Prerequisites

The trial balance is an account statement, which shows the account balances of a finance book at a given point of time. Tell me more.

The “Trial Balance” page appears.

Run Type

Use the drop-down list box and select the type of run that must be used to generate the trial balance. You can select from “FB Simulation” or “Company Simulation”.

 
  • FB Simulation – indicates the simulation type that has been created for consolidation of “Posting” finance books available in a company.

 
  • Company Simulation – indicates the simulation type run that has been created for consolidation of finance books of child companies or posting finance books available in a business segment or alternate segment.

 

The system displays “Blank” by default on launch of the page.

Simulation Run No

A unique number identifying the simulation run (Alphanumeric, 18). The number entered in this field could be a “FB Simulation” number or a “Company Simulation” number.

Note: This field must not be left blank if a run type is selected in the “Run Type” field.

Book Type

Use the drop-down list box to select the type of finance book for which you want to view the trial balance. All the types of finance books that have been deployed in the login organization unit will be available for selection in the alphabetical order. You can select from “Consolidation Finance Book”, “Main FB” or “Posting FB”.

Note: If tax books have been deployed in the login organization unit, the types of the tax book will also available for selection. It could be “Posting Tax Book” or “Main Tax Book”.

Business Unit

Use the drop-down list box to select the business unit for which you want to view the trial balance. All the business units that have been mapped to organization units in which a “Report – Book Keeping” and a “Finance Book Processing” business component has been deployed will be available for selection in the ascending order.

Note: “Blank” will be available for selection if “Main Finance Book”, “Consolidation Finance Book” or “Main Tax Book” is selected in the “Book Type” field.

Finance Book

Use the drop-down list box to select the finance book for which you want to view the trial balance. All the finance books that have been mapped to organization units for the selected business unit and the book type of finance book in which a “Report – Book Keeping” and a “Finance Book Processing” business component has been deployed will be available for selection in the alphabetical order.

Reporting Structure

Use the drop-down list box to select the reporting structure in which you want to view the trial balance. The system lists all the reporting structures defined in the “Create Reporting Structure” activity of the “Consolidation” business component if “Main FB” is selected as the “Book Type”.

By default the system leaves the field blank.

Note that the system does not list any values in this field if “Posting FB” is selected as the “Book Type”.

Currency

Use the drop-down list box to select the currency in which you want to view the trial balance. You can select from “Base Currency”, “Parallel Base Currency” and the “Account Currency”. The system displays “Base Currency” by default on launch of the page.

Note: “Parallel Base Currency” will be available for selection only if it is applicable for the company.

Chart Of Account ID

Use the drop-down list box to select the chart of accounts Id in which you want to view the trial balance. All the operative chart of accounts ID, the reporting chart of accounts ID and the consolidation chart of account ID will be available for selection in the ascending order.

Note: “Consolidation Chart of Account” will be available for selection if a “Consolidation Finance Book” has been deployed in the organization unit.

Account Level

Use the drop-down list box to select the level of the accounts in the reporting chart of accounts structure for which you want to view the trial balance. All the levels that have been defined for the selected reporting chart of account id will be available for selection in the ascending order. The system displays “Blank” by default on launch of the page.

As On Date

The date for which you want to view the trial balance (Date Format). The date entered in this field must be before the system date. The system date is displayed by default on launch of the page.

Note: This field must not be left blank if the “Simulation Run No” field is left blank.

Comparison Date

The date for which you want to compare the trial balance details (Date Format).  The date entered in this field must be before the date entered in the “As on Date” field.

Note: The date entered in this field must be before the system date if a run number has been entered in the “Simulation Run No” field.

Year To Date

Check the box if you want to retrieve the balances from the beginning of the financial year within which the system date falls.

Note: If this field is not checked the balances are taken from the beginning of the financial period within which the system date falls will be retrieved.

Amount In

Use the drop-down list box to set whether you want to view the trial balance figures in “Billions”, “Millions” or “Thousands”. The system displays “Blank” by default on launch of the page.

Include Memorandum Vouchers

Check the box if you want to include the memorandum journal voucher amounts in the trial balance.

The system retrieves and displays the closing debit balance and the closing credit balances of the account codes for a selected date for the selected finance book. The system also retrieves the closing debit and credit balances for the date with which we want to compare the new trial balance. 

The system retrieves and displays the opening debit balance and credit balance of the account for a selected date for the selected finance book. The system also retrieves and displays period debit and period credit balances along with the closing debit balance and credit balance of the account for a selected date for the selected finance book. The system also retrieves and displays the opening, period and closing debit and credit balances of the account for the date with which we want to compare the new trial balance.

The system retrieves the opening debit balance and credit balance of the account for a selected date for the selected finance book in a MS-Excel sheet. The system also retrieves and displays the closing debit balance and credit balance of the account for a selected date for the selected finance book. Report on Trial Balance – An overview

The trial balance contains the debit / credit balances of the various accounts available in a finance book. A summary or a detail trial balance can be printed for a date. The memorandum journal vouchers that have been created to simulate certain journal entries can also be included while generating the trial balance of a finance book. A trial balance can be generated in the base currency of the company and in the account currency. If a parallel base currency is available for a company, the trial balance can also be generated in the parallel base currency. The details of the generated trial balance can be viewed before being printed as a report. The trial balance can also be generated and viewed in a MS-Excel work sheet.

This page allows you to set the criteria for generating a trial balance for individual finance book. You can generate a trial balance for a “Main”, “Posting” or a “Consolidation” finance book. If a “Tax Book” is maintained for an organization unit, this page also allows you to set the criteria for generation. A trial balance can also be generated for the various levels in a chart of account structure.

This page also retrieves and displays the trial balance for the selected finance book on another date for comparison. You can also set the figures in which you want to view the trial balance.

This page allows you to generate a detail trial balance that would contain the opening and closing debit / credit balances of the accounts in a finance book. The opening debit / credit balances could be from the beginning of the financial period in which the date of the trial balance is available or from the beginning of the financial year in which the trial balance date is valid.
