Basics of using a typical web page

Using online help

This Help page allows you to search and select a credit document and transfer the details to the field where it is required. You can carry out a search by selecting the billing point and checking the type of credit document that you want to retrieve. You can also carry out the search by specifying the range of document numbers that you want to retrieve, the currency of the credit document, the date range, the finance book of the credit document, the due date range and the document amount. The system retrieves the documents based on the details entered.  

The “Help on Credit Document” page appears.

The system displays the following:

Supplier Code

The code identifying the supplier.

Supplier Name

The name identifying the supplier

Billing Point

Use the drop-down list box to select the billing point of the supplier. It must be mapped to the “Supplier Inquiry” component. All the billing points of the company will be available for selection.

Direct Invoice

Check this box to include the direct invoice.

Order Invoice

Check this box to include the order invoice.

Credit Note

Check this box to include the credit note.

Transfer Credit Note

Check this box to include the transfer credit note.

Supplier Receipts

Check this box to include the supplier receipts.

Document No. From

The starting number in the range of document numbers for which the details are to be retrieved (Alphanumeric, 18). You can also enter the number in full or specify it partially using the “*” character. The system lists the entire adjustment document numbers that are greater than or equal to the value entered here.

 

If this field is left blank and the “To” field is entered, then the system retrieves the documents starting from the first document till the document specified in the “To” field.

To

The ending number in the range of document numbers for which the details are to be retrieved (Alphanumeric, 18). The system lists all the document numbers that are lesser than the value entered here. The number entered here must be greater than the number entered in the “Document No. From” field.

 

If this field is left blank and the “Document No. From” entered, then the system retrieves the documents starting from the number specified in the “Document No. From” field till the last document.

Currency

Use the drop-down list box to select the currency of the credit document. All the currencies mapped to the login organization are available for the selection.

Document Date From

The starting date in the range of document dates from which the document details must be retrieved (Date Format). The system lists all the documents that are raised later than this date. The date entered here must be less than the date entered in the “To” field.

 

If this field is left blank and the “To” field is entered, then the system retrieves the documents starting from the first document date till the date specified in the “To” field.

To

The ending date in the range of document dates until which the document details must be retrieved (Date Format). The system lists all the documents that are raised earlier than this date.

 

If this field is left blank and “Document Date From” field is entered, then the system retrieves the documents raised on the date specified in the “Document Date From” field.

Finance Book

Use the drop-down list box to select the code identifying the finance book to which the credit documents are posted. All the finance books mapped to the login organization units are available for selection.

Due Date From

The starting date in the range of document due dates from which the document details must be retrieved (Date Format). The system lists all the documents that are raised later than this date. The date entered here must be less than the date entered in the “To” field.

 

If this field is left blank and the “To” field is entered, then the system retrieves the documents starting from the first document date till the date specified in the “To” field.

To

The ending date in the range of document due dates until which the document details must be retrieved (Date Format). The system lists all the documents that are raised earlier than this date.

 

If this field is left blank and “Due Date From” field is entered, then the system retrieves the documents raised on the date specified in the “Due Date From” field.

Document Amount From

The starting amount of the document in the range of document amounts for which the details are to be retrieved (Decimal). The system retrieves all the documents whose transaction amount is greater than the amount entered here. The amount entered here must be lesser than the amount entered in the “To” field.

 

If this field is left blank and the “To” field is entered, then the system retrieves the documents from the first document in the database till the document whose amount is the amount entered in the “To” field.

To

The ending amount of the document in the range of document amount from which the details are to be retrieved (Decimal). The system retrieves all the document whose amount is less than the amount entered here.

 

If this field is left blank and the “Document Amount From” field is entered, then the system retrieves the document whose amount is the value entered in the “Document Amount From” field till the end of the database.

The system retrieves and displays the following in the “Search Results” multiline based on the search criteria entered:

Document Type

The type of the credit document adjusted with the debit document.

Document No.

The number identifying the credit document.

Due Date

The date on which the credit documents is due for payments.

Unadjusted Amount

The unadjusted credit amount remaining to be adjusted with the debit amount.

Currency

The transaction currency of the credit document.

Exchange Rate

The exchange rate of the transaction currency as of the credit document date.

Discount Date

The date on which the discount can be availed for adjustments.

Discount Available

The amount of discount available.

Billing Point

The login organization unit where the credit documents has been raised.

Document Date

The date on which the credit documents is raised.

Term Number

The number identifying the installment due for payment.

Finance Book

The code identifying the finance books, in which the credit documents are posted.
