Date Format

The date format that is applicable to the login user.

Employee

The code and name of the selected employee.

Date of Joining

The date on which the employee joined the organization.

Assignment No.

The assignment number of the employee.

Eligible for Rehire

Indicates if the employee is eligible for rehire or otherwise. An employee’s eligibility for rehire is recorded at the time of effecting his/her separation. The system displays the recorded value such as, “Yes” or “No”. “Yes” indicates the employee is eligible for rehire, “No” indicates otherwise.

Note: By default, for a new rehire record, the system displays blank fields. For a pending authorization or rejected record, the system displays the values previously specified. You can edit the values and resubmit the record for authorization.

Rehire Date

The date and time of rehire.

By default, the system will display the time format as 00.00.00  and will default the time  as 00.00.00 if the user has not entered the time.

Reason for Rehire

The reason for which the employee is being rehired. The rehire reasons such as “Experience”, “Vacancy” etc., are user-defined using the Quick Codes component. The system lists in the drop-down list box, the available values from the Quick Codes component interacting with the specified employee movement component. Select the required value  from the drop-down list box.

Position Code

 

The unique code of the position for which the separated employee is being rehired.

Note: If the separated employee is being rehired for a job and not a position, specifying the position code is not necessary. You can enter the job code and department and specify the organizational and job attributes accordingly.

Specifying the Organizational and Job attributes of the specified position:  

The organizational attributes provide the profile of the employment unit for which the employee is being rehired, while the job attributes provide the complete profile of the job, applicable to the specified position. These attributes are predefined for each position through the Unit Structure component. The system fetches the organizational and job attributes applicable to the specified position code, from the Unit Structure component with which the specified employee movement unit is interacting.

If rehire being effected is meant for a job,  

Note: By default, the system displays the values for the organizational attributes details applicable to the specified position code, when you select the “Get Position Details” pushbutton. However, you can edit the values wherever necessary.

Regulatory Region

The regulatory region governing the employment unit for which the separated employee is being rehired. By default, the system displays the value applicable to the specified position code. To edit, select the required value from the drop-down list box. For the employment units interacting with the specified employee movement unit, the system lists the regulatory regions applicable for those employment units.

Employment Unit

The employment unit for which the employee is being rehired. By default, the system displays the value applicable to the specified position code. To edit, select the required value from the drop-down list box. For the employment units interacting with the specified employee movement unit, the system lists the employment units to which the specified position is mapped.

Work Location

The work location of the specified position, for example, Florida, and Newark.  By default, the system displays the value applicable to the specified position code. To edit, select the required value from the drop-down list box. For the employment units interacting with the organization structure unit for specified employee movement unit, the system lists the work locations applicable to the employee movement unit.

Business Unit

The business unit applicable to the specified employment unit. By default, the system displays the value applicable to the specified position code. To edit, select the required value from the drop-down list box. For the employment units interacting with the specified employee movement unit, the system lists the business units applicable for those employment units

Company

The name of the company corresponding to the values specified for the above fields. This value is displayed by the system.

Department Code

 

The unique code of the department for which the separated employee is being rehired, for example, HR, or Finance.  By default, the system displays the code of the department applicable to the specified position code. You can edit the value.

Cost Center

The description of the cost center to which the costs of the specified department are assigned. This field is displayed based on the department code, you specify.

Specifying Job attributes:

The job attributes represent the complete profile of the job. The attributes of each job are predefined through the Unit Structure component. The system fetches the job attributes from the Unit Structure component with which the specified employee movement unit is interacting.

If rehire being effected is meant for a position,    

Alternatively, you can change the job code, if necessary, and get the attributes of the new job code that you specify.

If rehire being effected is meant for a job,   

4     Leave the position field blank.

4     Enter the organization attributes.

4     Specify the department code in the corresponding field.

4     Specify the job code in the corresponding field.

4     Select the “Get Job Details” pushbutton beside.

4     The system fetches the attributes of the specified job to the corresponding fields.

Job

 

The unique code of the job for which the employee is being rehired. If the employee is being rehired for a position, the system displays the code of the job applicable to the specified position code by default. If the employee’s rehire is being effected for a job and not a position, you can leave the position code field blank and enter the required job code in this field.

Job Description

The description of the specified job. The system displays this value based on position code specified.

Job Level Description

The description of the job level applicable to the job. Job level indicates the hierarchy of job in the corresponding job family. The system displays this value based on position code specified.

Job Family

The job family to which the job belongs. The job family indicates a group of similar jobs, for example, Managers, Programmers, and Designers. The system displays this value based on position code specified.

Note: By default, the system displays the values for the job attributes applicable to the corresponding job code. However, you can edit the values wherever necessary.

EEO Class

The Equal Employment Opportunity Class  of the corresponding job. It indicates if the corresponding job is open to all qualified employees irrespective of gender, language, nationality, ethnicity  or otherwise.

 

By default, the system displays the value as defined in the quick codes of HR General Information to the corresponding job. To edit, select the required value from the drop-down list box.

Grade Set

The grade set applicable to the specified job. By default, the system displays the grade set applicable to the specified job. To edit, select the required value from the drop-down list box.

Note that on changing the Grade Set value, the system will display a message indicating that the Employee-Payset mapping will be changed accordingly.

Job Classification

The classification of the specified job. The job classification indicates if the corresponding job is a managerial Job, Clerical job etc. The job classifications are user-defined using the Quick Codes component. By default, the system displays the job classification applicable to the specified job. To edit, select the required value from the drop-down list box. The system lists the user-defined values from the Quick Codes component interacting with the specified employee movement unit.

Working Condition

Indicates if the work associated with the position or job for which the employee is being rehired, involves hazardous conditions or otherwise. The conditions of work are user-defined using the Quick Codes component. By default, the system displays the value applicable to the specified job code. To edit, select the required value from the drop-down list box. The system lists the user-defined work conditions from the Quick Codes component with which the specified employee movement unit is interacting.

Worker’s Compensation Code

Worker’s Compensation Code applicable to the specified job code. It indicates the compensation terms and conditions applicable to an employee holding the job, in the event of an injury, permanent disability or death while discharging his/her services. By default, the system displays the value applicable to the specified job code. To edit, enter the required code in the field.

Salaried/Hourly

Indicates if the compensation for the job is paid as regular salary or computed on an hourly basis. By default, the system displays the value, either “Salaried” or “Hourly”, applicable to the specified job code. “Salaried” indicates that the employee being rehired will be paid through regular salary; “Hourly” indicates that the compensation would be computed on the number of hours spent in doing the job. To edit, select the required value from the drop-down list box.

Standard Hours

The number of working hours that the specified job for which the employee is being rehired, involves per day, and per week.  For example, the job might require the employee to work for 8 hours a day or 5 hours a day. By default, the system displays the value applicable to the specified job code. To edit, specify the number of standard working hours in the field and select the qualifying unit such as, per day, and per week  from the drop-down list box beside.

Work Experience

The number of years of work experience required for the job. Specify the number of years/months of work experience in the field and select the appropriate value viz., “Months”, “Years” from the drop-down list box beside.

 

By default, the system displays the value applicable to the specified job code. To edit, enter the required value in the field and select the qualifying unit value such as  Hours, and Week  from the drop-down list box beside.

Medical Check Required

Indicates if medical check is required for the specified job. Checked indicates the medical check is mandatory for the specified job, blank check box indicates otherwise. By default, the system displays a checked or blank check box as it has been set for the specified job code or as it has been submitted for authorization, in the case of a pending for authorization or rejected record. You can edit the detail, if necessary.

Medical Check Requirements

The medical check requirement criteria that the employee must meet to be eligible for the designated job for which rehire is being effected. For example, physical fitness is a prerequisite for a job in the military. By default, the system displays the medical check requirements predefined for the specified job code. For a pending authorization or rejected record, the system displays the requirements entered while submitting the record for authorization. You can edit the details.

Tipped

Indicates if the employee holding the specified job is entitled for receiving tips from customers or otherwise. For example, if the employee is being rehired as a Waiter or Chauffeur, he/she may be permitted to accept tips from customers. Checked indicates the job involves tips, blank check box indicates otherwise. By default, the system displays a checked or blank check box as it has been set for the specified job code or as it has been submitted for authorization, in the case of a pending for authorization or rejected record. You can edit the detail to resubmit the record for authorization.

Mobile

Indicates if the job involves traveling or otherwise. For example, an employee rehired as a sales or marketing executive may have to travel frequently for product promotion or on routine marketing work. Checked indicates that the job involves traveling, blank check box indicates otherwise. By default, the system displays a checked or blank check box as it has been set for the specified job code or as it has been submitted for authorization, in the case of a pending for authorization or rejected record. You can edit the detail to resubmit the record for authorization.

FLSA

From the drop-down list box, select the required value, either “Yes” or “No”.

SIC Code

The SIC code.

FTE

Full Time Equivalent.

Regular/Temporary

Indicates if the job is regular or temporary. By default, the system displays the value applicable for the specified job code or the value with which the record has been submitted for authorization, in the case of a pending for authorization or rejected record. To edit the value and resubmit the record for authorization, select the required value from the drop-down list box. Select “Regular” or “Temporary” to indicate accordingly.

Full/Part Time

Indicates if the job is a full time or a part time job. By default, the system displays the value applicable for the specified job code or the value with which the record has been submitted for authorization, in the case of a pending for authorization or rejected record. To edit the value and resubmit the record for authorization, select the required value from the drop-down list box.  Select the required value, either “Full Time” or “Part Time” to indicate accordingly.

Specify the supervisor to whom the employee reports.  

Supervisor Code

 

The employee code of the supervisor to whom the employee being rehired must report.

The primary assignment number of the supervisor.

Position Title

The title of the position held by the supervisor.

Department

The department of the supervisor.

Job Title

The title of the supervisor’s job.

Specify the following “Hierarchy Point” details.  

Hierarchy Short Description

The short description of the hierarchy applicable to the specified position or job. The hierarchy descriptions are userdefined through the Hierarchies component. The system lists in the drop-down list box, the predefined values from the Hierarchies component interacting with the specified employee movement unit. By default, the system displays a blank value for a new record. For a pending authorization or rejected record, the system displays the value with which the record has been submitted for authorization. To edit the value and resubmit the record for authorization, select the required value from the drop-down list box.

Hierarchy Chain Code

 

The unique code of the hierarchy chain applicable to the specified hierarchy short description. By default, the system displays a blank value for a new record. For a pending authorization or rejected record, the system displays the value with which the record has been submitted for authorization. To edit the value and resubmit the record for authorization, specify the required code.

Union Affiliation

The workers union to which the employee is to be affiliated. By default, the system displays a blank value for a new record. For a pending authorization or rejected record, the system displays the value with which the record has been submitted for authorization. To edit the value and resubmit the record for authorization, select the required value from the drop-down list box. The options in the drop-down list box are user-defined, using the quick codes component.

Group

The benefit group to which the employee is to be associated. The benefit related information is used in the process of computation of premiums for benefit plans under health, welfare and retirement. By default, the system displays a blank value for a new record. For a pending authorization or rejected record, the system displays the value with which the record has been submitted for authorization. To edit the value and resubmit the record for authorization, select the required value from the drop-down list box. The options in the drop-down list box are user- defined, using the quick codes component.

Description

The description of the union. By default, the system displays a blank field for a new record. For a pending authorization or rejected record, the system displays the value with which the record has been submitted for authorization. To edit and resubmit for authorization, enter the description in the free text field.

Authorization Status

The authorization status of the employee movements record. If you have selected a new employee movements record, the system displays the status as “None”, if the selected record has already been submitted for authorization, and has not yet been authorized; the system displays the status as “Pending Authorization”. “Rejected,” indicates the record has been submitted for authorization and has been rejected.

Comments

The additional comments with regard to the details specified. By default, the system displays a blank field for a new record. For a pending authorization or rejected record, the system displays the comments with which the record has been submitted for authorization. To edit and resubmit for authorization, enter the comments in the free text field.
