Using online help

Account balance is a statement listing the running balance in an account code, as on date. Tell me more.

The “Account Balance” page appears.

Book Type

Use the drop-down list box to select the type of finance book for which you want to view the account balance. All the types of finance books that have been deployed in the login organization unit will be available for selection in the alphabetical order. You can select from “Consolidation Finance Book”, “Main Finance Book” or “Posting Finance Book”.

Note: If tax books have been deployed in the login organization unit, the types of the tax book will also be available for selection. It could be “Posting Tax Book”, “Main Tax Book” or “Consolidation Tax Book”.

Business Unit

Use the drop-down list box to select the business unit for which you want to view the account balance. All the business units that have been mapped to organization units in which a “Report – Book Keeping” and a “Finance Book Processing” business component has been deployed will be available for selection in the ascending order.

Finance Book

Use the drop-down list box to select the finance book for which you want to view the account balance. All the finance books for the selected book type and/or business unit combination are available for selection in the alphabetical order. The finance books available are also determined by the mapping of “Report – Book Keeping” to a “Finance Book Processing” business component.

Currency

Use the drop-down list box to select the currency in which you want to view the account balance. You can select from “Base Currency”, “Parallel Base Currency” and the “Account Currency”. The system displays “Base Currency” by default on launch of the page.

Note: “Parallel Base Currency” will be available for selection only if it is applicable for the company.

Chart Of Accounts ID

Use the drop-down list box to select the chart of accounts Id in which you want to view the account balance. All the operative chart of accounts ID, the reporting chart of accounts ID and the consolidation chart of accounts ID will be available for selection in the ascending order.

Note: “Consolidation Chart of Account” will be available for selection if a “Consolidation Finance Book” Is selected.

Level

Use the drop-down list box to select the level of the accounts in the reporting chart of accounts structure for which you want to view the account balance. All the levels that have been defined for the select chart of account id will be available for selection in the ascending order. The system displays “Blank” by default on launch of the page.

Note: You can enter this field only if  “Balance By” has been selected in the “Account code” field.

As On Date

The date on which you want to view the account balance (Date Format). The date entered in this field must be before the system date. The system date is displayed by default on launch of the page.

Comparison Date

The date for which you want to compare the account balance details (Date Format).  The date entered in this field must be before the date entered in the “As on Date” field.

Year To Date

Check the box if you want to retrieve the balances from the beginning of the financial year within which the system date falls.

Note: If this field is not checked the system retrieves balances from the beginning of the financial period within which the system date falls will be retrieved.

Account Code From

The starting code number in the range of code numbers identifying the account code in which you want to view the account balance (Alphanumeric, 32). You can enter the number in full or specify it partially using the “*” character. The system retrieves all the codes that are similar to the value entered here.

Analysis Code From

The starting code number in the range of code numbers identifying the analysis code in which you want to view the account balance (Alphanumeric, 5). You can enter the number in full or specify it partially using the “*” character. The system retrieves all the codes that are similar to the value entered here.

Sub Analysis Code From

The starting code number in the range of code numbers identifying the sub-analysis code in which you want to view the account balance (Alphanumeric, 5). You can enter the number in full or specify it partially using the “*” character. The system retrieves all the codes that are similar to the value entered here.

To

The ending code number in the range of code numbers identifying the sub-analysis code in which you want to view the account balance (Alphanumeric, 5). You can enter the number in full or specify it partially using the “*” character. The system retrieves all the codes that are similar to the value entered here.

Amount From

The starting number in the range of numbers identifying the amount from which you want to view the account balance (Decimal). The system retrieves all the amounts equal to and greater than the amount specified if the “To” field is left blank. 

To

The ending number in the range of numbers identifying the amount to which you want to view the account balance (Decimal). The system retrieves all the amounts lesser than or equal to the amount specified if the “Amount From” field is left blank.  

Amount In

Use the drop-down list box to set whether you want to view the account balance figures in “Billions”, “Millions” or “Thousands”. The system displays “Blank” by default on launch of the page.

Include Memorandum Vouchers

Use the check box to select whether you want to include the memorandum vouchers in the account balance.

Balance By

Use the drop-down list box to select by what type you want to view the account balance. You can select from “Account Code”, Analysis Code” and “Sub Analysis Code”. The system displays “Account Code” by default on launch of the page. On the basis of the selection the balances are displayed.

The system retrieves and displays the closing debit balance or the closing credit balances of the account codes for the selected finance book as on the given date. The system also retrieves the closing debit or credit balances for the date with which we want to compare the account balance.

The system retrieves and displays the opening debit balance or credit balance of the account for the selected finance book as on a date. The system also retrieves and displays the period debit and credit balances along with closing debit balance or credit balance of the selected accounts. The system also retrieves and displays the respective balances for the date with which we want to compare the account balance.

The system retrieves the opening debit balance or credit balance of the account for the selected finance books in an MS-Excel sheet. The system also retrieves and displays the closing debit balance and credit balance of the account for the selected finance book as on a date.  Report on Account Balance – An overview

The transactions happening in an organization reflect on the account balances, and the total impact of the transactions can be understood by analyzing the account balances. This page allows you to print a summary or a detail account balance. You can print the account balance for a date. The memorandum journal vouchers that have been created to simulate certain journal entries can also be included while generating the account balance of a finance book. An account balance can be generated in the base currency of the company and in the account currency. If a parallel base currency is available for a company, the account balance can also be generated in the parallel base currency. The details of the generated account balance can be viewed before being printed as a report. The account balance can also be generated and viewed in a MS-Excel work sheet.

This page allows you to set the criteria for generating an account balance for a finance book. Account balances are generated individually for different finance books. You can view account balance for a finance book irrespective of whether it is a “Main”, “Posting” or a “Consolidation” finance book. If a “Tax Book” is maintained for an organization unit, this page also allows you to set the criteria and generate an account balance for the individual tax books. An account balance can also be generated for various levels in a chart of account structure. You can also generate the account balance by specifying a range of “Account”, “Analysis” and “Sub Analysis” codes.

This page also retrieves and displays the account balance for the selected finance book on another date for comparison. You can also set the figures in which you want to view the account balance.

This page allows you to generate a detail account balance that would contain the opening, period and closing debit / credit balances of the accounts in a finance book. The opening debit / credit balances could be from the beginning of the financial period in which the date of the account balance is available or from the beginning of the financial year in which the account balance date is valid.
