Entering serial and lot number details while recording opening balance
This page allows you to enter the serial number and lot number details of the part. Tell me more
Select the “Serial & Lot Details” link at the bottom of the “Create Opening Balance” or “Edit Opening Balance” page.
The “Serial & Lot Details” page appears.
The system displays the following:
Date Format |
The format in which the date fields are displayed in this page. This format is displayed from the “User Preferences” business component based on the login user ID. In case the format is not defined, the system displays the date format from the “Enterprise Modeling” business component by default. |
The system displays the following in the “Opening Balance Identification Details” group box:
Opening Balance # |
The number identifying the opening balance document. |
Status |
The status of the opening balance. The system displays “Draft”, to indicate that the opening balance details are not yet completely entered. |
Note: An opening balance document cannot be sent for authorization in the “Draft” status.
Warehouse # |
The number identifying the warehouse in which the parts are received or stored. |
Warehouse Description |
The textual description of the warehouse. |
Enter the following field in the “Line # Details” group box:
Line # |
Use the drop-down list box to select the line number of the opening balance document which contains the part for which you wish to enter the serial or lot number details. |
Note: The system lists all the parts that are serial number or lot number controlled.
Click the “Get Details” pushbutton, to retrieve the details of the selected part.
The system displays the following in the “Line # Details” group box, based on the line number selected:

The number identifying the selected part. |
Part Description |
The textual description of the part. |
Part Type |
The type of the part. |
Part Control Type |
The type of part control, which could be “Serial Controlled”, “Lot Controlled”, “Serial & Lot Controlled” or “None”. |
WH – Zone # |
The number identifying the zone of the warehouse. |
Bin # |
The number identifying the bin of the warehouse. |
Qty. |
The total “Quantity” of the part displayed from the “Edit Opening Balance” page. |
Stock UOM |
The unit of measurement in which the part is stored. |
Valuation Method |
The valuation method of the part, which could be “Standard Cost”, “Actual Cost”, “Weighted Average Cost”, “FIFO” or “LIFO”. |
Customer # |
The number identifying the customer. |
Customer Name |
The name of the customer. |
Note: The system retrieves and displays the customer number corresponding to the line number of the opening balance document, and the customer name from the “Customer” business component.
Enter the following in the “Default Values” group box:
Rate |
The rate per quantity of a part (Decimal). |
Value |
The total value of the part (Decimal). The value of the part can be zero, If the “Standard Cost” of the part is zero. |
Condition |
Use the drop-down list box to specify the condition of the part. The system displays the values as “New”, “Overhauled”, “Serviceable”, “Unserviceable”, Phased Out and Blank . The system displays “blank” by default. |
Note: The system ensures that the “Rate” and “Value” fields are “Zero”, if the “Expense Policy” for the part is set as “On Receipt” in the interacting “Part Administration” business component.
The system displays the following:
Base Currency |
The base currency of the organization unit. |
Enter the following fields in the “Serial / Lot Information” multiline:
Manufacturer Serial # |
A unique number identifying the serial number issued by the manufacturer (Alphanumeric, 40). |
Note: If the serial number logic of the part has been selected as “Manufacturer” in the “Create Part Information” activity of the “Part Administration” business component, the number entered as the manufacturer serial number must be unique in all the warehouses belonging to the login organization units.
Manufacturer Lot # |
A unique number identifying the lot number issued by the manufacturer (Alphanumeric, 40). |
Note: At least one lot number must be entered, if the received part number is lot number controlled. In case the part number is serial number and lot number controlled, the lot number will be repeated. If the part is only serial number controlled, then this field must be left blank.
Condition |
Use the drop-down list box to specify the condition of the part received, if the part is of type “Component”. The system provides the following options: “New”, “Overhauled”, “Serviceable”, “Unserviceable”, “Phased Out” . The system displays “Blank” by default . |
New – Select this option if the received part is new. |

Overhauled – Select this option if the part has been received after service. |
|

Serviceable – Select this option if the part can be serviced in case of problems. |
|
Unserviceable – Select this option if the part cannot be serviced in case of problems. |
Phased Out– Select this option if the part is become phased out. |
The system displays “New” by default.
Note: Ensure for a part of “Component” type, the condition is entered.
Note: This field must not be left blank, if the part number is serial number controlled.
Qty. |
The quantity of the part received, for the serial number or lot number entered (Decimal). If the part is lot controlled, ensure that the quantity is greater than zero and the sum of all the quantities available in the multiline is equal to quantity received for the line number in the “Edit Opening Balance” page. |
Rate |
The rate per unit of the part (Decimal). By default, the system updates the value set in the “Rate” field, if this field is left blank. |
Value |
The total cost of the part (Decimal). The system calculates the value as “Rate” multiplied by “Quantity”. By default, the system updates the value set in the “Value” field, if this field is left blank. |
Note: It is mandatory to enter “Rate” or “Value” for a serial number-controlled part, or for serial number-controlled and lot number-controlled part, if the valuation method is set as "Actual Cost" in the “Maintain Planning Information” activity of the “Part Administration” business component. The rate and value entered will be ignored for a serial number-controlled part or for serial number-controlled and lot number-controlled part, if the valuation method is other than “Actual Cost”. |

Expiry Date |
The date of expiry of the part.(Date Format) |
Note: Ensure that the expiry date is entered if the part being returned is “Shelf Life” controlled , as defined in the “Part Administration” business component. Note: If the expiry date is not entered for a part with part type “Component”, and “Shelf Life” is controlled as defined in “Part Administration” component, then, expiry date is calculated by adding the “Shelf Life” (in days) to the “Certificate Date”. Note: If the expiry date is not entered for a part with part type other than “Component” and “Shelf Life” is controlled as defined in the Part Administration”, then, expiry date is calculated by adding the “Shelf Life” (in days) to the “Date of Receipt”. Note: The expiry date can be ignored, if the part being edited is not defined as “Shelf Life” controlled in the “Part Administration” business component |

Certificate Type |
Use the drop-down list box to select the type of certificate received along with the part. The system lists the types of certificates defined in the “Common Masters” business component. |
Note: Ensure that the certificate type is selected for a part of type “Component”. |

Certificate # |
The unique number identifying the certificate (Alphanumeric, 40). The certificate number issued for the airworthiness certificate for a component. |
Certificate Date |
The date on which the certificate was issued (Date Format). Ensure that this date is not later than the date of the opening balance document. |
Note: Ensure that the certificate date is entered for a part of type “Component”. |

Authorization # |
The number identifying the authorization of the part (Alphanumeric, 40). The authorization number of the person who is issuing the airworthiness tag for a component. |
Note: Either the certificate number or the authorization number must be entered, if a certificate type has been selected.
System Tracking Ref # |
A unique number, which can be used to track the certification details of the received part (Alphanumeric, 40).). |
Remarks |
Any additional remarks pertaining to the serial number or lot number of the part (Alphanumeric, 255) |
Note: If the serial and lot number details are not entered for the opening balance, the status of the document cannot be updated from “Draft” to “Fresh”.
If you modify or delete the “Quantity” or “Manufacturer Lot #”, ensure to delete the associated “Rate” of the lot number.
Click the “Edit Serial & Lot Details” pushbutton, to update the serial and lot number details of the part.
Note: Ensure that parameter details are entered for all the part line # and part serial #, for the part of type “Component”.
Check the box in the “Select” column of the multiline, to select a part serial number for entering the parameter details.
Check the box in the “Select” column of the multiline to select the part line number for deletion.
Click the Delete icon in the toolbar above the multiline, to delete the part line number selected in the multiline.
To proceed, carry out the following
Select the “Edit Parameter Information” link at the bottom of the page, to modify the parameter information.
Note: Only for a part of type “Component” the parameter details can be modified.
Entering serial and lot number details while recording opening balance – An overview
This page allows you to enter the serial number and lot number details of the part. Serial number and lot number details can be entered, only when the part numbers received are serial number or lot number controlled. You can also enter inspection information such as the certificate number and the type of the certificate received, the authorization number and a unique number to track the certification details.
You can select a serial or lot number controlled part, to modify the parameter information. The parameter information can be modified only when the part serial number is in “Fresh” status.

Define serial number and lot number details
You can enter manufacturer serial number and manufacturer lot number for a part. This number enables you to identify the manufacturer in the supply chain.
In the “Line # Details” group box, select the line number of the opening balance document, which contains the part for which you wish to enter the manufacturer serial or manufacturer lot number details.
In the “Serial / Lot Information” multiline, enter the different manufacturer serial numbers and lot numbers, in the “Manufacturer Serial #” and “Manufacturer Lot #” fields.
For the part type “Component”, use the “Condition” field, to set the condition of the part for which, the opening balance is created as “New”, “Overhauled”, “Serviceable”, “Unserviceable” or Phased Out.
Provide the certification details
You can select the type of certificate received for the part and other details pertaining to the certification of the part.
In the “Serial / Lot Information” multiline,
Select the certificate type in the “Certificate Type” field.
Enter the certificate number in the “Certificate #” field.
Enter the date of certification in the “Certificate Date” field.
