Ensure that you are in the “Select Employee for Separation Authorization”.
Enter the complete code of the employee in the “Employee Code” field.
Select the “Authorize Employee Separation” hyperlink beside the employee code field.
The system displays the “Authorize Employee Separation” page.
Use the search facility to fetch the required records in the multiline.
Select the data hyperlink on the name of the required employee.
The “Authorize Employee Separation” page appears.
The system displays the following details at the top of the page.
Employee Movement Unit |
The organization unit as specified in the “Select Employee For Separation Authorization” page. |
Date Format |
The date format that is applicable to the login user. |
Employee |
The employee name and code you specified in the “Select Employee For Separation Authorization” page. |
Position Title |
The description of the position title you selected in the “Select Employee For Separation Authorization” page. |
Department |
The name of the department to which the employee belongs. |
Job Title |
The name of the job held by the employee. |
Grade Set |
The grade set description applicable to the employee’s job. |
Grade |
The grade description applicable to the employee’s job. |
Date of Joining |
The date and time in which the employee joined the organization. |
Cost Center Description |
The description of the cost center to which the employee’s costs are currently assigned. |
Base Salary |
The base salary of the employee. |
Process Initiated Through |
The employee code of the HR user who initiated the separation process for the employee. |
Employee Reason |
The reason for which the employee wants to leave the organization. For example, the employee may decide to leave for better prospects, inability to continue owing to personal reasons. The system displays the following values in the drop-down list box: Better prospects, Higher studies and Demise. From the drop down list box, select the employee reason for which separation process is initiated for the selected employee. The employee reasons are user defined using the Quick Codes component. The system lists in the drop-down list box, the values from the Quick Codes component interacting with the specified employee movement unit. |
Employer Reason |
The reason for which the employer wants to initiate the separation process for the employee. For example, the employer may choose to relieve an employee following employee’s retirement, death or owing to disciplinary action against the employee etc. The system displays the following values in the drop-down list box: Resignation, Retirement and Demise From the drop-down list box, select the employer reason for which separation process is initiated for the selected employee. The employer reasons are user defined using the Quick Codes component. The system lists in the drop-down list box, the values from the Quick Codes component interacting with the specified employee movement unit. |
Request Date |
The date and time on which the separation process initiated for the selected employee has been submitted for the supervisor’s authorization. |
Note: By default, the system displays the values previously specified.
Last Available Date |
The date and time until which the employee is willing to work in the organization. Otherwise, it is the date until which the employee is allowed to work in the organization. You can edit the value, if necessary, before authorization. The time field will be defaulted with 11:59:00 PM if it’s a 12-hour time format and as 23:59:00 PM if it’s a 24-hour format assuming the user has not entered any value. |
Separation Date |
The date on which the employee will be separated from the organization. You can edit the value, if necessary, before authorization. The system displays the time as "00:00:00" by default. |
Specify the following detail.
Eligible for Rehire |
Indicate if the employee is eligible for rehire or otherwise. Select “Yes” or “No”, from the drop-down list box. If you select, “Yes”, you indicate that the employee is eligible for rehire. If you select “No”, you indicate that the employee is not eligible for rehire. By default the system displays a blank value. |
Notice Period Status |
The status of the notice period. Indicates if the separation date of the employee fall within the stipulated notice period or otherwise. The system displays the value based on if the separation date falls within the notice period or otherwise. If the separation date falls within the notice period, the system displays the status as “Under Notice Period”, if the separation date is beyond the notice period end date, the system displays the status as “Notice Period Cleared”, If the end date of the notice period is not specified in the system parameters, the system displays the status as “Not Applicable”. |

Notice Period Waive Off |
Indicate if you want to waive off the notice period for the selected employee or otherwise. Select “Yes” or “No”, from the drop down list box. If you select, “Yes”, you indicate that the notice period must be waived off, in which case the separation date may be fixed within the notice period. “No”, indicates that the notice period is not to be waived off and this means the separation date must be fixed after the end date of the notice period. If you select “Yes” when the separation date falls within the notice period, then the system displays an error message denoting that separation cannot be done. |
Specify the following detail.
Back Dated Separation |
Indicate if backdated separation must be performed for the employee or otherwise. For example, consider the case, when an employee is under suspension and pending inquiry, and according to the applicable rules he/she is acquitted for misconduct. If a verdict has been passed to terminate his/her services from the reported day of misconduct, then back dated separation must be done to handle this situation. From the drop-down list box, select the required value. The system lists the values such as, “Yes” or “No” in the drop-down list box. “Yes” denotes that back dated separation must be done, “No” indicates otherwise. |
Override Bond Details |
Check this box to override the bond details of the employee. |
Authorization Status |
The authorization status of the employee movements record. If you have selected a new employee movements record, the system displays the status as “None”, if the selected record has already been submitted for authorization, and has not yet been authorized, the system displays the status as “Pending for Authorization”. “Rejected” indicates the record has been submitted for authorization and has been rejected. |
Rejection Reason |
The reason for which the authorization of the separation process has been rejected. Enter the rejection reason if you reject authorization for the separation process of the employee. |
Select the Book icon beside the “Rejection Reason” field. The system displays a dialog box containing the reasons that were entered previously, if any.
You can view, modify or delete the content.
Select the “OK” pushbutton to save the details and return to the previous page.
Select the “Cancel” pushbutton to return to the previous page without saving the details entered.
Comments |
The comments with regard to changes, if any, made to the separation details or the authorization or rejection status specified. |
Select the Book icon beside the “Comments” field. The system displays a dialog box containing the comments that were entered previously, if any.
You can view, modify or delete the content.
Select the “OK” pushbutton to save the details and return to the previous page.
Select the “Cancel” pushbutton to return to the previous page without saving the details entered.
