This page allows you to search and select a customer receipt for reversal. Tell me more.

The “Select Receipt” page appears.

Receipt No

The number identifying the receipt that you want to reverse (Alphanumeric, 18).

Receipt Route

Use the drop-down list box to select the way in which the receipt has been received from the customer. You can select from “Bank” or “PTT”. The system displays “All” by default on launch of the page.

Receipt Category

Use the drop-down to select the category to which the receipt belongs. You can select from “Regular”, “Deposits”, “Advance” or “All”.

 
  • Regular – indicates that the payment has been received in the normal course of business and could be adjusted against a debit document.

 
  • Deposits – indicates that the payment has been received as a security from the customer.

 
  • Advance – indicates that the payment has been received against a sale order raised on the customer.

 

The system displays “All” by default on launch of the page.

Finance Book

Use the drop-down list box to select the code identifying the finance book in which the posting has been made. All the finance books that have been deployed in the login organization unit will be available for selection in the ascending order if postings can be made in multiple finance books. If postings can be made only in a finance book the book that has been set as default will be available for selection.

Note: The system displays “All” by default if “Allow Multiple FB Posting” has been set to “Yes”.

Customer Code From

The starting code in the range of codes identifying the customer from  whom the receipt has been received (Alphanumeric, 16). You can enter the codes in full or specify it partially using the “*” character. The system retrieves all the receipts that have been raised on customers whose codes are similar to the value entered here.

To

The ending code in the range of codes identifying the customer on whom the receipt has been raised (Alphanumeric, 16). You can enter the codes in full or specify it partially using the “*” character. The system retrieves all the receipts that have been received from customers whose codes are similar to the value entered here.

User ID

The login user ID of the person who has raised the receipt (Alphanumeric, 30). The system displays the login ID of the user by default on launch of the page.

Receipt No From

The starting number in the range of receipt numbers you want to retrieve for reversal (Alphanumeric, 18). You can enter the number in full or specify it partially using the “*” character. The system retrieves all the receipts that have numbers similar to the value entered here.

Note: The receipt number entered here must be the same or before the number entered in the “To” field.

To

The ending number in the range of receipt numbers you want to retrieve for reversal (Alphanumeric, 18). You can enter the number in full or specify it partially using the “*” character. The system retrieves all the receipts that have numbers similar to the value entered here.

Currency

Use the drop-down list box to select the code identifying the currency in which the receipt has been raised. All the currencies that have been mapped to the customer receivable account in the login organization unit will be available for selection in the alphabetical order. The system displays “All” by default on launch of the page.

Receipt Amount From

The starting amount in the range of amounts for which you want to retrieve receipts (Decimal). The amount entered must be greater than zero.

Note: The receipt amount entered here must be lesser than or equal to the amount entered in the “To” field.

To

The ending amount in the range of amounts till which you want to retrieve receipts (Decimal). The amount entered must be greater than zero.

Collector Code

The code identifying the employee or the name of the employee who has collected the receipt (Alphanumeric, 40). You can enter the code in full or specify it partially using the “*” character. The system retrieves all the receipts that have customer codes similar to the value entered here.

Receipt Date From

The starting date in the range of dates within which the receipt that you want reverse has been raised (Date Format). The system date is displayed by default on launch of the page.

Note: The receipt date entered here must be before or the same as the date entered in the “To” field.

To

The ending date in the range of dates within which the receipt that you want to reverse has been raised (Date Format). The system date is displayed by default on launch of the page.

Status

Use the drop-down list box to select the status of the receipt that you want to reverse from “Authorized”, “To be Reversed” or “Both”. The system displays “Both” by default on launch of the page.

Instrument No From

The starting number in the range of instrument numbers for which receipts have been raised and that you want to reverse (Alphanumeric, 30). You can enter the number in full or specify it partially using the “*” character. The system retrieves all the receipts that have instrument numbers similar to the value entered here.

To

The ending number in the range of instrument numbers for which receipts have been raised and that you want to reverse (Alphanumeric, 30). You can enter the number in full or specify it partially using the “*” character. The system retrieves all the receipts that have instrument numbers similar to the value entered here.

The system displays the following in the “Search Results” multiline based on the search criteria entered:

Note: The system retrieves and displays the receipt numbers that are in the “Authorized” and “To be Reversed” status if the search criteria is selected as “All”.

Receipt Route

The way in which the payment has been received from the customer. It could be “Bank”, “PTT” or “Others”.

Customer Code

The code identifying the customer.

Receipt No

The number identifying the receipt.

Receipt Date

The date on which the receipt was created.

Currency

The currency in which the receipt has been raised.

Receipt Amount

The amount of the receipt.

Receipt Category

The category to which the receipt belongs.

Finance Book

The code identifying the finance book in which the receipt details have been posted.

Instrument No

The number identifying the instrument through which the payment was received.

Status

The status of the receipt. It could be “Authorized” or “To be Reversed”.

 
  • Authorized – indicates that the receipt has been authorized and posted in the books of accounts.

 
  • To be Reversed – indicates that the instrument vide which the payment has been received from the customer has been returned from the respective bank without being realized and has been bounced. Selecting receipts for reversing – An overview

If you know the number identifying the receipt you want to reverse, you can enter it directly. Otherwise, you can carry out a search based on the method in which the payment was received, the category to which the receipt belongs and the code identifying the finance book in which the receipt has been posted. You can search specifying a range of receipt numbers, receipt amounts and receipt dates within which the receipt falls. You can also search based on the person who has raised the receipt, the person who has collected the receipts and the organization unit in which the receipt has been collected. The system retrieves the receipt details based on the search criteria entered.
