generated within that line item. If tag groups are specified, tag cost will be the total capitalization cost of the lines that are grouped together.
Asset Location Code |
The code identifying the asset location in which the asset are to be physically located (Alphanumeric, 20). The asset location must have been defined in the “Create Asset Location” activity of the “Asset Location” business component. |

Inventory Cycle |
The frequency in which the assets are to be verified. The inventory cycles available are "Monthly", "Quarterly", "Half Yearly"," Yearly" and " Not Required". The system displays the first value by default on launch of the page. |
Note: This business component must have been mapped to the “Asset Inventory” business component.
Salvage Value |
The scrap value of an asset (Decimal). The salvage value must be greater than or equal to zero and lesser than the asset cost. The system displays 0 by default on launch of the page. |
Manufacturer |
The company or the maker who manufactured the asset (Alphanumeric, 60). |
Barcode No. |
The barcode number of the asset (Alphanumeric, 18). |
Serial No. |
The serial number of the asset (Alphanumeric, 18). |
Warranty No. |
The number identifying the warranty issued by the manufacturer (Alphanumeric, 18). |
Model |
The model number of an asset (Alphanumeric, 40). |
Custodian |
The name of the supervisor of assets (Alphanumeric, 20). |
Click the “Create Asset” pushbutton to create the complex asset.
The system generates a unique capitalization number based on the numbering type selected.
The system generates a unique asset number based on the parameter setting in the “Company Parameter Setup” business component. The system also generates a tag number.
The system saves the asset numer if it is entered by the user.
The system generates a unique asset number and a tag number that are unique to every asset number.
The system updates the status of the assets and the tags to “Fresh”.
The system updates the capitalized amount as utilized for the asset proposal used and updates the pending capitalization amount.
The system updates the login ID of the user and the system date along with the complex asset details.
For the capitalization done against documents of type ‘Make Work Order’, system updates the capitalized amount in the “Component Work Order” business component.
For a acquisition proposal selected on capitalization, the system updates the utilized amount in the “Asset Planning” business component, with the the tag cost capitalized.
For a acquisition proposal originally referred in the documents based on which the asset is capitalized, the system updates the committed amount as the difference between the committed amount and tag cost amount, if this business component is mapped to the “Asset Planning” business component..
Posting of accounts
If capital documents are involved in the creation then, the system debits the asset account code as specified in the “Create Asset Account Definition” activity of the “Account Rule Definition” business component and credits CWIP account code.
If non-capital documents are involved in the creation then, the system debits asset account code as specified in the “Create Asset Account Definition” activity of the “Account Rule Definition” business component and credits account code based on document type with asset cost.

Creating complex asset – An overview
This page allows you to create a complex asset.. This page also allows you to split the assets into multiple tags. You can specify the date on which the assets are capitalized, finance book to which the accounting entries are posted and the numbering type. You can also specify the asset information like the asset class code, asset group code, cost center code, asset number, its textual description and the cost of the asset.
You can split the asset into multiple tags by specifying the tag description and the tag cost. You can also capture the additional details like the date on which the assets are put to effective use, the proposal number, the location in which assets are physically present, the frequency in which the asset are to be verified, scrap value, manufacturer code, serial number of the asset and the model number of the asset.
The system updates the status of the assets to “Fresh” on creation. The system generates the capitalization number on creation of the asset. The system also generates a unique asset number based on the parameter setting in the “Company Parameter Setup” business component. If the asset number is entered by the user the system saves the same.The system also updates the login ID of the user and the system date along with the complex asset details.
