Selecting document for maintaining details
Using this page you can select a document whose details are to be maintained. Tell me more
Select the “Distribute / Maintain Document” under the “Library Operations” business component.
The “Select Document” page appears.
The system displays the following:
Date Format |
The format in which the date fields is displayed in this page. This format is displayed from the "User Preferences" business component based on the login user ID. In case the format is not defined, the system displays the date format from the "Enterprise Modeling" business component by default. |
Enter the details in the “Search Criteria” group box:
To enter the primary search criteria
Select the "Primary Search Criteria" tab to enter the primary search criteria.
To enter additional search criteria
Select the "Additional Search Criteria" tab to specify the additional search criteria.
Click the “Search” pushbutton to display the search results.
The system displays the following in the “Search Results” multiline:
Library # |
The number identifying the library. |
Document # |
The number identifying the document. |
Revision # |
The revision number of the document. |
Document Title |
The name of the document. |
Document Subject |
A brief description about the document. |
Document Type |
The type of the document. |
Document Category |
The category to which the document belongs. |
Document Nature |
The nature of the document. |
Publisher |
The name of the publisher of the document. |
Published Date |
The date on which the document is published. |
Check the box in the “Select” column of the multiline to select the document.
To proceed, carry out the following
Select the “Maintain Document Information” link at the bottom of the page to maintain the document details.
Select the “Record Document Distribution Information” link at the bottom of the page to record the document distribution details.
Select the “Maintain Partner Correspondence” link at the bottom of the page to maintain the partner correspondence details for the document.
Note: You can update the correspondence details only for those documents whose status is other than “Inactive” or “Obsolete”.
Selecting document – An overview
This page allows you to select a document whose details are to be maintained. You can carry out a primary search based on the library number, document number, document title, document type, document status and applicability. An additional search can also by performed by specifying the reference document details, employee number, publisher name, acknowledgement status, user information and distribution type. The details such as library number, document number, revision number, document title, document subject, document type, document category, document nature, publisher name and published date are displayed in the multiline, based on the specified search criteria.
