Use this page to view the errors that the system encountered during employee attendance processing. You can also enter comments pertaining to each error, in this page.

Date Format

Processing Unit

The organization unit selected in the previous page. Tell me more.

Scheduling Unit

The scheduling selected in the previous page, for which the employee attendance process has been aborted or reset. Tell me more.

Rota Plan Description

The rota plan selected from the previous page. The status of the employees mapped to the rota plan must be either aborted or reset.

Rota Schedule Description

The rota schedule selected from the multiline of the previous page. The status of the employees mapped to the rota schedule must be either aborted or reset.

Session ID

The session ID you entered in the previous page

To view errors

Error Type

The type of error that you selected in the “Error Type” drop-down list box. The error type is either “Critical“ or “Warning“.

Remarks

Any remark that has already been entered and saved against the error.

To enter remarks for an error

  • Enter any remark pertaining to an error, in the “Remarks” field in the multiline.

  • Select the Save pushbutton, to save the remarks pertaining to the error.

Error Log - An overview

Viewing Errors: Through the "Error Log" page, you can view the errors that the system encountered during processing. Attendance processing, Overtime processing and Authorization are all examples of processing, where the system carries out a computation or a series of computations on a batch of employee records.

The errors in the records could be

  • Critical

  • Warning

If the error is "Critical", the system aborts the entire processing. You are to identify the error through the "Error Log" page, rectify the error and reset the process. If the error is "Warning", the system processes all the records in the batch except the erroneous record.

What happens if an employee’s leave is authorizedonly after his attendance for a month is processed?

Sometimes, after the employees’ attendance has been processed, the employees’ leave applied during this processed period is authorized. Leave authorization is carried out in the Leave Administration component. In such instances, you can request the system to reprocess employee attendance for the period, after taking into account the authorized leave for this period. You will not require to first unauthorize the employee attendance before reprocessing it.

In fact, you can also include the processed attendance period to a new period, and request the system to process for the entire period. For example, employee attendance has been processed for June 2002. When requesting the system to process attendance for the month of July, you can include June as well, and specify the period for processing as follows: June 1 to July 31. This saves you from having to unauthorize the attendance for June and request for processing.

You are not able to access a specific rota schedule, for attendance processing

The processing of the attendance records under this rota schedule may have been aborted, through the “Set Attendance Status” activity.

You are to reset these attendance records, before you can access them for attendance processing. To reset, you are to enter the “Set Attendance Status” activity and set the status of the attendance records under the rota schedule to “Reset”

The attendance is being processed, but some of theemployee records were wrongly entered

You are to

  • Abort the employee attendance processing, through the “Set Employee Attendance Status” activity

  • Correct the information in the employee records

  • Reset the employee attendance processing. Through the “Set Employee Attendance Status” activity

  • Reprocess the employee records

 You are not able to access a specific overtime record, for attendance processing

The overtime employee attendance records appear only if the employees’ regular attendance for this period had been processed and authorized already.
