This activity allows you to create an EFT file for payment. You can search and select the vouchers for which you want to make an EFT (Electronic File Transfer). You can create an EFT file for an EFT type. The system generates a unique number identifying the EFT transaction if you have opted for an automatic numbering type. Otherwise, you can enter a unique number identifying the EFT transaction. You can also enter the path in which the EFT file will be saved. The system creates an EFT file in a specified format. The system updates the status of the vouchers as “Paid”.  The system also stores the login ID of the user and the system date along with the EFT details.

The “Create EFT File” page appears.

EFT Type

Use the drop-down list box to select the type of EFT that you want to create. You can select from “DTA”. The system displays “DTA” by default on launch of the page.

Note: “SAD” will also be available for selection if “PTT” payment is applicable for the company.

EFT #

The number identifying the EFT transaction (Alphanumeric, 18). This number is generated and displayed by the system, when the “Create EFT File” pushbutton is clicked. The number is displayed with the corresponding prefix and suffix of the numbering type selected in the “Numbering Type” field. The number is incremented from the last number available in the “Numbering Class” business component.

Note: This field must not be left blank if “Manual” is selected in the “Numbering Type” field.        

The system displays the following:

Date

The date on which the EFT was created. The system date is displayed by default.

Numbering Type

Use the drop-down list box to select the numbering type for the login organization unit and the “EFT - DTA” transaction type. The numbering types must have already been defined in the “Numbering Class” business component and must be in “Active” status. The system displays the numbering type set as default for the transaction in the “Numbering Class” business component.

Note: The numbering type for the login organization unit and the “EFT – SAD” transaction type will be available for selection if “SAD” has been selected as the “EFT Type”..

Bank / PTT #

Use the drop-down list box to select the code identifying the bank / PTT code through which the payment must be made. The system leaves the field “Blank” by default on launch of the page.

Payment Mode

Use the drop-down list box to set the mode in which the payment is to be made. All the electronic pay modes of payment set for the selected bank code will be available for selection.

Note: The system also retrieves the “Bank Type” for vouchers whose "Payment Mode” is “EFT”.

Supplier Bank Type

Use the drop-down list box to select the bank type of the supplier. The values in the drop-down list box are based on the values available for the supplier in the “Supplier”  business component.

Note: If the parameter EFT file generation based on supplier bank type is set as “Yes” for the selected “Bank /PPT #”, the “Supplier Bank Type” drop-down list box displays the values from “Quick code” based on the mapping in “Supplier”.

If the  parameter EFT File generation based on supplier bank type is set as ‘’No’ or ‘blank’ for the selected “Bank / PPT #”, the “Supplier Bank Type” drop-down list box does not display any value.

Voucher # From

 

The starting code in the range of codes identifying the vouchers that you want to retrieve for making payments by EFT (Alphanumeric, 18). You can enter the code in full or specify it partially using the “*” character. The system retrieves all the vouchers that have codes similar to the value entered in this field.

Note: The value entered in this field must be before the value entered in the “To” field. 

To

 

The ending code in the range of codes identifying the vouchers that you want to retrieve for making payments by EFT (Alphanumeric, 18). Payment Category

Use the drop-down list box to select the category to which the voucher for which payment has been made belongs. You can select from "Payment Voucher", "Sundry Payment Voucher", "Customer Payment Voucher" "Supplier Deposit Payment Voucher' , 'Supplier Prepayment Voucher', "HR Payment Voucher" and "All".The system displays “Payment Voucher” by default on launch of the page.

Voucher Amount From

The starting amount in the range of amounts for which the vouchers that you want to retrieve has been raised (Decimal). The amount entered in this field must be greater than zero.

Note: The amount entered in this field must be lesser than or the same as the amount entered in the “To” field.

To

The ending amount in the range of amounts for which the vouchers that you want to retrieve has been raised (Decimal). The amount entered in this field must be greater than zero.

Currency

 

Use the drop-down list box to select the code identifying the currency in which the payments are to be made. All the currencies that have been defined for the company will be available for selection in the ascending order. The system displays “All” by default on launch of the page.

Payee From

 

The starting name in the range of payee names that you want to retrieve for making payment (Alphanumeric, 40).

Note: The value entered in this field must be before the value entered in the “To” field.

To

 

The ending name in the range of payee names till which you want to retrieve for making payment (Alphanumeric, 40).

Priority

Use the drop-down list box to select the priority of the payment. You can select from "High", "Medium", "Low" or "All". The system displays “All” by default on launch of the page.

Pay Date From

 

The starting date in the range of payment dates for the vouchers (Date Format). The system date is displayed by default on launch of the page.

Note: The date entered in this field must be before the date entered in the “To” field.

To

 

The ending date in the range of payment dates for the vouchers (Date Format). The system date is displayed by default on launch of the page.

Sort By

Use the drop-down list box to select the entity by which you want to sort the search results.  You can select from “Pay Date”, “Payee”, “Voucher No” or “Pay Mode”. The system displays “Pay Date” by default on launch of the page.

The system displays the following in the “Search Results” multiline based on the search criteria entered:

Note: The system retrieves all the vouchers that are in the “Requested” status.

Voucher #

The code identifying the voucher.

Payee

The name of the payee.

Pay Mode

The mode in which the payment is to be made.

Pay Date

The pay date of the voucher.

Currency

The code identifying the currency in which the payment must be made.

Voucher Amount

The voucher amount due for payment.

Priority

The priority of the payment. It could be "High", "Medium" or "Low".

Note: At least one voucher must be selected in the multiline to create an EFT file.

File Path

The path in which the EFT file must be saved (Alphanumeric, 100). Mandatory.

The system generates a unique number if you have opted for the automatic numbering type. The system saves the EFT details along with the voucher. The system updates the “Paid” status to the voucher. The system also updates the login ID of the user and the system date along with the EFT details. The EFT file can be sent to the bank or clearing house for further processing and routing the payments.
