To identify an appraisal calendar

Appraisal Calendar Code

Enter a unique code to identify the appraisal calendar.

Appraisal Type

From the drop-down list box, select the type of appraisal for which the appraisal calendar will be defined. It can be one of the following

  •  Annual Appraisal

  •  Confirmation Appraisal

  •  Contract End Appraisal

  • Any other user-defined through quick codes

Calendar Short Description

Enter a short description of the calendar. 

Calendar Long Description

Enter a long description of the calendar.

Period From                       

Enter the date from which the appraisal calendar starts.

Period To                            

Enter the date on which the appraisal calendar ends.

Valid Upto

Enter the date until which the appraisal calendar is valid. It is the date within which the appraisal exercise must be completed.

Ensure that the date entered is greater than the “Period From” date.

Maximum Rating

Enter a number to indicate the maximum rating assigned for the appraisal calendar.

This number must be the same as the highest / maximum rating that you enter in the multiline.

If this field is left blank, the system will display the maximum rating entered in multline,after you submit the document .

If this box is

  • Checked: this calendar cannot be viewed throughout the system.

  • Unchecked: this calendar can be viewed throughout the system.

To specify the rates for a grade

Appraisal Grade

From the drop-down list box, choose the grade for which you require to specify the ratings

Rating From

Enter a number to indicate the lower limit of the rating, for this grade. The “Rating From“ value of each multiline row must be continuous with the “Rating To“ value of the next consecutive multiline row. For example, the grade could be “Good“, and the ratings are 70 to 80. The next consecutive grade could be “Very Good“; the ratings could be from 80.1 to 90.

The lower limit of the lowest grade must start from 0.0.

Rating To

Enter a number to indicate the upper limit of the rating, for this grade. The “Rating To” value of the grade with the highest rating must be the same value you entered in the ‘Maximum Rating’ field.

To specify the parameters

Appraisal Is Employee Assignment Specific

From the drop-down list, select “Yes” if the appraisal is specific to the employee’s assignment.

Otherwise, select “No”.

Appraisal Acceptance By Employee Before

Countersigning Officer Review

From the drop-down list, select “Yes” if the employee must accept the appraisal, before it is given it to the countersigning officer for reviewing.

Otherwise, select “No”.

Appraisal Rate Grade Help Display Format

From the drop-down list box, select the format for the display of the “Help on Rate Grade“ page. The drop-down list displays the following values: Scale-Grade, and Grade Only.

  • If you select “Grade Only”, the Help page displays the following: Appraisal Grade Code and Grade Description fields.

  • If you select “Scale Grade”, the Help page displays the following: Appraisal Grade Code, Grade Description, Rating From and Rating To fields.

From the drop-down list box, select one of the following methods for calculating  the appraisal rate-grade: “Upper Limit Rating’’ or ‘Mean Value Rating”

  • If you select  ‘Upper Limit Rating’, the system calculates the appraisal rating by taking into account the upper limit of the rating defined for the grade. For example, the “Appraisal Grade” is “Very Good”, the “Rating From” is 80.1, and the ‘Rating To’ is 90. During the overall appraiser/appraise rating at the end, the system will take this value to be 90. Example.

  • If you select ‘Mean Value Rating’ the system calculates the appraisal rating based on the mean value of the lower and upper limits defined for the appraisal. Using the same example above, the system will take the value to be 85, which is the mean.
