Updating employee timesheet information for the technical log
This page allows you to update employee actual information for the technical log. Tell me more.
Select the “Record Employee Timesheet” link in the “Create Technical Log” or “Edit Technical Log” page.
The “ Record Employee Actuals Information” page appears.
The system displays the following:
Date & Time Format |
The format in which the date and time fields are displayed. This format is displayed from the "User Preferences" business component based on the login user ID. In case the format is not defined, the system displays the date and time format from the “Enterprise Modeling” business component by default. |
The system displays the following in the “Tech Log Details” group box:
Tech Log # |
The technical log number for which you need to update the employee information. |
Status |
The status of the technical log. |
Log Leaf # |
The number identifying the log leaf, which contains the technical log details. |
Aircraft Reg # |
The aircraft registration number to which the technical log is associated. |
Reporting Station |
The station where the technical log has been reported on the sheet. |
Time Zone Indicator |
Indicates whether the “Local” or “UTC” time is considered while performing the date and time calculations. |
Sch. Dep. Date & Time |
The scheduled departure date and time of the outgoing flight. |
Outgoing Leg # |
The outgoing flight number and leg number of the aircraft. |
Enter the following in the “Default Details” group box:
Default From Date |
The date starting from which the employee is utilized for the maintenance report (Date Format). The system displays the current system date by default. |
Default From Time |
The time starting from which the employee is utilized for the maintenance report (Time Format). The system displays the current system time by default. |
Default To Date |
The date until which the employee is utilized for the maintenance report (Date Format). Data entry in this field is mandatory if the “Employee #” is entered and “Worked Hours” is not entered. This date should be later than the “Default From Date”. The system displays the current system date by default. |
Default To Time |
The time until which the employee is utilized for the maintenance report (Time Format). Data entry in this field is mandatory if the “Employee #” is entered and “Worked Hours” is not entered. The system displays the current system time by default. |
Enter the following in the “Resource Consumption Details” multiline:
Employee # |
The employee for whom you need to report the actuals (Alphanumeric, 15). Mandatory. This employee code should have already been defined in the “Employee Information“ business component and should be in “Active” status. The employee code must be unique in the multiline. |

Note: If the “Validate for employee presence as per ARS” field is set to “Yes” in the “Set Options” activity, then the system checks whether the employee was present during the reporting date and time at the execution station specified.
If the “Allow extra hour reporting without authorization” option is set to “No”, the system ensures that the employee has duty (normal or extra authorized) as per the rota schedule at the reporting date and time at the execution station.
The system displays the following:
Employee Name |
The name of the employee. |
Enter the following:
Worked Hours |
The actual time spent, in hours, days, or minutes, on the maintenance report, by the employee (Decimal). Data entry in this mandatory if the “Employee #” is entered and “To Date” and To Time” is not entered. The worked hours is calculated as follows: |
Worked hours = (To Date + To Time) - (From Date + From Time). If you have not entered any value in this field, the system calculates the value and displays it in this field. |

From Date |
The date starting from which the employee is utilized for the maintenance report (Date Format). |
From Time |
The time starting from which the employee is utilized for the maintenance report (Time Format). |
To Date |
The date until which the employee is utilized for the maintenance report (Date Format). Data entry in this field is mandatory if the “Employee #” is entered and “Worked Hours” is not entered. This date should be later than the “From Date”. |
To Time |
The time until which the employee is utilized for the maintenance report (Time Format). Data entry in this field is mandatory if the “Employee #” is entered and “Worked Hours” is not entered. |
Note: If you leave the “From Date” and “From Time” fields blank, ensure the “Default From Date” and “Default To Date” are specified.
If you leave the “To Date” and “To Time“ fields blank, the system calculates those fields based on the “From Date”, “From Time” and “Worked Hours”.
Employee Comments |
Any additional comments pertaining to the employee resource (Alphanumeric, 255). |
Attendance Type |
The attendance type that the employee utilized for the maintenance report. The system loads the dropdown list box with “Normal” and all the quick codes identified for "Attendance Type" in the “Work Center” business component. |
The system displays the following on clicking the “Update Employee Actuals” pushbutton.
Previous Employee Comments |
Any comments recorded previously for the employee time sheet. |
Recorded By |
The code identifying the employee who entered the comments. |
Updation Mode |
The mode by which the employee time sheet is updated, which could be “Clock”, “Manual” or “Clock & Manual”. |
Updated Date |
The date on which the employee details were last reported for the maintenance report. |
Note: Ensure that atleast one employee information is entered in the multiline.
Note: For each row of the Employee Timesheet Details multiline, the timesheet records whose status are in “Authorized” cannot be modified.
Click the “Record Time Sheet” pushbutton at the bottom of the page to update the employee timesheet for the maintenance report.
Note: Ensure that the status of the technical log is not in “Fresh-Held” status.
The system performs the following:
Updates the employee details with the current server date as the last updated date.
If “To Date” and “To Time” are manually entered for an employee whose time sheet updation mode is set as “Clock”, the system updates the time sheet updation mode as “Manual” and updates the time sheet record with the specified “To Date” and “To Time”.
If the time sheet updation date and time is earlier than the actual start date and time of the technical log, the system updates the “Actual Start Date & Time” with the current time sheet updation date and time.
If the time sheet updation date and time is later than the actual end date and time of the technical log, the system updates the “Actual End Date & Time” with the current time sheet updation date and time.

Updating employee timesheet information for the technical log – An overview
In this page, you can update the employee details for a maintenance report. You can update the employee information, such as the employee number, number of hours spent on the task or selected component work order, the start and end date and time, attendance type of the employee while executing the task, and any other additional comments.
You can also modify the employee details that are already reported.
