Generate Offer / Appointment Letter – A summary of the activity
This activity allows you to generate offer letter or appointment letter for an applicant. You can specify the organization unit, letter type and signatory code to generate the letter. Various search criteria like Grade Set, Grade and Position Title can be filtered for the selected applicant for whom the offer letter/appointment letter has to be generated. The applicant’s authorized CTC information is displayed in the report.
Select the “Generate Offer / Appointment Letter” activity under the “Application Selection” business component.
The “Generate Offer / Appointment Letter” page appears.

Enter the following details in the Header:
Organization Unit |
From the drop-down list box, select the organization unit for which you require to generate the report. |
The system displays the following details in the header.
Date Format |
The date format applicable to the login user. |
Enter the following details in the Header:
Letter Type |
From the drop-down list box, select the letter type for which you require to generate the report. The combo is loaded with “Appointment Letter” and “Offer Letter”. The system displays “Select” by default on launch of the page. |
Signatory Code |
The employee code of the signatory authority |
Enter the following details in the Search Criteria.
Request No. |
A unique number identifying the request. |
Grade Set |
The grade set code of the employee for which you require to generate the report. |
Grade |
The grade code of the employee for which you require to generate the report. |
Position Title |
The position title of the employee. |
Department Description |
The detailed description of the department. |
Click the “Search” pushbutton.
Based on the search criteria, the system retrieves and displays the details in the “Search Results” multiline.
Request No |
A unique number identifying the request. |
Applicant Id |
A unique code identifying the applicant. |
Applicant Name |
The name of the applicant. |
Department |
The department to which the applicant belongs to. |
Position |
The position of the applicant. |
Grade Set |
The grade set applicable to the applicant. |
Grade |
The grade code of the employee. |
Work Location |
The work location to which the employee belongs to. |
Hire Status |
The hire status of the employee. |
CTC Status |
The authorized CTC status of the applicant. |
Click the “Generate Letters” pushbutton to generate the appointment / offer letters for the selected applicant.
